CASCE is an online database that all nine NC AHECs use to manage and report continuing education programs. Person and organization records in CASCE are shared by all AHECs, so be careful of changes you make! One small change can have widespread results. For instance, changing an organization address might redirect mail to hundreds of persons! Three steps to get a new user account. Do in this order: 1.Assure that there is a person page in CASCE for the new user. 2.Have the new user create a MyAHEC account at MyAHEC.org. 3.Send an email to the program offices CASCE new accounts manager at ashley_langley@med.unc.edu. State the new users name and the email address used to create his/her MyAHEC account. ashley_langley@med.unc.edu

Create at least one session, one fee, and one credit (even if you select No Credit Offered). Otherwise, your event will not display in online registration. To allow online registrations, set olr_ready to Yes and, for at least one fee, set show_for_olp to Yes. To use online evaluations and certificates, set olc_ready to Yes. Enter presenter and presentation_title so they will display on evaluations. Enter the event location (required)! Check your online registration (OLR) page to assure that an event appears correctly. Delete will delete a person record only after all Affiliation, Membership, Registration, Presentation, Receipt, and Support data is erased. Wherever you are, the Folder icon will navigate to a page one level up in the page hierarchy. The Network icon will display Related Views for this page. 12 Navigation Person Personal Profile Person A person_id is comprised of a persons last name and the last four digits of their Social Security number (PIN), with no space between. Entering this unique identifier is the first part of setting up a person record. Click the ½ (1 of 2) button to mark duplicate person records. Follow the instructions that display. Use this button to deactivate a record. License information allows outside databases to track credits for some professionals, such as pharmacists. Always provide discipline, which might be determined from a persons degrees_certifications, salutation, or license_type or office_title. Make an effort to find out. Nickname is very important when a person does not go by her first name. During name searches, CASCE searches this field too. CASCE adds quotes around a nickname. These data fields are for Health Careers person records. These data fields are populated by the organization record associated with the persons primary affiliation. We only market our events to persons who want promotions. Primary affiliation is the organization where the person works and receives communications. Persons can have more than one affiliation or practice. See all of the affiliations in Related Views. Click Person can have an Affiliation and page through affiliations with the forward and backward buttons. Take care: Watch the header of the affiliation page. You can run out of one persons affiliation pages and into another persons affiliation pages. Both the affiliated organization and city/state/county are chosen from a pick list of records already in CASCE. A correct email address is critical for marketing our events! Critical Details: When creating a new person record, if the person_id is already in use by another person record, add a 1 (a fifth digit) to the person_id. If that person_id has also been used, try adding a 2, and so on, until a unique person_id is found. If you record a last-name change, dont forget to change the person_id also! You cannot delete an affiliation when it is designated as primary. Click the Change button and click the Clear button in the window that displays. Then access the affiliation in Related Views. Click Person can have an Affiliation, locate the affiliation and click the Delete button.

13 Navigation Person Market Interests Comments Related Records Person At the bottom of a person page are lists of related records. Click a blue arrow to display a list. Items in this list are a persons registrations for events. The blue numbers are navigation links to SR-AHEC records. Add markets to indicate a persons topic interests. We reference this information to notify target audiences of continuing education events. These related records identify receipts from a person, a persons past due debts, and any event presentations this person has done. These comment boxes allow entries such as Vegetarian. If a person is self-employed, add this market and give further information (business name, etc.) in the comment box.

Event This cloning tool in Related Views allows you to create a new event from an existing event. Look for other tools you can use.

15 Navigation Event 1-Description Settings event_status allows registrations (Open, Waiting List Only) or not. event_type defines the audience and business basis. event_structure defines the educational approach. event_status Open Filled Canceled Planning Waiting List Only Closed event_type public non-contracted public contracted private non-contracted private contracted event_structure asynchronous series asynchronous workshop blended learning conference practice based education series workshop Asynchronous implies an online event where attendees are not present at the same time. Blended learning implies a mixture of approaches. Conferences tend to be large gatherings with multiple sessions, sometimes over multiple days. Practice-based implies practice improvement goals within a topic, such as asthma or diabetes. Workshops tend to be smaller, single-day gatherings. Event

16 Navigation Event 2-Description Settings calendar_scope Internet & Intranet allows website calendars to display events. Not on any calendar prevents display. olr_ready Yes allows display of an event for online registration. No prevents display. olc_ready Yes allows display of an event in an online evaluation and certificate system. No prevents display. Access to Online Systems These settings control display of CASCE event information by other online systems, such as online registration and myAHEC.org. Registration Controls track_selection_required forces online registrants to pick a track, a pre-defined group of sessions suited to a topic or discipline. attend_estimate limits the number of online registrations. When this number is reached, a message to telephone the registrar is displayed to registrants. Registration Summary is continually updated to reflect registrations processed. Critical Details: The olc_ready and olc_ready settings allow information in specific data fields to appear in related online systems. However, there are many other event and session data requirements for successful interface. For complete information, use the buttons in the Related Systems section on the Navigation page. Event

17 Navigation Event 3-Description Settings budget_discipline identifies the events financial sponsor, an important reporting point. Always enter a budget_discipline ! These report settings control special treatment of credit and attendance data. reporting_contact_hours and reporting_headcount capture attendance data when attendees are not processed through the Quick Registration page. reporting_exclusion prevents the event data from inclusion in regional or statewide statistics. In CASCE, click the yellow question marks for explanations or definitions. Event

18 Navigation Event 4-Description Settings internal_comment is used to post information that will be seen only by staff. topic_keywords are important filtering tools! For instance, if the keyword EBP is entered into all events sponsored by the Evidence Based Practice Center then it is possible for special queries to capture data for all EBP events. brochure_url stores a link to an online brochure for an event. This link appears in online registration for customer information. A brochure typically contains detailed credit information and a registration form for alternative registration methods, such as fax. event_description also appears in online registration. Event

19 Navigation Event 5-Description Settings Data fields in this area of the event page are self-explanatory. target_audience and objectives are required to comply with accreditation rules. Enter each objective in a separate data field so they will display properly in online registration! Event

21 Navigation Event 1-Event Fees Sessions Tracks Electives Click the Add button to create a new fee. Click the Reorder button to revise the order in which fees are listed. See the following page for instruction. The show_for_olp setting makes a fee appear in online registration or not. An event will not appear in online registration without at least one active fee. Even a free event MUST have at least one fee. Set the fee amount to zero. Special fees can be created for students, speakers, or exhibitors. The registrar must pick the appropriate fee as she performs registrations in person or by phone or fax. If an Earlybird discounted fee will be replaced later by a Regular fee, set the Regular fee begin_date to the day AFTER the Earlybird expiration_date. In online registration, they will change places at midnight between the two dates. Critical Details: Typically, SR-AHEC uses event fees, but fees may also be set for individual sessions. Our use of online registration influences fee considerations. If online registration is desired for an event, show_for_olp MUST be set to Yes for at least one active fee, or the event will not appear online. olp = online payment Event

22 Navigation Event 2-Event Fees Sessions Tracks Electives On the popup page, indicate the desired fee order in these data fields and click the Save button. Fields left blank will cause the associated fees to be listed first. Alpha-numeric combinations can be used, such as 1A, 1B, 2A, 2B. If ten or more fees are being reordered numerically, you MUST enter two-digit numbers for all fees: 01, 02, 03…..10, 11, etc. To reorder fees, click the Reorder button. Event

The registration process may require attendees to choose from multiple concurrent (breakout) sessions. A list of sessions appears on every event page. Each blue session number is a link for opening that session page. Sessions are created and accessed on the event page. Critical Detail: Every event must have at least one session, which gives details that are not on the event page. You must enter a session location ! Otherwise data from your event will not appear in management reports. For complete information on Sessions, click the Session Page button on the Navigation page. Click the Add button to create a new session from scratch. Click the Rubber Stamp icon beside a session to clone (duplicate) it. Cloning saves time when you want to produce a new session with settings similar to an existing one. Click the Reorder button to change the order of sessions. Along with the session name, the start time and number registered to attend appear here. Event

24 Navigation Event 4-Event Fees Sessions Tracks Electives Tracks and Electives are features that organize sessions for selection during the registration process. Within a track, a session can be required or pre-selected, or it can be an elective. Or electives can be used without tracks. Track selection itself can be required during the registration process, or it can be used to guide customers to sessions that seem appropriate for them. 25 Navigation Event Financials A support is money from another organization used to help fund the event. If sufficient financial data is entered, then CASCE will produce various reports, including profit and loss. Open the event and click the Related Views icon. Select a report in the list. Event

27 Navigation Session 1- Description Settings Critical Detail: Every event must have at least one session, which gives details that are not on the event page. You must enter a session location! Otherwise data from your event will not appear in management reports. Enter complete session information! When you create a session, only part of the data is entered, as shown in this illustration. When you save the session, the full session page opens in edit mode, and you can enter the remainder of the information. The max_attendance setting will stop registrations when that limit is reached. The n_attendance data field displays the current number of persons registered for this session. The min_attendance field indicates the number of registrations required for a viable session. By default, the session start and end times and the check-in time default to the event settings. Click these buttons to change. Session

28 Navigation Session 2- Description Settings On the event page, click a blue session link to open the session page. If you reordered sessions, a sessions sort order displays here. A session can be required. An example would be an opening session in a large conference that everyone is expected to attend. In addition to the overall event objectives, each session can have objectives. Put each objective in a separate field. The full session page will appear, displaying all the data you entered in edit mode. If a session description is entered, it will appear in online registration along with the event description. Session

If the olc_ready setting on the event page is set to Yes, credit information from session and event fields will print on online certificates. Track selection itself can be required during the registration process, or track selection can be offered to help customers choose sessions that are appropriate for them Options for Using Tracks and Electives … Tracks and electives are very flexible. Consider the three options on the following pages… No simultaneous sessions. Registrants may attend Day 1, Day 2, or both days: Create three tracks and associate a fee with each: Day 1, Day 2, Full Conference. Track selection itself can be required during the registration process. 1 Session

Registrants may choose one of three levels of medical Spanish instruction and an optional elective in the Advanced track (lunch in Spanish) for an extra fee. Create three tracks: Easy, Intermediate, or Advanced Spanish. Create a lunch elective in the Advanced track and associate a fee. In registration, the extra fee is added to the registration fee. When you create a track, all existing sessions and fees appear on the page as candidates for inclusion in the track. Checkboxes allow you to include a session in a track, pre-select it as an event requirement, or require it with the track. Similarly, fees can be associated with tracks. Critical Details: Session fees, tracks, and electives currently (02/2014) do not work in online registration! Session This example uses Tracks to register attendees of three levels of language proficiency.

This gray popup page is where the electives are created, by selecting sessions and/or fees for inclusion in an elective. The elective being created here is the Day 2 Lunch in Spanish option and a special fee is associated with it. Elective Included in Elective Session This example uses Electives to register attendees for Day 1, Day 2, an exercise option, and a lunch option.

39 Navigation Session Location Presentation Session Location and presenter must already be in CASCE before you can enter them here by a find-and-select process. Critical Details: Enter the event location or attendance will not appear in data reports! Enter presenter and presentation_title so they will display on evaluations. When you click the Add button, you will be guided through the search process to find and select the presenters person record. Then click the Edit button to enter the remaining presentation information. When you click the Edit button, you will be guided through the search process to find and select the locations organization record and the meeting room. 41 Navigation Organization 1-Contact Details Org Some large key organizations, like Cape Fear Valley Medical Center, are locked by the CASCE liaison. Only the person who locked an organization record (or the program office) can unlock and modify it. To prevent the creation of an organization record for every address at Cape Fear Valley Medical Center, we apply this generic record for many uses. Mail is directed to CFVMCs own mail sorting center at PO Box 2000. The sorting center will deliver mail to any CFVMC entity in Fayetteville. The nickname field stores alternate names for an organization. When you search for a record by name, CASCE looks in the name and nickname fields. The contents of directions will display in online registration when an event is held at this location: You can enter directions OR… You can enter a full URL to a web page or online document (.pdf) Critical Details: Organizations are associated with Event records as the location of the event. Items in this list of meeting rooms are editable from here. Some lists provide links for navigation. Here, the blue receipt link will navigate to that receipt page.

46 Navigation Group 1- Capture/Release Settings Group Critical Details: Groups are used mostly for advertising by email or mail. Caution: Settings for minimum total_ncahec_registrations and last ncahec registration will severely reduce the population captured! Create a group in three steps: 1. Add a group. 2. Enter retrieval settings and save. 3. Populate the group: Open Related Views and choose Multiple Characteristics. 1 2 3

47 Navigation Group Event Registration Fees Group Critical Details: Less is more: The more selections you make in Multiple Characteristics, the smaller and more specific will be the population captured. Selections work like elements in an equation separated by AND or OR. Each element makes your selection more specific. Target Population = (Region OR County OR States) + Discipline + Occupation + Workplace + Markets If you make a selection for each element, you will capture very few persons in your group. Selections in Multiple Characteristics define the person records that you want to capture in your group. To de-select Southern Regional, press the Ctrl key on your keyboard and click Southern Regional. Press Ctrl and click to make multiple selections.

48 Navigation Group 3- Capture/Release Settings Group Critical Details: Not all the members captured to a group are eligible for retrieval. When capture/release settings are applied to the group, some members will not qualify to appear on the final membership list. Why? Because some person records have no email address, some persons have requested not to receive promotions, and other such reasons. 1. Captured 2. Settings Applied 3. Eligible for Retrievable

49 Navigation For email campaigns, select both of these settings. Group 4- Capture/Release Settings Group Critical Details: If you are doing an email campaign, you will capture more persons by selecting eMail and Both for Correspondence Method. On a person page, Both implies that they welcome US mail and email. You dont want to miss those! Record the Group Number for use in Arial bulk email campaigns. If you want to keep your group longer than 6 months, change this expiration date. We dont violate a persons wishes NOT to receive promotions. Nor should we gather from inactive records. You can capture or release a person. Adding yourself to a group for a mail or email campaign is a good idea for quality control. Use these settings carefully to retrieve only current and active customers.

50 Navigation Group 5- Capture/Release Settings Group Critical Details: But how do you get your mailing list? You can to export your list to Excel. Or from your group to another place in CASCE. Open Related Views 1 2 Or, avoid web queries: Click on the list that displays, select all (Ctrl A on your keyboard) and copy (Ctrl C). Then paste into an Excel spreadsheet.

51 Navigation Quick Registration Event Registration Event Fees Critical Details: Quick registration displays data from other pages, including person, event, and session. Each registration, payment and receipt has a unique number that can be clicked to open its page for details. CLICK HERE for instructions on doing a REFUND. After a person is registered, their status is Attended. Click one of the Cancel buttons (On Time, Late, No- Show) to change the status. On the quick registration page, click the Event button to find and open your event for registration work. Basic event information and status display. If a registrant cannot attend, you can assign a substitute attendee. You can add a new attendee, put an attendee on the wait list, or drop a person from the list of attendees. If a registrant cannot attend this event, you can transfer their registration to another event. Always enter this important information ! Click the Select button to open a list of event fees. In this window, you can Add or Drop a fee. An added event fee amount and description will appear here. Quick Register If an event's status is "Open" you can register a person. If the event status is Filled or Waiting List Only, you can put a person on the event waiting list. Click Wait List instead of New to create the registration.

52 Navigation Quick Registration Session Registration Session Fees and Credits Critical Details: A person registered in an event must also be registered in at least one session! For some events a person will be registered in multiple sessions. Before dropping a registration, you must first drop all sessions, fees, and payments associated with the registration! Click the Add button to add a persons attendance in a session. In the window that displays the list of sessions, click a button to select a session. Quick Register All selected sessions and their associated credits and session fees will appear in this list in the block titled Attendance in Session(s).

53 Navigation Quick Registration Total Fees Payment Balance Comments The total of all event and session fees is shown here as the registration_fee. Quick Register Click Add to add a payment for this registration. (Note that the funds to be applied as payment must already be recorded in CASCE as a receipt.) You will pick the receipt from a list of available receipts. The payment will appear here, where unique numbers are associated with the payment and the receipt, respectively. 54 Navigation Online Registration Registration Chooser Critical Details: Online registrations take place at http://www.aheconnect.com/ncahec/findevents.aspx?a=8 and wait in a buffer until SR-AHEC staff process the registration information into CASCE. http://www.aheconnect.com/ncahec/findevents.aspx?a=8 Online Registration is a CASCE menu item for staff with special access for this function. Request access from the NC AHEC program office. Online Register Choose an event, then choose a person from the list of registrations. Click the Search button to display the registration processor page. OLR Checklist for Registrars!

55 Navigation Online Registration 1-Registration Processor Critical Details: After processing an online registration, complete the registration (session, credit, and payment) in Quick Registration! Avoid creating duplicate person records! Check the registrants person page to assure correct transfer of all data like email_goes_to and correspondence_method. Online Register 1. Information entered by a registrant appears in the left column, the Online Registration (OLR) Buffer. 2. If a CASCE person record exactly matched information entered by the registrant, that person record will appear in the right column. (A match is made by last name, last four digits of SS, and home Zip code.) Update as needed and click the Approve button to process the registration. 3. Use these arrows to move individual data fields from the buffer to the person record. Buffer data will overwrite (update) person data. Use this arrow to move a whole section of data from the buffer to the person record. 4. When the registrants person record is correct and complete, click the Approve button. Guide to Good Searching! Do not Deny a registration! The NC AHEC program office would have to retrieve it.

To pull an existing person record into the right column, click the Lookup Person_ID button, and locate the existing record. Update as needed and click the Approve button. 1. If online registration does not find a CASCE person record that matches information entered by the registrant, then only the registrants would-be person_id appears in the right column. Credit card transaction information is shown at the top of a registration. The credit card approval code (VLEEAA5C251F) is a code generated by PayFlow Pro (PayPal), our credit card processing system. The code provides a cross reference among our records. Note: The approoval code automatically appears on the payment page, but does not appear on the receipt page. Place the code in the receipt_id field. 3. When the registrants person record is correct and complete, click the Approve button.

Enter additional information from the OLR Buffer to make a more complete person record. Note: This code is a combination of the event number, the registrants person_id, and the type of CE credit. It serves as a cross reference.
