1 EVERYTHING YOU EVER WANTED TO KNOW ABOUT ONCORPS AMERICORPS TIMESHEET AND REPORTING TUTORIAL

2 WHAT IS ONCORPS? OnCorps Reports is a web based application that is intended to help AmeriCorps programs gather the data they need to meet their reporting requirements. Each member will have an OnCorps account after his or her paperwork has been processed. Members will use OnCorps to log and submit timesheets, monthly great stories and reflection logs, and quarterly reports.

3 LOGGING ON When using the OnCorps Reports site you will be directed to a homepage mi.oncorpsreports.com that prompts you to choose a program year.

4 LOGGING ON The only time your username and password will not work is if you chose the wrong program year. I logged in to the 2013-2014 year! OOOPS!

5 LOGGING ON After choosing the correct program year, select AmeriCorps Member as your login option under VCOAP or Veterans 2-1-1

6 UNDER THE TIME TRACKING MENU YOU CAN ENTER HOURS, VIEW TIMESHEETS, AND VIEW HOW MANY HOURS YOU HAVE WORKED DURING YOUR SERVICE TERM. Time Tracking Enter Timesheets List Timesheets Member Total Hours Year-To-Date

7 ONCE YOU PICK THE RIGHT PAY PERIOD YOU CAN: Fill in hours worked in quarter hour increments (numbers ending in.00,.25,.50, and.75) Submit hours spent fundraising, at trainings, or providing direct service Describe responsibilities and schedule of each day Edit and save the timesheet until it is due

9 WHAT ARE THE FUNDRAISING AND TRAINING SECTIONS? Fundraising Must have fundraiser approval form reviewed/signed by Program Manager All hours spend preparing for a fundraiser, fund raising, and following up on donations must be logged Explain: how you were fundraising, your part in the fundraising, and where the funds go Training Trainings, professional development, conference calls/webinars, orientations and MAUW-sponsored meetings, conferences, and MAUW/AmeriCorps events Do not include time spent training others in this section Travel time to and from trainings should be logged in this section

10 WHAT IS DIRECT SERVICE AND HOW DO I LOG IT? Direct service hours are tasks done that relate to a member’s service plan and program goals Note: If you attend a staff meeting at your site and it does not involve a training or professional development, those are direct service hours

11 TIPS FOR TIMESHEETS Only record time spent serving. No need to explain on your timesheet why you are not serving or have few hours in a day. Do not mark “holiday”, “out sick”, “on vacation”, “office closed”, etc. on your timesheet. Be specific yet brief. Report every day as if the reader knows nothing about your program Be professional. Use proper grammar and spelling Reread before submitting to avoid typos Don’t use emoticons Don’t use abbreviations or acronyms Don’t use people’s names

12 TIMESHEET DUE DATES AND APPROVAL PROCESS Please submit timesheets on time! They are due bi-weekly. Note: Early time sheets will not be approved Expect requests for edits from program staff. After your site supervisor approves your hours, MAUW staff will review all timesheets to ensure your hours are in compliance with AmeriCorps Common errors: hours do not correspond with daily description (example: member attended webinar but did not mark training hours), unknown acronyms, time off or fund raising request has not been approved You will receive an email from OnCorps if edits are needed Please make edits as soon as possible and resubmit the timesheet

13 MONTHLY REPORTS AKA REFLECTION LOGS AND GREAT STORIES Monthly reports are a chance to log more detailed information about the progress towards your program goals. Program staff use your reports to complete reports to our program funder. Members will be asked to complete a REFLECTION LOG and a GREAT STORY for each month, due the 5 th of the following month.

14 THE REPORTING MENU WILL HAVE OPTIONS FOR YOUR MONTHLY REPORTS Submit Reports: Great Stories Reflection Logs Make sure you are choosing “Submit Reports” not view reports to enter your data.

15 Reflections tend to be about thoughts and feelings: It felt so great to help someone! I believe in the importance of service. That little boy always looks so happy when I arrive to tutor him! It is important to tell people about the importance of service! Reflection Logs Successes! Challenges! Goals!

16 GREAT STORIES With my help, Suzy increased her reading ability by one whole grade level! I’ve decided to change my career plans to work in a service field. Before I started mentoring her, Anna missed school at least once a week. Now that have mentoring sessions each week, she’s only been absent once in the last month! I’ve recruited several friends and family members to apply for AmeriCorps positions. Quantifiable Change!!!

17 THEY AREN’T MUTUALLY EXCLUSIVE! Often, you can use a reflection piece as a foundation for a great story Just take it one step further—and look for the impact! What CHANGED? –What will others notice? –The change can be in you, in a single other person, in a group, or in a community.

18 EVERY GREAT STORY MUST INCLUDE… Who you are, and where you serve Where and when the story happened Who was involved What happened? What was the IMPACT?

19 AND WHEN YOU’RE FINISHED… Submit your story to your site supervisor and/or Program Director as you’ve been instructed. Be sure to print a copy for yourself!

20 REVIEW YOUR STORY/LOG Check spelling and grammar—it’s always good to have another set of eyes! Make sure no one’s privacy has been trampled on Be sure you have represented your service accurately—as service, not as a job

21 WHY ARE GREAT STORIES SO CRITICAL? They communicate the impact of AmeriCorps service –To funders –To legislators –To National Service policy-makers –To your community and partners They help to educate the public about the necessity of national service

22 AND LAST, BUT NOT LEAST They validate the commitment you have made to improving your community!
