2 Logistics ALPFA Meetings & Events Requirements Everyone is expected to attend ALL meetings and events (including E-Board Meetings during the fall, Student Meetings and events during the fall semester, and ALPFA NY events). However, subject to excruciating circumstances, everyone may be excused for the following given that you notify of your reason for absence to Ivelise and/or Tirso 2-3 days in advance. Please refer to calendar of events for meeting dates and times. In addition to attending the mandatory Lehman ALPFA events, each semester everyone must attend at least TWO Community Service Events per semester. Etiquette Requirements –Arrive to all meetings and events 5-10 minutes in advance –Dress in BUSINESS ATTIRE (absolutely NO Jeans, T-shirts, Sneakers, or Flip-Flops allowed for all events excluding e-board meetings unless other wise informed) –Introduce yourself to all professionals and students and thank them for attending ALPFA Communication Requirements Everyone is expected to keep everyone on the e-board up to date on all ALPFA related subject matter. This includes immediately responding to ALL communications including via e-mail, phone, and voicemail. 6 President Oversee all ALPFA related activities Prepare Agenda for all meetings Manage Treasurer, Chair of Membership, and Chair of Student Affairs Build/retain relationships with new companies and other groups at Lehman College Follow up with E-board –Make sure that minutes are done in 48 hours –Reply to all emails –Make sure agenda is ready 24 hrs before meeting –Follow up with deadlines –When they complete an assignment email Other Duties Communicating with professionals, board members, and presidents of other student organizations about events. Delegating duties to the board. Arranging ALPFA Lehman events, as well as co-sponsored events. Working with individual board members on their specific duties, i.e. Treasurer > budget, Chair of Membership > ideas for recruitment, etc…. Organizing board meetings and meetings with the ALPFA student liaison. Purchasing any necessary items. Negotiating with vendors in regards to food for events. Working as a team with the board and other ALPFA chapters boards. ***NOT LIMITED TO ONLY THESE DUTIES*** 6

7 Oversee all ALPFA related activities –Help President prepare Agenda for all meetings –Manage Secretary, Chair of IT, and Chair of Student Affairs –Build/retain relationships with new companies and other groups at Lehman College –Follow up with E-board –Other Duties –Perform presidential duties if President is unavailable. –Ensuring that board members are fulfilling their responsibilities. –Communicating with professionals, board members and intra- Lehman departments, and other clubs and organizations (NABA, DSA, etc…) –Relaying information to the Secretary. –Assisting the President in the arranging of ALPFA Lehman events, as well as co-sponsored events. –Create fliers for events. –Organizing board meetings. –Pick up food when necessary. –Working as a team with the board and other ALPFA chapters boards. –Manage Treasurer, Chair of Membership, and Chair of Student Affairs ***NOT LIMITED TO ONLY THESE DUTIES*** Vice-President 7

8 Meeting Minutes Take Meeting Minutes at all e-board meetings and e-mail to e-board within 48 hours after the meeting. Minutes should include: –Date & Time –Attendees (please note, any unexcused absences and bring them to the attention of the President & Vice President Description of Meetings Please make sure that after every general meeting you write a brief paragraph of what the meeting consisted of and make sure to have the day, time, and name of the speakers who were there. This will help us keep track of all of our meetings and the details so that by the end of the year when we have to hand in a report to the SDACA it’s already done. Please send copy to me once you have finished so that I can finalize. Other duties Arranging room reservations and building access for guests by communicating with the office of Student Life. Creating and sending emails to the membership. Responding to the emails of the membership. Informing the membership of events, ALPFA events and opportunities. ***NOT LIMITED TO ONLY THESE DUTIES*** Secretary 8

9 Type of accounts –Personal Account Funds received through fundraising or donations »Funds rollover each year –CASA Account Funds received when submitting budget analysis to CASA. »Budget needs to be submitted to CASA in the Spring Semester to CASA for funds for the following Fall and Spring. »Funds do not rollover, if the funds are not used we will lose it and the following year we will probably receive less. Record Keeping –Make copies of all vouchers and receipts submitted to CASA and the Accounting Unit –Reimbursements Make sure to ask board members for receipts and their addresses Follow-up with the Accounting Unit to ensure timely payments Proposals –Estimate Budget for the following year Name of event, expected number of attendees, breakdown of expenses. Sample Budget will be provided with details Other Duties Manage the budget, receipts, and cash inflows. Maintain inventory by ordering and managing supplies, refreshments etc… Communicating with the CASA and the Accounting Unit. Arranging the payments to vendors. Create budget for next year. Purchasing any necessary items. Negotiating with vendors in regards to food for events. Fundraising ideas ***NOT LIMITED TO ONLY THESE DUTIES*** Treasurer 9

10 Recruiting A. Select dates when Membership drives can be held on campus Assign scheduled times to board members to be at the table B. Develop strategic plan to recruit new members 2. Record Keeping A. Handle all attendance sheets of all events and track member attendance Select member for “Member of the Month” Award 3. Emails –Send holiday greetings and cheers to members –Inform members of all opportunities on campus that is relayed to you from other departments –4. Other duties Recruit new members and provide information about ALPFA. Take attendance at every meeting. Become a part of the Membership Committee for the New York chapter and help increase our national membership. Communicate with our membership via welcome emails, reminders of membership expiration, and warm wishes for special occasions. Maintain directory of membership and outside contacts. Preparations –Create flyers as soon as you have all the information needed and send to the board for suggestions and corrections –All flyers need a time, date, room number and if we are paying from our own budget we need the flyer to say “General Meeting”. Distribution of Flyers –Post flyers two week in advance Cafeteria Cafeteria in the Library Building Club Room Area ***NOT LIMITED TO ONLY THESE DUTIES*** Chair of Marketing 10

11 Promotional Tables (monthly) –Tuesdays and Thursdays during club hours –Set the dates and the Secretary will reserve the tables –Create the time sheet of each person who will be in the table –Gather the materials needed a week in advance (two weeks before ask for the materials) 4. Community Service –For the semester a minimum of two community service events are required E-mail the Chair of I.T. to post these community service events on our Web site (www.Lehman.alpfany.org) 5. Collaborations & Collecting Information Contact other organizations and ask about community events that they are planning with their members and ask if we can get involved/collaborate with them and if they want to collaborate with us. Look into outside of Lehman events (ALPFA or other organizations) and let the board know of our community service options ***NOT LIMITED TO ONLY THESE DUTIES*** Chair of Marketing Cont’ 11

Update the board Update the board on any changes made to our Web site Let us know of any ideas/plans that you may come up with in order to enhance our website 3.
