1 Duties of the Church Clerk

2 You have accepted the position of Church Clerk. Congratulations! Very few of your members realize the importance of your job. They have little idea the types of things you do to keep the church running smoothly and the members happy. It could be that you too are wondering, “What does the church clerk do?” That’s what this presentation is about. We are going to spend some time looking at the role of church clerk. So, let’s begin… WHAT DOES THE CHURCH CLERK DO?

3 MEMBERSHIP MATTERS MANUAL Please keep the Membership Matters Manual (MMM) within reach. This will provide added information as well as examples. You will see the names “online” and “offline” clerk. If you are set to use eAdventist.net, you are an online clerk.

4 As the church clerk, it is your responsibility to see that minutes are taken at church board and church business meetings. These minutes are permanent records of your church and its activity. These are to be stored where they can be located for future reference. Do not destroy these records. CHURCH BOARD AND BUSINESS MEETING MINUTES

5 Members join your church in one of three ways: 1.Baptism 2.Profession of Faith 3.Letter of Transfer INCOMING MEMBERS

6 It is IMPERATIVE that the baptism information be entered on eAdventist If you are an online clerk, it is your responsibility to enter all requested information in eAdventist. If not, please send the information to your conference clerk so she can enter it into eAdventist BAPTISM

7 As with baptisms, it is necessary to record all pertinent contact information in eAdventist. If you are an online clerk, you are responsible for entering this information. If not, you must send the information to your conference clerk so that it can be entered in eAdventist. PROFESSION OF FAITH

8 Once an individual has chosen to join your church, gather the following information: The full name of each BAPTIZED family member wishing to transfer. The full name and mailing address of the church where their membership is currently located. If you are an online clerk, enter the transfer request. If offline, send the info to your conference clerk. DO NOT SEND THE REQUEST TO THE OTHER CHURCH! TRANSFER OF INCOMING MEMBERS

9 Get the name of the individuals and the church where their membership is currently located. Take the name to your church board for approval. Enter the request online with eAdventist OR Contact the conference clerk so she can enter the transfer in eAdventist. FOR ALL MEMBERS WISHING TO TRANSFER INTO YOUR CHURCH, REMEMBER TO…

10 After the transfer has been initiated, you WAIT while the name is taken before the other church for a first and second reading. The date of the second reading is considered the RECOMMENDED or GRANT date for the transfer. If the other church has an online clerk, this information will be entered on eAdventist by that church clerk. If the other church has an offline clerk, they will send this information to the conference clerk where it is entered online. STEPS FOR INCOMING TRANSFERS:

11 Transfers can take up to 6 months to complete. Each church, by church manual policy, has 90 days in which to complete their part of the transfer. If it is getting close to three months and you’ve not heard anything, please contact your conference clerk for suggestions on how to connect with the other church clerk. They should be able to let you know when the transfer will be granted. REMEMBER….

12 Once you receive the recommended/grant date from the other church, have the name entered in your church bulletin for a first and second reading. The date of the second reading is the ACCEPTANCE date. If you are online, enter this date in eAdventist. If you are an offline clerk, contact your conference clerk so she can enter the information in eAdventist. An ACKNOWLEDGEMENT is automatically sent to the referring church letting them know the transfer has been successfully completed. The persons name will now show on your church records. You DO NOT need to enter the name – it appears automatically! LAST STEP FOR TRANSFERS INTO YOUR CHURCH

13 Members leave your church in one of four ways: Death Transfer of Membership Missing Removed (apostasy) OUTGOING MEMBERS

14 Recording a death is the ONLY time a clerk may remove a member from the church records WITHOUT a vote of the church. If you are online, remove the individuals name as DECEASED and include the DATE OF DEATH. If you are offline, send the information to the conference clerk. DEATH

15 As the clerk, you will receive notice when a member of your church is asking to have his membership transferred to another church. You do not initiate a transfer out of your church. Take the request to your church board to inform them of the individuals desire to transfer to another church. TRANSFER OF OUT GOING MEMBERS

16 When you receive the name of the individual transferring out of your church, take that name to your church board for notification. The name then goes into the church bulletin for two weeks, this is the first and second reading. The date of the second reading is the official GRANT/RECOMMENDED date of the request. You as an online clerk enter this date into eAdventist. If you are offline, you send the information to your conference clerk so she can enter the date in eAdventist. HOW TO TRANSFER A MEMBER OUT OF YOUR CHURCH

17 The requesting church will receive your grant date through eAdventist. They accept the individual through a first and second reading. The date of the second reading is the official ACCEPTANCE date for your member into their new church. You will receive ACKNOWLEDGEMENT of this date. You will not need to remove the individuals name from your church records, it will automatically transfer to the new church when the acceptance date has been entered. Until that time, the person remains your member, even if you have granted them out. A person is never without church membership somewhere!! HOW TO TRANSFER A MEMBER OUT OF YOUR CHURCH, CONTINUED

18 ALL transfers are done through eAdventist. If you are online, but the other church is not, they will receive the transfer request through the mail. If both churches are online, NO paperwork is involved whatsoever! If either one of the churches involved is offline, the conference clerk will be the one to mail the transfer to the church clerk. POINTS TO PONDER

19 It is usually unpleasant to remove members in these categories. This is not taken lightly and only done after other courses have failed. Please follow the guidelines in the MMM for the appropriate course of action when dealing with missing members or those wishing to have their names removed from the SDA church. MISSING/REMOVED (APOSTASY)
