4 Centre for Genetic Resources, the Netherlands WP 5: Coordination Checking the pace of the project I do this on the basis of e-reports, e-mails and telephone calls. Is this also what you re doing for your WP? Are we on the right track? Supervision and co-writing of the annual progress reports and bi-monthly e-mail reports E-reports: response is OK, and for me as a coordinator valuable info. Annual progress reports: will come back to this issue later on in my presentation.

5 Centre for Genetic Resources, the Netherlands WP 5: Coordination Financial project management I do this together with our financial department. Three new observers were added to our project (€24000) which will be used for counter financing the Swiss partner. Contact with the EU on budget modifications: runs smoothly until present; take notice: only 10% change in a category, otherwise a contract amendment. Co-organizing annual project & WP meetings and workshop Start-up meeting organized in Wageningen; Did you think the meeting met your expectations?; lessons to be learned?

12 Centre for Genetic Resources, the Netherlands Annual technical report (annex III, section 1.1) According to agreement this report contains: Summary I guess not more than 1/4 -1/2 A4 page per WP Detailed account of the activities undertaken on the basis of the objectives and workplan of the project Take the B2.3 WP form, cut and paste (in italics) the objectives and description of the work in your WP report and write a text (maximum 5 A4 pages; excl. tables/figures/photo’s); use Arial 10 pt and line spacing 1 (=normal)). Comparison of the foreseen and achieved milestones & deliverables Take the table for your WP from our e-report, paste it in your WP report and comment in case a milestone or deliverable is not met.

13 Centre for Genetic Resources, the Netherlands Time – activity schedule The WP leader coordinates the writing of the WP report. Our annual project meeting will most probably take place in the week of December 10-14. At the meeting a detailed account of the WP is presented, and this account forms the basis for the writing of the WP report. I would suggest that the WP leader interacts before the meeting with the WP partners to present a full account of the WP at the meeting (think about M&Ds !!) and after the meeting the WP leader writes the report (Dec 17-21) and sends it to the partners for comments. On the basis of the comments of the partners the WP leader writes the final WP report and sends it to me by January 20 (absolute deadline).

14 Centre for Genetic Resources, the Netherlands Time – activity schedule When I have all WP reports, I will cut and paste them in one report and will write an executive summary as an introduction. The draft consolidated annual technical report will be placed on our internal website by February 3 for final comments.

15 Centre for Genetic Resources, the Netherlands Organization of the first annual LV meeting When? On the basis of what I received it will be in the week of December 10-14. Where? not clear to me as Dave has problems organizing the meeting; Valerie? How? 2 day meeting, with travel days before and after the meeting, so reserve in total 4 days.

If we reserve per WP 1.5 hours, then we can discuss for meeting day 1 four WP (WP1-4) and for day 2 (morning) WP5 and further internal project business. The afternoon of day 2 can be used for either writing WP reports or visiting of a business, university, museum, etc Per WP we have 1.5 hours discussion time, so I would suggest that WP coordinators incorporate the other partners in the presentation of the WP. In this way you create more a joint responsibility for a WP and get away from the ‘WP coordinator show’ feeling.

17 Centre for Genetic Resources, the Netherlands Annual financial report (annex III, section 1.2) This is a job between the coordinator and each partner separately. Together with Ms. Rinie Linsen of our financial department I will do this job. The forms used for the financial statements are the forms (0-19) in Annex III. EU Partners fill in forms: 1-13, Non-EU partners fill in forms 7-12 &14 and Coordinator fills in 0, 15-19. All forms need to signed by an authorized person of the organization and the auditor. Please note that a certified, complete and numbered list of paid salary expenses and invoices and totals need to be submitted to me. All partners need also to submit to me an external audit report (article I.11), except, for the first year, INRA, UNIBO, KIS, ProSpecieRara, as their first year budget is below € 10,000.
