3 What is Absence Management? Absence Management is a rules-based PeopleSoft HCM Enterprise application which allows an organization to control the reporting, planning, approving, and processing of absence data. Absence Management allows organizations to create “elements” for eligibility, accruals and calculations without a strong knowledge of SQL. Absence Management utilizes Manager Self-Service and Employee Self-Service functionality to enter, approve and track absence data. Absence Management is delivered with integration to PeopleSoft Enterprise Time and Labor, Payroll for North America, Global Payroll, and Payroll Interface.

4 Nomenclature Absence Event – Time a Payee is absent from work o Example: Five days away from work Absence Take – Reason for the Absence Event o Example: Vacation Daily Data – All hours and Absence Takes reported for a single day o Example: Eight hours of Jury Duty on Monday Positive Input – Units of paid and unpaid time o Example: Eight hours of Jury Duty on Monday and Tuesday Entitlement – Amount of paid leave time that a Payee is eligible to take o Example: Four days of funeral leave for a family member Payee – Person whose time is tracked in Absence Management o Example: Employees or Contingent Workers Units – Amount of time taken o Example: One hour

5 Nomenclature (continued) Areas of Possible Confusion: o Absence Management utilizes Pay Groups that are mapped to Payroll Paygroups, but they are not the same o Absence Management utilizes Earnings that may be mapped to a Time Reporting Code (Time and Labor) or an Earnings Code (Payroll for North America or Payroll Interface)

44 Considerations for Integration with a Time Collection Device (TCD) System Two files must be sent from the Time Clock System. o There are no delivered interfaces between Absence Management and TCD systems. If the TCD system was implemented first, then all leave accrual rules must be removed from the TDC system and all processes tested. The timings must be considered: o When will entitlements/takes be calculated? o When will Time Administration be run? o When does the first pay calc need to be run?
