2 Exceed Admin Training Admin Overview Calendars, Instructional Weeks, Initial Setup for Implementation There are several pieces of data that will need to be set up for implementation and/or reviewed/updated each school year. – School Year entry screen – Instructional Weeks – Calendars – School Administration Screen This data entry should be done by your District Tech Admin (IMS_X_DstTchAdm). You will need your district/school calendars in front of you when completing this task.

3 General Menu District - School Year School Year Tab Notes  This screen will probably already have the current school year and the next school year as part of the delivery. If not, you can click on the “Add New” button and enter the data for any given school year.  School Years will need to be added at the beginning of each school year.  If you have highlighted a school year, and you click on the icon at the far right of the screen, it will bring up the instructional week screen. Instructional Weeks will need to be setup for the selected school year. You will need your school calendar in order to complete this configuration. (See details on how to setup the instructional weeks on the next slide.) Instructional Weeks will need to be set up once per school year.

4 General Menu District - School Year School Year Tab Notes  The instructional weeks should include a complete calendar year, not just the school year. There are typically 36 instructional weeks in a school year (180 days), though your district or school may vary from this.  An instructional week would have a start date and end date that typically includes 5 days when a student is receiving instruction. This instructional week does not have to be 5 calendar days and does not have to start on a Monday and end on a Friday.  Instructional weeks can be set per calendar and calendar type.  Other data utilizes Instructional Weeks so it is important that this data is entered as soon as possible.

5 General Menu Instructional Weeks Instructional Weeks Notes  When you first select Instructional Weeks you will see a dropdown of Instructional Calendar Types. EXCEED ships with a Standard School Year Calendar Type; if you want to add additional types you will enter a value in the Name field and then add new weeks.  It is helpful to use the school year calendar to record all of the Instructional Weeks onto an Excel spreadsheet. See sample school year calendar and corresponding Instructional Weeks Excel spreadsheet sample.  The Instructional Calendar Type you use for Instructional Weeks must match the Instructional Calendar Type when setting up calendars.  Multiple sets of Instructional Weeks can be setup, e.g., if your district has both a standard school year and a year round school year.

6 General Menu Calendar Calendar Notes  This is where all district calendars are entered. Verify your district calendar is here.  The pencil icon at the far right will allow the user to edit a calendar once it has been saved.  Instructional Calendar Type should match the name used for instructional weeks.  Make “Valid to Date "of calendar at least 5 years out, although the default has already been set to multiple years out.

7 General Menu School School Details Notes  The data shown on the School Details screen is only for the school highlighted in the school list on the left.  Schools are loaded via the TCS data collection and integration processes.  A district will verify that the correct calendar is selected for the particular school. Unless a school in your district has a different school year calendar, they should all have the same calendar.  A district will verify that the selected school has access to the calendar that is applicable for this school. This verification should occur prior to Go-Live.

8 Exceed Admin Training Admin Overview Verifying/Selecting Interventions, Measures, and Goal Banks You will want to select Interventions, Measures, and Goal Banks for the districts. You will want to verify that these Interventions and Measures have been selected for the schools. This should be a collaborative process with the Technical Admin and the RTI Staff.

9 Exceed Admin Training Admin Overview Verifying/Selecting Interventions Go to the District Tab in the Admin Section Select the Interventions Tab If an intervention is checked it can be used in EXCEED; if it is not checked it cannot be used. If a district does not use or have access to an intervention, then the district may choose to uncheck that box so that end users do not see an intervention that they cannot use.

10 Exceed Admin Training Admin Overview Verifying/Selecting Measures Go to the District Tab in the Admin Section Select the Measures Tab If a measure is checked it can be used in EXCEED; if it is not checked it cannot be used. If a district does not use a measure (e.g., DIBELS or AIMSweb), then the district may choose to uncheck that box so that end users do not see a measure that they cannot use.

11 Exceed Admin Training Admin Overview Verifying/Selecting Goal Banks Go to the District Tab in the Admin Section Select the Goal Banks Tab If a goal bank is checked it can be used in EXCEED; if it is not checked it cannot be used. The three goal banks below should be checked by districts.

12 Exceed Admin Training Admin Overview Verifying/Selecting Interventions for Schools Go to the School Tab in the Admin Section Select a School Select the Interventions Tab If an intervention is checked it can be used in EXCEED; if it is not checked it cannot be used. Complete this task for all schools in the district.

13 Exceed Admin Training Admin Overview Verifying/Selecting Measures for Schools Go to the School Tab in the Admin Section Select a School Select the Measures Tab If a measure is checked it can be used in EXCEED; if it is not checked it cannot be used. Complete this for all schools in the district.
