MLP OASYS My Learning Plan Observation and Appraisal SYStem Welcome to OASYS! This powerpoint presentation is narrated and is intended to provide you with an overview of the OASYS program. This presentation will be available to you following today’s session. You will also have an opportunity to ask questions following the presentation.

2 OASYS OASYS is a component of My Learning Plan that districts can purchase to help manage the Educator Evaluation Process in a secure, efficient manner. The Tri-Town administrative team has been piloting this program since September to evaluate it’s effectiveness and ease of use. Given the positive experience we have had, we have decided to implement OASYS beginning in September of 2014 for all educators being evaluated under the new educator evaluation model. OASYS is a component of My Learning Plan that districts can choose to purchase to help manage the Educator Evaluation Process in a secure, efficient way. The Tri-Town administrative team has been piloting this program since September to evaluate it’s effectiveness and ease of use. We wanted to be sure that this would be a resource that would provide support to teachers through this process and make the process easier rather than adding one more thing to your plates. Given the positive experience we have had, we have decided to implement OASYS beginning in September of 2014 for all educators being evaluated under the new educator evaluation model.

3 Why OASYS? Why choose OASYS rather than staying with our current paper system or choosing another program that can accomplish the same thing? We currently use MLP and are familiar with it. OASYS uses the same log in as MLP so you won’t need a new user name and password. OASYS has the ability to pull all your professional development activities into your formative and summative reports since it is all one integrated system. It is completely customizable allowing us to create and adapt forms, rubrics, and settings. It has the capacity to schedule meetings (announced observations, formative and summative meetings) and sync the dates to your Outlook and Google calendars. Why choose OASYS rather than another program that can accomplish the same thing? We currently use MLP and are familiar with it. OASYS uses the same log in as MLP so you won’t need a new user name and password. OASYS has the ability to pull all your professional development activities into your formative and summative reports since it is all one system. No need to print them out because they will be part of your Educator Evaluation profile. We have heard from other districts using OASYS who have found it to be a great tool.

4 What Can OASYS Do? OASYS houses all the forms you need to fill out throughout an evaluation cycle. They are pre-set in your profile based on the evaluation cycle you are in. OASYS allows you to submit your self-assessment, goals, educator plan and artifacts to your evaluator in an easy, efficient, secure manner. Your evaluator will be able to complete your observation on line and submit it to you electronically for your acknowledgement and comments. OASYS allows you to upload all artifacts and easily link them to the goal and/or the standard they align with. OASYS houses all the forms you need to fill out. They are preset in your profile based on the evaluation cycle you are in. You will not need to search for the right form amongst your files- it will automatically appear in your inbox indicating that you need to complete it. OASYS allows you to submit your self-assessment, goals, educator plan and evidence/artifacts to your evaluator in an easy, secure way. The program is pretty intuitive for the end user. The forms replicate the paper versions we are using this year. Your evaluator will be able to complete your observation on line and submit it to you electronically for your acknowledgement and comments. OASYS allows you to upload all evidence/artifacts and easily link them to the goal and/or the standard they align with. This presentation will show you how to upload a document.

5 You can access your evaluation portfolio by clicking on the “My Evaluations” link in the navigation bar on your main “Learning Tab” page. The “Action Required” Section serves as a dashboard providing you with alerts notifying you about what you need to do next. This is an example of what your learning plan tab will look like with OASYS added to it. The top of your page will still house all your professional develop activities from MLP but if you scroll down, you will see a green bar that says “My Evaluation”. Below that you will find a section called “Action Required” that indicates what you need to do at different points within the evaluation cycle. You can see that each required step is numbered and the blue text is a hyperlink to the form you need to fill out. Once you fill out the form and hit submit, it will go to your evaluator for approval and you will see the status change on this page. The blue text is a hyperlink which will bring you right to the form you need to complete.

6 Form Tools At the top of forms you will find a tool bar to help you.
At the bottom of most forms you will find the buttons seen below. OASYS allows you to save your work as you go without actually submitting it. This is helpful if you are interrupted while working on a form. It allows you to save your work and notify an administrator. It also allows you to clear the page by clicking on the reset button if you want to start over. Once you are confident that the form is complete, you click the submit button and it will be routed to your evaluator. The evaluator will acknowledge that it was received, possibly make a comment, and then approve the submission. You can also send a comment to the evaluator if you wish. At the top of most forms you will find a standard tool bar which provides you with typical editing features. One nice addition to the tool bar is the date and time stamp feature. It is the clock icon on the left, next to spell check. Your evaluator will use this frequently when observing you to indicate the accurate date and time of the observation. At the bottom of most forms you will find the buttons seen below. OASYS allows you to save your work as you go without actually submitting it. 7 The Educator’s Role in OASYS
The Educator has 4 (or 5) tasks to complete throughout the process: Complete the Self-Assessment form Complete the Goal Setting Form Complete the Educator Plan Complete a Pre-Observation form (for Announced Observation Only) Upload Artifacts to OASYS The next series of slides will show you the forms in detail and explain how to upload artifacts. The educator typically has, at most, 5 tasks to complete in OASYS throughout the process. The educator will: Complete the Self-Assessment form Complete the Goal Setting Form Complete the Educator Plan Complete a Pre-Observation form (for Announced Observation Only) Upload Artifacts to OASYS The next series of slides will show you the forms in detail and explain how to upload artifacts.

8 Self-Assessment Part 1:
Analysis of Student Learning, Growth and Achievement Part 2: Assessment of Practice Against Performance Standards The first form you will be required to fill out is the self assessment. There are 2 parts- just like on the existing paper forms. 1) Analysis of student learning, growth and achievement and 2) Assessment of practices against performance standards. Part 1 requires you to analyze student learning, growth and achievement. Part 2 requires you to rate yourself in relation to the 4 performance standards. If you are on cycle and went through this process this year, you are aware of how cumbersome it was when using the state recommended form. It probably forced you to find and print your rubric, highlight it, and then translate that information into text to type in the form. Having the ability to customize forms in OASYS allows us to include your electronic rubric as a part of this form so you can simply click on the boxes to highlight them and write a brief comment below if needed. For example, you might highlight the rubric and then add a comment below for any indicator in which you rated yourself either above or below proficient.

9 Goal Setting Student Learning SMART Goal
Once you have completed your self-assessment, you are ready to move on to the Goal setting form. You can find the form as a blue hyperlink on your main Learning Plan page under the greed OASYS Evaluation Bar. Remember to scroll down to find your evaluation documents. This Goal Setting form requires you to create 1 Student Learning goal and 1 professional practice goal. Remember, these goals should be SMART (specific and strategic, measurable, Action oriented, rigorous, realistic and results focused and Timed and Tracked.) This acronym is listed at the top of the form for you as a reminder. Use the information you gained in your self-assessment to help you choose goals to work on. Fill out the form describing your goals and be sure to check the box indicating whether the goal is an individual goal or a team goal. If you are doing a team goal, all participants must fill out their own Goal Setting form in OASYS since your evaluation is private between only you and your evaluator(s). You can’t submit just one for the group. However we do recommend that you sit together to create it and submit the same information. At the top of this for you are asked to select whether these are your initial goals or revised goals. If you are in the beginning of a two year cycle they would be initial goals. If you are in year 2 of a two year cycle, it is likely that your goals may need to be revised- particularly your student learning goal because the data you analyze will likely be different for the new students in seat during the 2nd year of your cycle. 10 Educator Plan The first section of the Educator Plan asks you to identify if this is an initial plan (year 1 of a 2 year cycle) or a revised plan (year 2 of a 2 year cycle) This section of the plan asks you to describe the activities in your plan related to the student learning goal. Once your goal setting form is completed and submitted to your evaluator you can work on your educator plan. This plan describes how you intend to reach your goals that you just set. This first section asks you to identify if your plan is the initial plan ( proposed at the beginning of a 2 year cycle) or a revised plan (which might be submitted the second year of a two year plan). The Educator Plan form requires you to describe the actions you will take to achieve your goals and the related timeline. You will also identify supports and resources you need from your district. This section of the plan asks you to describe the activities in your plan related to the Professional Practice goal.

11 What’s Next? Once you complete your 3 forms, begin paying close attention to the quality teaching you are doing (and have always done)! Identify artifacts that can be used as evidence of meeting the 4 standards in your rubric as well as evidence that you are working towards your Student Learning and Professional Practice Goals. Upload artifacts throughout the evaluation cycle. It is recommended that you upload as you go, rather than waiting and doing it all at once. Artifacts no longer need to be delivered all at once to the evaluator. The artifact upload tool eliminates the need for the educator to complete the “Educator Evidence Collection Form”. Each time an artifact is uploaded, the educator describes the artifact and aligns it to the standards and/or goals. Directions have been provided explaining the artifact upload process step-by-step in a hand out for reference as needed. 14 Pre-Conference Form The only other form you may be responsible for filling out is the Pre-Conference form. This form is only required for announced observations. This form is only required for announced observations and your plan type will dictate whether or not you need to complete it. If you need an Announced observation, you will be invited to schedule a date on OASYS. Your evaluator will send you an invitation with a suggested date and time. You will see this in your dashboard view on your main page and you will receive an notification about it as well. You can accept it or reject it and send back an alternative date as an option. Once you finalize the date, you can fill out the Pre-Conference form which will be pre-loaded into your profile. It will be another blue link on your main page.

15 The Evaluator’s Role in OASYS
The Evaluator is responsible for completing the remaining forms in the evaluation process: Announced and/or Unannounced Observation form(s) Evaluator Collection of Evidence form Formative Evaluation form (Formative Assessment form for non-PTS) Summative Evaluation form The Educator has an opportunity to provide comments on each of these forms but is not required to fill them out. 17 Rubric- Heat Map Each time the evaluator clicks on a box in the educator’s rubric during an observation it is saved. As the evaluator continues to use the rubric throughout the cycle, a heat map is created. The darkest color indicates the frequency in which a rating was selected. This will help evaluators make decisions about proficiency levels when completing the formative and summative evaluation reports. The observation form includes your rubric so your evaluator can click on boxes during the observation. Each time the evaluator clicks on a box in the educator’s rubric during an observation it is saved. As the evaluator continues to use the rubric throughout the cycle, a heat map is created. 18 Formative Evaluation Report
The Formative Evaluation Report (for PTS Educators at the end of year 1 of a 2 year cycle) requires the evaluator to rate the educator’s progress on their goals and their performance against the standards. There are three sections to this report: Progress Toward Goals: Student Learning and Professional Practice The Evaluator indicates the level of progress made-(Exceeded, Met, Significant Progress, Some Progress, or Did Not Meet) and provides feedback Progress in Relation to the Standards- Rubric is included The Evaluator indicates the level of progress made-(Exceeded, Met, Significant Progress, Some Progress, or Did Not Meet) and provides feedback. The rubric is highlighted from observations as well as the analysis of artifacts submitted. Overall Performance Rating- The Evaluator provides a rating of Exemplary, Proficient, Unsatisfactory or Needs Improvement and provides feedback. The Formative Evaluation Report (for PTS Educators at the end of year 1 of a 2 year cycle) requires the evaluator to rate the educator’s progress on their goals and their performance against the 4 standards. The rubric will be highlighted based on previous observations and the rating of your artifacts- (heat map) The evaluator will provide feedback for improvement The final section of the Formative Evaluation Report includes the Overall Performance Rating and a spot for the evaluator to make comments. The evaluator will indicate what plan the educator will be on during the following school year. The educator will have an opportunity to provide a response (optional).
