Soft Bundling Question: Where on the web site will the prompt appear? Answer: The prompt will appear on the 4 rd screen of the on-line registration form. Question: What will the hotel reservation page say? Answer: For your convenience we can help you with your hotel reservation, if you would like us to make your reservation, please indicate on the following reservation prompts. Question: Is this process available on a paper registration form? Answer: We will have to increase the size of the registration form to include the hotel reservation option.
Soft Bundling Question: If the registrant exits registration without reserving a hotel room, will the prompt reoccur? Answer: The prompt will not reoccur. Another reminder can be added to make their hotel reservations in the email confirmation. Question: Could the registrant come back in the future and still use it to reserve a room? Answer: The registrant will need to contact MCM directly to add the hotel reservation. The registrant will not have the ability to add or make changes to existing registration.
Soft Bundling Question: Will the registrant have the usual room selection options available to choose (Single, Double, Twin beds, Queen, King, non smoking, a rollaway, on the upper floors, away from an elevator, amenities that come with the room, etc.)? Answer: Yes, the registrant will have the options available for selection. Question: Is the credit card information entered a second time? Answer: Yes, the credit card will need to be entered a second time for the hotel guarantee. Question: What will MCM do with the credit card information if the hotel does not require deposit? Answer: MCM will collect the credit card information but will not charge the card. The information will be forwarded to the hotel with the reservations.
Soft Bundling Question: What will MCM do with credit card information if hotel requires a one night deposit? Answer: MCM will not charge the credit card. The credit card information will be collected and then forwarded to the hotel with the reservations. Question: Will the registrant's credit card statement show two payments or just one? Answer: Since MCM does not charge for the hotel portion, only one charge will appear. Question: How will the room reservation information given to the hotel? Answer: MCM will work with the hotel to transfer the information. MCMs system generates reports for this purpose.
Soft Bundling Question: Does the registrant receive an instant confirmation? Answer: Yes, the registrant will receive an instant acknowledgement but not a confirmation number. MCM will send the hotel reservations to the hotel, and the hotel will send the confirmation numbers. Once MCM receives the confirmation numbers, they will be emailed to the Registrants within 24 hours. Question: How are reservation changes/cancellations handled? Answer: The registrant will need to contact MCM to make changes/cancellations. MCM will forward these to the hotel. After a certain date, the registrant must contact the hotel directly. Question: What happens if the credit card number is invalid? Answer: The registration system will not accept an invalid credit card.
Soft Bundling Question: What does the MCM $10 fee cover? Answer: The $10 fee covers making the reservation and helping to monitoring of the room block. Question: Has CMS down this for other conferences? Answer: Yes, MCM is currently handling Hotel Block Management for the four conferences. Question: What data will be available to help manage the room block? Answer: Number of rooms nights per given period Question: What data should be collected in order determine if trial is successful? Answer: Room nights reserved weekly up to cut off deadline
Soft Bundling SUMMARY Create and maintain conference reservation website. On-line reservation request are automatically acknowledged by email within 24 hours. Email alias provided for reservation questions and assistance. MCM submits reservation requests to hotels for confirmation numbers. Reservation confirmations are sent by email within 24 hours of MCMs receipt from hotel. Attendees are guaranteed assistance for securing reservations. Close contact is maintained with the hotel to ensure all contract terms related to the reservations are met. A close watch is kept on attrition clauses imposed by hotels and room blocks are managed accordingly.
