2 Office of the Vice Provost for Information Technology Confidential What is he talking about? 1.When a staff member leaves the institution, the services that are provided by IT (email, access to printing, access to file storage, vpn, network, active directory,etc..) should be modified so that the ex employee no longer has access to them. 2.This is a common practice that we have done for years but not in an automated manner or timely way. The new method will reduce the human error factors, provide a simplified standard that everyone understands, reduce the time to perform the many tasks required to remove access to services when a staff member leaves Rice and it will improve our security. Definition of Automated Account Deactivation: A method for removing access to IT services when a staff member leaves Rice that requires little human intervention. The timing for automatically deactivation is based off of information from an authoritative source (Banner).

3 Office of the Vice Provost for Information Technology Confidential How will this affect me? 1.When a staff member is leaving, you will still send in a termination form to HR. 2.The Termination Date in the form will be entered into Banner as usual. This field will be keyed on to start the automation. 3.IT has a website for questions please take a flyer that has additional information and Q & A. 4.IT has provided some guidance for things you should be thinking about when staff are leaving the institution. Please take a flyer.

Students and Faculty are treated differently. 2.I have a special case, what do I do? 3.When is this going to take affect? (1/7/2010) 4.Why are we choosing this time frame? 5.What will this break? 6.What if I have questions after the Admin Forum?
