1 Excel Services III: Control what people see Overview: You’re in control You can control what people see when you use Excel Services to publish a Microsoft Office ® Excel ® 2007 spreadsheet to your SharePoint Server 2007 Enterprise site. For example, you can display individual spreadsheets instead of an entire workbook, or display only selected spreadsheet items such as charts of PivotTable reports. This course shows you how.

2 Excel Services III: Control what people see Select what people can see in Excel Services Sharing data — we do a lot of that. And as the first two courses in the series explained, publishing workbooks to Excel Services is a great way to share data. But what if you don’t want to share everything in Excel Services? What if you want to share some things, but hide others? You can use special options that allow you to show and hide things.

3 Excel Services III: Control what people see Keep data private in Excel Services Let’s say you are the sales manager at Adventure Works, and you would like the following. You want to see the By Person worksheet in the Excel program, because you’ll occasionally need to work with it in Excel. You want to hide the By Person worksheet in Excel Services, because you don’t think it’s appropriate for that to be visible to everyone in their Web browsers.

4 Excel Services III: Control what people see Select worksheets you don’t want people to see Here’s how to keep the By Person worksheet hidden. In Excel, you use the Excel Services Options dialog box, and you deselect the By Person worksheet. Then you publish the workbook to Excel Services.

5 Excel Services III: Control what people see Select workbook items you do want people to see You can also show or hide specific items in your workbook, from charts and tables to PivotTable reports. In Excel, you use Excel Services Options to select workbook items you want people to see. Any items you don’t select will be hidden.

6 Excel Services III: Control what people see An important note Here’s an important note about hidden items: Any items you hide using Excel Services Options will be hidden in Excel Services. That is, the items will be hidden from people when they look at the data using their Web browsers. However, the hidden items will still be visible if they open the file in the Excel program.
