Repeat Policies Office of the University Registrar December, 2011
2
Why the change? Uniformity and clarity in our records Students were not requesting D/F repeats Colleges/Schools interpreted the D/F repeat policy differently creating an equity issue Students repeated classes beyond the 60 hour threshold Policy was silent on repeated classes for graduate and professional students
3
Two prongs of the new policy D/F repeat Second level
4
D/F repeat Courses eligible for the D/F repeat must be taken before or in the term the student completes their 60 th hour. Second attempt may be taken at any time prior to graduation. The calculation of this term is based upon attempted hours subtracting any classes dropped with a “W” mark. Only students pursuing their first undergraduate degree are eligible for the D/F repeat policy.
5
D/F repeat 60 hour computation includes transfer credit, AP and CLEP credit, military service credit and credit by examination 60 hour computation also includes courses previously excluded by an earlier D/F repeat petition 60 hour computation also includes courses with a mark of “I” or “NR” 60 hour computation also includes courses in which the student earned an “F”
6
D/F repeat The Office of the University Registrar will run a process after grading each term to identify courses eligible for the D/F repeat policy and code them appropriately with the “I” and “E” indicator respectively. The “I” means that the course is included in earned or degree hours as well as quality or GPA hours. The “E” means that the course is excluded from both. The “I” is always placed on the second attempt even if it is a lower grade. For example, student earns a “D” and repeats the class but earns an “F” the second time. The “F” is marked with an “I” while the “D” is marked with an “E”.
7
D/F repeat For courses repeated in future terms, the D/F repeat petition will no longer need to be filed. This will be an automatic process. For courses repeated in terms prior to fall 2011, the repeat petition will still need to be filed. The new process does not work retroactively. It is triggered by a course being repeated in current term.
8
Second level Undergraduates who are not eligible for a D/F repeat Graduate Students Professional Students NOTE: This only applies to classes not repeatable for credit.
9
Second level Process will mark repeated courses with an “A” and an “I” respectively. The “A” indicator means that a course is excluded from earned or degree hours, but is included in quality or GPA hours. The “A” repeat indicator is new for WVU. The “I” indicator is used to designate the second or final attempt of a class. This attempts is included in earned or degree hours as well as quality or GPA hours.
10
Second level The “I” indicator will always be on the second or final attempt of a course. The second or final attempt is always controlling.
11
Second level Who is subject to the second level repeat process? Undergraduates Repeated a course beyond the term in which they completed 60 hours. Repeated a course they had previously earned a grade other than a “D” or an “F” regardless of term taken.
12
