3 100 One of the residents on your service has become ill, requiring you to make some last minute changes to the call schedule only three days before the start of the rotation. The residents have already had their call schedule for the last two weeks. How would you try to resolve this situation?

4 Call Schedules Changes after distribution – in consultation and approval of affected residents Schedule is important for residents to plan their lives and changes without asking residents first may cause them hardship Article 16.2 - must be distributed at least two weeks in advance If appropriate, you can use the emergency clause of the PARO-CAHO Agreement – Article 16.1 (c)(i)

5 200 On your service, a resident is scheduled for a Saturday in-hospital call, and a Sunday in-hospital call on the following weekend. The resident asks you if they can be scheduled for in-hospital call two weekends in a row. How would you try to resolve this situation?

6 Call Schedules A resident may be required to work two consecutive weekends of in-hospital call. Residents must have two complete weekends off per 28 days. –A weekend is defined as commencing Friday night at midnight. Residents cannot be required to round or perform clinical duties on weekends when they are not on call. A resident cannot be on home call two consecutive weekends.

7 300 A resident approaches you to inquire if it is possible to take the following week off as vacation, as his/her spouse has become ill and requires a surgical procedure. Two other residents have already been approved for vacation next week and you can’t grant a third resident vacation and have the service function. You are aware that one of the residents on vacation next week does not have any formalized plans, and was just going to stay in town to relax. How would you try to resolve this situation?

8 Call Schedules No mechanism for revoking pre-approved vacation However, you certainly can: –Canvass the two residents for a switch –Teamwork! Propose to the service if you think as a team (not just residents but other docs on the team) can cover without this resident If appropriate, you can use the emergency clause of the PARO-CAHO Agreement – Article 16.1 (c)(i)

9 100 A resident is taking their 5 day Holiday Block entitlement from December 22nd – 26th. The resident has also requested additional vacation time during the Holiday Block. Can residents take additional time off during the Holiday Block?

10 Vacation Residents are able to request additional vacation time off in December over and above the 5 consecutive days provided. If the program feels that the resident is able to achieve the objectives of the rotation with the remaining time on service, and if there are no other concerns with patient or professional responsibilities being met, the additional vacation should be approved.

11 200 A residents program has stated that professional leave will only be granted if a resident can demonstrate that they are attending a conference or a course during this time, however the resident wants to use the time to study. The resident asks you for clarification on professional leave days.

12 Vacation Article 12.1 outlines that residents are entitled to 7 days of leave per year for educational purposes. Residents DO NOT need to be attending a seminar or course to take these days, and the days may be used for reading/studying etc. Residents are not required to disclose what they are using the professional leave day(s) for.

13 300 A resident is on your service for one month and asks you for one week of vacation plus two professional leave days The Program Director has told you that residents must be present for 75% of the rotation. But this particular resident has requested one week plus two days. How would you try to resolve this situation?

14 Vacation There can be no blanket policies restricting the amount of vacation in any rotation -Article 11.6 NO minimum number of days on service policies under the PARO-CAHO Agreement Requests should be evaluated on a case by case basis The request should be granted if the resident can be properly evaluated with the remaining time on service

15 100 An off service resident has asked to use their “floating holiday” on Friday, November 15 th You think to yourself, “Floating holiday?” I’ve never heard of such thing” How would you try to resolve this situation?

16 Holidays & Lieu Days Article 13 of the PARO-CAHO - one (1) floating holiday per year. In addition to vacation and professional leave days. To be used at resident’s discretion Grant the use of the floating holiday if possible. Statutory Holidays 1. New Year’s Day 2. Family Day 3. Easter Friday 4. Victoria Day 5. Canada Day 6. August Civic Holiday 7. Labour Day 8. Thanksgiving Day 9. Christmas Day 10. Boxing Day 11. One (1) floating holiday

17 200 PGY1s on your service were required to attend a mandatory orientation on June 30 th. One of the residents contacts you to ask if they can be required to complete Orientation prior to July 1 st. How would you try to resolve this situation?

18 Holidays & Lieu Days Given that July 1 falls on a Friday this year, PARO’s expectations are: If PGY 1 orientation will take place on June 30th, a lieu day or pay in lieu will be provided to the resident. Thought should be given on how to provide the orientation to any resident who is not able to attend a session prior to July 1, and an alternative should be offered. Incoming residents participating in an orientation activity prior to July 1st will not be placed in a position where their CPSO registration requirements will be violated and they will not be required to participate in any clinical duties.

19 300 At the end of September a resident on your service indicates that Friday, October 25 th is a religious day for him/her and needs to have the day off work and be free of call that night. You have already placed that resident on call for that evening. How would you try to resolve this situation?

20 Holidays & Lieu Days Acting for the employer- make reasonable attempts to provide the time off as per the Ontario Human Rights Code Help your residents understand that working as a team and notifying you early of requests for vacation, nights free of call and religious observances means that everyone can get the best accommodation for time and call schedules early Remove the resident from call that evening
