With the introduction of Alfresco Workdesk, Alfresco now has a purpose-built solution for Process-Centric or Transactional content processes. If you think about what you want your users to do in these types of processes, you want them to work on their queue of documents and access case files that are presented in the right business context (maybe it’s an attorney who needs to approve NDAs, or a Clerk who needs to fill out the Customer Number on Contracts). It’s about efficiency. Then, you will want to audit the actions later to make sure people are following the defined process. With Workdesk, 1 file can show-up in different folders and views based on who you are and what your context is.
For example: let’s say you are an HR Director, and you need to make sure that each new-hire employee has A Current Resume, A Tax Form and A signed Confidentiality Agreement in their OFFICIAL FILE. The HR Director’s view in Workdesk is the Employee File, which contains all three files. He can verify that it is complete. The Lawyer’s view, however, might be a Folder of Confidentiality Agreements that contains ALL the confidentiality agreements for the whole company, alphabetized. That way, if the lawyer ever needs quick access, he has 1 folder to go to. There is only 1 copy of the document – but it can show up in multiple views.
