WELCOME

Successful Collaboration between IR and IT in Building a SAS Dashboard at the El Paso Community College

Who is El Paso Community College (EPCC)? Located in El Paso, TX Established since 1969 Annual Enrollment of 40,000 credit students, 10,000 continuing education students 138 Academic and Technical programs offered Six sites

What is a Dashboard and Why Was It Needed?  Dashboard: A tool used to display key performing indicators (KPI) including demographics, student performance, and college growth  IR had large number of similar requests for student information for grants, administration, and faculty  Limited number of personnel with existing obligations  Needed the ability to perform complicated, time consuming queries  Needed the most up-to-date data quickly

Dashboard Development  Importance of IT programmer/liason who knew SQL coding  EPCC hired 2 SAS programmers  The initial guide for designing cohort tracking was due to our participation in Achieving the Dream  We looked at what was being asked for most frequently  IR assisted the IT programmers to understand the data, where it comes from and nuances of the data.  IR provided IT existing reports as guidelines for formatting data and provided additional support

Institutional Research and Information Technology Team INSTITUTIONAL RESEARCH Dr. Carol Kay Art Gonzalez Angeles Vazquez Christy Frescas Sal Moreno Saul Candelas (VP ) INFORMATION TECHNOLOGY Doug Schirmer Jackie Gaines Carlos Molina-Torres Patti Sayers Abraham Hubail Dr. Jenny Giron (VP)

Process  IR receives a request or identifies frequently requested data.  IR & IT meet to discuss projects and any data warehouse modifications or updates.  Prioritize and assign tasks.  IR defines the criteria for extracting data from Banner.  Programmers develop necessary SAS code and create the Dashboard.  IR & IT meet again to review Dashboard.  IR validates data before publishing on the web portal.

Who is using the Dashboards? Future goal is to have all faculty and staff use them and eventually the general public

Benefits of Dashboards Save time and resources Ability to perform complicated queries Ability to generate up-to-date data Ability to schedule warehouse data Ability for end users to have one central place

Benefits of Collaboration Ability to fill in “information gaps” between the two departments. Obtain a greater understanding of the data from both departments’ perspectives. Greater understanding of who the audience is that will be viewing the data and format dashboards for the end user Dashboards get built much quicker than if either department were to try to build them by themselves

Elements of Successful Collaboration  Good communication  Feedback from multiple sources  Constructive Criticism  Mutual respect  Willingness to work together for the common goal of student success
