1 Faculty annual reviews at the iSchool Summary by Steve Sawyer 19 February, 2016 For discussion

2 Purposes are to: a)assess the prior year’s accomplishments in terms of teaching, research and service as appropriate to their appointment b)advise the faculty member in his/her preparation for reappointment, promotion or tenure as applicable, c)consider the appropriateness of potential external reviewers, d)consider the various sources of evidence which will be used in support of reappointment, promotion or tenure (for TT positions), e)discuss the faculty member’s plans for the next academic year and the resources needed to achieve those plans, f)discuss changes in the needs of the School that might affect the faculty member, and g)provide a basis for a merit-based salary increase.

3 Ethos (not in policy) Provide guidance and feedback for our colleague Leverage informal mentoring – So we want to be sure a mentor is involved – Build a trail of evidence Learn about our colleague and their work (building intellectual capacity)

4 Process (1) Personnel Committee (PC) identifies annual review committee (Jan-Mar timeframe) – Three people, PC member chairs, we have begun to include mentors as a practice (not a policy) – Person to be reviewed leads scheduling (for a 1.5 hour meeting) – Person to be reviewed provides documents as specified in Table 3 of Personnel Policy See Barbara Kwasnik’s handy-dandy write up (diminsihed in some parts by my editing)....

5 Process (2) Colleague provides committee materials (two weeks in advance, to allow for review) Meeting begins with committee (colleague not present) to review materials (including last year’s letter) Meeting continues with colleague and committee in discussion Annual review report produced from meeting

6 Annual review report (letter) Provide guidance to colleague and dean Basic template (not in policy, not often in practice, so being suggested here) : – Summary of the meeting arrangements – Recap of previous year’s letter /progress – Summary of research/professional practice – Summary of teaching – Summary of service – Perhaps – summative statements and also include additional issues or considerations if there are….

7 Process (3) Colleague meets with dean (and the annual review letter is central to the meeting) Dean writes a development letter: – indicating the results of the annual review and recommendations for … the coming year. – This letter is separate from the salary letter. Dean provides a letter to Provost’s office (typically in mid-March of each year) on this.

8 A few issues Materials to provide: – Specific things to provide? – Reflective statement v. personal statement? – Source of previous year’s letter (dean or colleague)? Involvement: – Mentors on the annual review committee? – Colleague’s involvement in drafting letter/report? Quality of the letter (it is not a love letter; but, it is a letter which evokes care, guidance and clarity) Participation (pre-promotion and special rules)?
