3 What is required What is our clients requirements
Virbac supplies a number of products that require temperature control Some of these products include Websters 3 in 1 LV+ Sel Websters 6 in 1 + Se LV Cydectin eweguard 6 in 1 CYDECTIN WEANERGUARD WEANERGUARD SE + B12 Freight being dispatched must arrive to the final user in a cold condition otherwise the product will be spoiled

4 STEP 1 – CHECKING OF DISPATCH DOCKETS
DGL Office Staff receive the Virbac Picking list and process the order in the LMS system, Office Staff to attach an invoice envelope with a copy of the Virbac Docket. DGL Storeman to check the DGL docket against Virbac paperwork checking that the following information match Product Name Product Code Batch Code Expiry Date Quantity Location 3. In the circumstance this does not match the paperwork to be returned to the office staff immediately and the problem rectified. DGL Paperwork Virbac Paperwork

5 STEP 2 – Freight Companies to be used
DGL Storeman (Picker) to locate stock as specified. As products need to be kept cool, two different transport companies are used to use the freight arrives in cold condition The map shows the are for road freight Area beyond this point are to be shipped via airfreight

6 STEP 3 – CHECKING PRODUCT LABELLING
DGL Storeman (Picker) to locate stock as specified. DGL Storeman (Picker) to check the label against the DGL docket & Virbac paperwork checking that the following information match Product Name Batch Code Expiry Date Once all information is confirmed the Storeman (Picker) is to pick the quantity of stock required. If for some reason the quantities do not match inform Office Staff immediately whom will need to investigate the reason for this been so. EXPIRY DATE BATCH

7 STEP 4 – Packing of Goods A second DGL Storeman (Checker) is to check that the DGL Storeman (Picker) has picked the correct product by checking the DGL docket against Virbac paperwork checking that the following information matches Product Name Batch Code Expiry Date Quantity 2. DGL Storeman (Checker) to pack the required quantity into an esky 3. Under no circumstance are the Virbac products to travel without appropriate packaging.

8 STEP 5 – Packing of Goods DGL Storeman (Checker) to put 2 ice packs inside sealed bags note: this also reduces the risk of condensation coming into contact with the product 2. Place the ice packs on top of the bubble wrap inside the esky 3. Under no circumstance are the Virbac products to travel without appropriate packaging. Ice Packs

9 STEP 6 – Packing of Goods DGL Storeman (Checker) place the esky’s lid on and tape it shut note: Place the tape in a “T” shape across the top of the box and allow it to go down the sides making it secure. 2. Under no circumstance are the Virbac products to travel without appropriate packaging.

STEP 7 – Labelling of Packed Goods DGL Storeman (Checker) to place the following on the outside of the sealed esky Address Label “Refrigerate on Arrival” Sticker Hand write the Virbac Reference number Copy of the Virbac paperwork enclosed in an invoice envelope and stuck to the Esky (attached to the back of paperwork) In circumstances when there is more then 1 esky for the consignment it is to be written on each of the esky as 1 of 4 or 2 of 4 and so on. 2. Under no circumstance are the Virbac products to travel without appropriate labelling. “Refridgerate on Arrival” Sticker Virbac Reference Number esky number for consignment Address Label Virbac Paperwork

11 STEP 8 – Completing Paperwork
DGL Storemen (Picker &Checker) to complete DGL’s Picking Docket making sure that the following are completed Confirmation of Batch-Per product line Confirmation of Quantity-Per product line Confirmation of the Total Name of the 1st Check - Picker Name of the 2nd Check - Checker 2. Under no circumstance are the Virbac products to leave the store without the paperwork been completed Total Confirmation Batch Confirmation Quantity Confrimation Name of 1st Check - Picker Name of 2nd Check - Checker

12 STEP 9 – Despatching Goods on Transport
DGL Storeman to load the vehicle with goods and obtain the following information from the driver on the DGL Outwards Docket Signature Printed Name Date Rego Number Storeman is required to obtain a copy of the con note signed by the driver All paperwork is to be handed to the Office Staff whom will scan and POD and file away. 4. Under no circumstance are the Virbac products to leave the store without the paperwork been completed. Printed Name Date Signature Rego Number Con note
