3 Use CIMS/Laser cheques.. Do not allow for hand written cheques *** When ordering cheques HAVE TO select next/new numbers – can never never ever restart your numbering! Do your work ‘timely’.. Half the issues are around inputting a bad date.. Which cannot occur if you are using the system to create your work – not as something you use afterwards to reconcile your work Never add fake cash receipts to get yourself ‘in balance’.. Look to undo the problem Delete bank recs and redo to accommodate the change 0 out the cheque or cash receipt that was in error Don’t add a bank statement until your last one is in balance SCHOOLS B EST P RACTICES

4 Reduce the paper and/or pdf that you tell the schools to send to you each month.. Why all the paper? Does this mean you are checking each month?! GNS.588 GNS.588 GNS.588 Use religiously each month to watchdog the schools Use at yearstart with last year’s yearend to confirm opening balances were done correctly Use for your March reporting numbers Use as download if you want just 8’s or 9’s Use with all schools Y to see each of their details report D ISTRICT REPORTING AND C HECKING

5 Browse/Attach your bank statement Do in a timely fashion There should rarely be outstanding deposits! Handle stale dates Never ‘just leave’ your bank rec when it confirms you are not in balance.. Don’t open the new year, don’t do the next bank rec Never add a new bank statement until your last one says you are in balance.. Not just your bank statement equalling 0! BANK REC BEST P RACTICES

6 For us means YTD Bank Balance versus Bank statement ending balance factor outstanding cash receipt & cheques FINDING PROBLEMS Journal Entry to the bank account and an expense account Voiding pre-CIMS items and not handling in your G/L Not being in balance to your yearstart figures (expense accounts don’t add up to the bank account Plugging your bank statement ‘A’djustments Handling odd items like multiple bank accounts and/or interest incorrectly BEING IN BALANCE
