Microsoft Access 2013 Design and Create Tables to Store Data Chapter 2

Chapter Overview m Databases and Decision Making m Designing Database Tables m Creating Tables in Access m Primary Keys m Field Data Types and Properties

Databases and Decision Making Input (Data) ProcessOutput (Information) Input using Forms Handled by Queries Output to Reports Stored in Tables Supports Decision Making GIGO – Garbage In, Garbage Out

Designing Database Tables Database design is critically important to the success of an information system. Your tables are the foundation of the entire database.

Designing Database Tables m Include the necessary data – Determined by reporting needs m Store data in its smallest parts – Split last and first names m Avoid storing calculated data (GPA) – What about age versus birthdate? m Avoid data redundancy

Creating Tables in Access m Table Wizard (don’t use) m Datasheet and Design Views

Primary Keys m A field or combination of fields that uniquely identifies records in a table. – Use an existing field – Use a combination of fields (concatenated key) – Create a new field using the Autonumber data type

Field Data Types m AutoNumber m Short Text m Hyperlink m Number m Long Text m Date / Time m Currency m Yes / No m OLE Object m Attachment m Calculated m Lookup Wizard

Field Properties m Field Size m Format m Input Mask m Caption m Default Value m Validation Rule m Validation Text m Required m Allow 0 Length m Indexed These help to prevent GIGO

Questions & Requested Updates from HR Users m Bad data appears in AssessmentScore m Need email address of every applicant m Want option to store 9 digit zip code m CID value occasionally skips numbers m Need to track the HR employee assigned to each candidate m Data entry and editing is not user-friendly
