1 P ROCESSING L IBRARY M ATERIALS Part 2 of Hayden Course Reserve Manual

2 2.1 P HYSICAL P ROCESSING 1. Compare the library item with the entry on the Reserve Course sheet. Look at call number, title and barcode to ensure they match 2. Pencil in the last 8 digits of the Barcode number on the Reserve Course sheet If the book doesn’t have a barcode yet, apply one to the front cover If the book is from another library, put the first initial of that library at the end of the number W = West, E = East, D = Downtown, M = Music, A = Architecture, S = Science, St = Storage e.g. 16248895W or 16248750M 3. Tape book. Apply clear tape first, as close to bottom as you can without covering the call number on spine. If necessary, position the tape above the call number. Apply Red or Yellow tape on top of clear tape, matching the number on the tape to the loan period chosen on the Course Sheet Red tape indicates the item is not to leave the library. It is the default tape used for videos and DVDs that have a no overnight loan period. It can also be used if a professor specifically requests that the item not leave the library. In all other instances, use the yellow tape. Please be conservative with tape - do not use more than necessary 2 Processing Library Materials

3 2.2 A CCESSING C OURSE R ESERVE MODULE 1. Millennium Course Reserves Module is accessed through logging in via the Reserve staff mode (mhyrsv). 2. To enter the Reserve Module, click on Course Reserves icon or press F9 on the keyboard. 3. To create a new course reserve record, click on New icon at the top of the screen. 4. To access an existing course reserve record, choose from the index menu the search field and enter the search term, i.e. record number, professor name or course number. 3 Processing Library Materials

4 2.3 C REATING A C OURSE R ECORD 1. Click on Course Reserve module of Millenium (bottom left side of screen) 2. Click on Index field and type in professor last name to check if a Course Record already exists 3. If not, Click on “New” 4. Enter the course information requested in the following four boxes  Begin date (today’s date)  End date Fall semester – December 31 Spring semester – May 31 Summer sessions – August 31 Permanent/Indefinite – December 31, 2015 Prof/TA (Last Name First Initial, no punctuation) Course number 5. Make any corrections required, and then select “Save” 6. Write down the shortened version of the course record # (from upper left hand corner) in the upper right hand corner of the reserve submission sheet. Example: If the course number is r10198921, you only write down 19892 (r10198921) See next page for illustrations… 4 Processing Library Materials

6 2.4 A DDING L IBRARY M ATERIALS TO C OURSE R ECORD 1. Click on Course Reserve module of Millenium (bottom left side of screen) 2. If record already exists, Click on Index to select Professor, Course or Record and type in information (see previous page for illustration) 3. Click “Add Items” 4. Type b for barcode and scan or type in barcode number 5. Click “Add Selected Items” 6. Choose appropriate Location and Item Type (see below) 7. Click OK 6 Processing Library Materials ITEM TYPES 239 –Reserve 238 – Personal Copy Reserve 237 – Permanent Reserve 255 – Electronic Reserve LOCATION CODES hyr2n – 2 hours, no overnight hyr2o – 2 hours, overnight hyr4n – 4 hours, no overnight hyr4o – 4hours, overnight hyr24 – 24 hours (1 day) hyr72 – 72 hours (3 day) hyerv – Electronic Reserve hyr68 – 168 hours (7 day) Don’t forget!!!
