1 Unit 3 Establishing Business Relations Teaching Objectives:  Knowledge Requirements: 1 To enhance students’ awareness of the three major channels to find new customers & establish business relations ; 2 To enable students to become familiar with structural parts and main contents of letters for asking to establish business relations and replies ; 3 To enable students to familiarize themselves with the specimen letters given.  Competence Requirements: To skillfully write structural parts and main contents of letters for asking to establish business relations and replies with conventionalities;

2 Part One Channels to Find New Customers Establishing business relations with prospective dealers is a primarily important step before a transaction in international trade either for a brand- newly established firm or an already established one that strives to enlarge its business scope and turnover. Spreading trade relations greatly and arranging market network particularly are necessary for exporting commodities and importing advanced equipment, key materials and other commodities needed domestically. Thus, it becomes a priority for dealers to find partners before international transactions.

3 But how could a dealer or businessman secure all necessary information about a brand-new market or prospective business partners? Usually a dealer or businessman may approach its new business counterparts abroad or obtain necessary information through any of the following three channels, i.e., ‘Introduction from a Third Person’, ‘Multimedia or Mass Media’ and ‘Self-Assisted Efforts’, for detailed information see the following table:

5 Part Two Letters for Establishing Business Relations Having approached its new business counterparts abroad or obtained necessary information about prospective dealer through any of the above- mentioned channels, it is the time to discriminate and select among prospective dealers, and then write only to those with sound financial standing and credit rating. In writing to a prospective dealer to establish business relations or in its replying, as an exporter, or an importer, what should we mention or emphasize in the letter respectively?

6 Analysis of writing to establish business relations and its reply may help reinforce and strengthen your impression and understanding of the structural parts of writing for the establishment of business relations and those of its replies.

7 2.1 Structural Parts of Writing to Establish Business Relations & Replies Analysis of Specimen Letters: Importer’s Letter for Establishing Business Relations and Reply (See the following tables)

12 2.2 Skills for Writing Structural Parts of Letters for Establishing Business Relations The four structural parts of letters for establishing business relations are courteous, concise and complete enough in keeping the addressee informed of the source of the writer’s general information, intention, business scope, reference as to the financial position, credit rating and integrity, etc., and the writer’s expression of sincere hope and cordial expectation for future business cooperation and a prompt favorable reply till the end of the letter. If the writer intends to purchase for import rather than for export, he/she may also make clearly, concisely but simply his/her requests for samples, catalogues or sometimes for illustrated ones, latest pricelists, and information on the terms of sales or payment, etc. Any letter of this nature received must be answered in full without the least delay and with courtesy so as to create goodwill and leave a sound impression on the addressee.

16 Section 2: Indicate clearly the intention of the letter e.g.  We are writing to you to establish long-standing business relations with you.  It is hoped that by our joint efforts we can promote business as well as friendship.  In order to enlarge our business scope, we are writing to you to seek possibilities of coop.  We thank you for your letter offering your services and should like to discuss the possibility of expanding trade with you.  We are willing to enter into business relations with your firm on the basis of equality, mutual benefit and exchanging what one has for what one needs.  Being specialized/ Specializing in the export of Chinese art and craft goods, we express our desire to trade with you in this line.  We are one of the leading exporters dealing with electronic products in the area and take this opportunity to approach you in the hope of establishing business relations.

17 Section 3: Introduce your firm briefly, such as the business scope, branches or liaison offices if any, financial standing and credit rating, etc. e.g.  We specialize in the exportation of …  We are a leading export company for textiles with many years’ experience.  Our company deals with (handles, deals in, trades in, is in the line of) the import and export of …  We are one of the largest… importer in our country and have handled with various kinds of the products for about … years.  We have the pleasure of introducing ourselves to you as a state-operated corporation dealing exclusively in light industrial goods.

18 Section 4: Express sincere hope and cordial expectation for future business cooperation and a prompt favorable reply e.g.  We are looking forward to your early/prompt/ favorable reply.  We shall be grateful if you would reply at an early date.  Your best coop will be highly appreciated.  Our mutual understanding and cooperation will certainly result in important business.

19 NOTE: Sometimes the terms of sales or purchases are mentioned with catalogues, price lists and other details enclosed for reference. If the writer intends to purchase for import rather than for export, he/she may also make clearly, concisely but simply his/her requests for samples, catalogues or sometimes for illustrated ones, latest pricelists, and information on the terms of sales or payment, etc. and it is up to the writer to just do it the other way.

21 2.3 Skills for Writing Structural Parts of Replies to Letters for Establishing Business Relations Replies to letters for establishing business relations should be submitted courteously, sincerely, cordially and promptly as well.
