S.MINNITI -EACEA Mobility management: Administrative aspects

2 Key Topics for discussions Housing Facilities Coaching and Counselling Welfare Services Languages Courses Social Integration

3 Overall objective The objective of this presentation is to give you some example of best practices already implemented in the framework of Erasmus Mundus. During the assessment of your project, this aspect of the organisation of the mobility has been taken into consideration for beeing selected. Remember that if a student can say He/she will work better

4 Topics for discussion Housing facilities What you can do is: 1.Rent some furnished accommodations for students before arrival (on the campus site or in town) or 2.Negotiate with the service in charge of the housing in your institution to set aside some furnished rooms for your students

5 Topics for discussion Coaching and counselling (1) It is very helpful for newly arrived students to benefit from coaching from someboby who can help him/her to find his/her way through all the administratives and academic challenges he /she will be faced to. In order to facilitate the integration of third country students, the usage of « tutors »-experienced students - and/or « mentors »- teaching staff members or International relation staff members – has proved to be an efficient approach

6 Topics for discussion Coaching and counselling (2) For instance, the coach can: Welcome students when they arrive Accompany students personally to local authorities, banks, etc. to overcome possible language barriers Ask students to give written autorisation to the university to act on their behalf vis-a-vis immigration authorities

7 Topics for discussion Coaching and counselling (3) An induction training presenting all the facilities of the hosting institutions and more generally informations about the hosting country(/ies), practical issues and administrative steps is a good way to welcome students and help them to begin their study period in good condition. A welcome guide can be designed specifically for those students

8 Topics for discussion Welfare services Students should benefit from medical coverage and insurance during their stay in Europe. This aspect is taken care of by the hosting university (as a service once students are registered at the university). Very often, it is a basic coverage. For that purpose, the European Commission allocates 79 €/students to the universities in order to ensure a good insurance/medical coverage to students. This money must be devoted to subscribe the best insurance scheme for hosted students.

9 Topics for discussion Languages courses Partnerships have to ensure that selected students have the appropriate knowledge of the languages concerned Hosting institutions should provide language courses in the tuition language(s) and in the national language(s) of the countries visited. Very often summer courses are organised by universities before the start of the study period.

10 Topics for discussion Social Integration With the student card delivered by the university, students can have access to computer facilities, library, sport facilities, students office Nevertheless, organising social events, cultural events, or other visits can help students to improve their knowledge of the hosting country.

11 Topics for discussion Support to students with special needs If you welcome students with special needs, make sure that they will be able to attend courses in the best conditions and to face day to day challenges (accessibility, course material, facilities etc). Maybe the role of the coach for those students can be reinforced

12 Conclusions All those aspects are key for success ! A well prepared, welcomed and integrated student will be motivated for study. Open the door !
