2 SOP/Policy Development

3 Policy development Drafting: The individual(s) proposing the new or revised policy should prepare a draft document Review: The draft document should be submitted to the Regional Supervisors for review Final Review: The Supervisors will forward the final draft document to Division Management for final review

4 Policy development Standard Operating Procedures (SOPs) Best Practices – SOP includes title description – Background and purpose of SOP is clear – Scope of SOP is identified – SOP meets criteria required under contract, law, agency requirements, standards etc., – Roles and responsibilities of all involved in process is clear – Procedures are easily readable – Procedures allow for flexibility, efficiency and individual approaches while ensuring the desired outcome is met

5 Policy development SOP Best Practices – Acronyms are spelled out – Documents supporting SOP are identified – Reports and records generated identified – SOP has a document control number, date created and date last updated – Management signature indicating review and approval identified

8 Implementation New policies are sent electronically to staff Policies are reviewed with staff at regional staff meetings (held quarterly) After implementation staff are asked to give feedback on any issues regarding the new policy Is the policy effective? Does the new policy need to be modified?

9 Lessons learned It’s ok to say a policy is ineffective Timeliness for policy development is critical Use position descriptions and not names whenever possible (Why?) Don’t use 2009 Food Code, use Food Code (WHY?) Understand the differences between shall or should Be certain that policies aren’t contrary to your state policies Other Departments/States may have already created a policy that your Department is working on steal/borrow from other states whenever possible
