3 Microsoft Office OneNote 2013 Working with Pages © CCI Learning Solutions Inc. 3 When you create new notebook, OneNote creates new page in current section OneNote displays pages in tab format at right of screen – Tabs similar to tabbed dividers in paper notebook, which identify content at a glance – Navigation tool allows you to go to specific pages quickly – Tabs can be color coded and organized in any manner to suit requirements

4 Microsoft Office OneNote 2013 Working with Pages © CCI Learning Solutions Inc. 4 Creating Pages – To add new blank page: In Page Tabs area, click Add Page; or press CTRL+N; or right-click in Page Tabs area and click New Page; or point to left of Page Tabs area, click New Page icon – Can enter new page title, or create more new pages – No limit to number of pages can have in section, nor any restriction on how to organize pages – Create pages you want and arrange into sections and section groups, or just as pages and subpages (3 levels)

8 Microsoft Office OneNote 2013 Working with Pages © CCI Learning Solutions Inc. 8 Manipulating the Pages – Select one or more pages, or items for further action – To reverse an action: Click Undo on Quick Access Toolbar; or press CTRL+Z – To move to another page: Click page tab in the Page Tabs area; or press CTRL+PGDN to go to the next page, or CTRL+PGUP to go to the previous page; or press ALT+HOME to go to the first page in the section, or ALT+END to go to the last page

17 Microsoft Office OneNote 2013 Working with Pages © CCI Learning Solutions Inc. 17 Proofing the Text – Important to proof notes, especially if sharing with others – OneNote does not include grammar checking feature, so read through text to ensure information is easy to read and includes correct grammar and contextual spellings – Misspelled words or words that do not exist in dictionary display with red wavy underline – Looks for errors on current page only so must run spelling check for each page separately – To check spelling: Click Review tab and, in Spelling group, click Spelling; or press F7

BackGo to previous list of results for search criteria. Suggestions Lists those words that match search criteria with abbreviations to indicate type of word: (n)Noun (a person, place, or thing). (adj)Adjective (describes a person, place, or thing). (ant)Antonym (opposite of the word selected). (v)Verb (identifies an action). (adv)Adverb (describes an action). Use to expand suggested word, or to collapse list for word. Thesaurus language Change language currently selected for OneNote.

21 Microsoft Office OneNote 2013 Working with Pages © CCI Learning Solutions Inc. 21 Cutting, Copying, or Pasting Items – Use Cut to remove item from its original location and paste into another location – Use Copy to make copy of original item and paste copy into another location – To cut or copy note item or container: On Home tab, in Clipboard group, click or, or right-click note container and click Cut or Copy; or press CTRL+X to cut or CTRL+C to copy selected item or note container – To paste item or container in another location, go to location to place it and: On Home tab, in Clipboard group, click Paste; or right-click area on page and click Paste Options; or press CTRL+V to paste item using default paste option

Move to piece of text to apply formatting to, and click To use Format Painter to multiple pieces of text, select text or paragraph with formatting attributes to copy: – Click Home, and in Clipboard group, double-click Format Painter. Move to first piece of text to format and click to apply formatting to specific piece of text – Format Painter remains active so you can move to next piece of text and click paragraph or text to format; continue with each paragraph or piece of text to format – When no longer required, click Format Painter to turn it off or press ESC Can also be activated using from Mini toolbar

26 Microsoft Office OneNote 2013 Working with Pages © CCI Learning Solutions Inc. 26 – Using Styles Help maintain consistency for specific items Combination of character and paragraph formatting saved with unique style name OneNote includes built-in set of styles for common types of text items Clear all formatting quickly using Clear Formatting command To apply style, click Home and, in Styles group, scroll through list to find appropriate style or click More to display full gallery of styles – Name of each style in gallery displays as it will appear when applied on page – Name of style currently applied appears in box delineated by dark lines; point to another style to display it in box delineated by light-colored lines

28 Microsoft Office OneNote 2013 Working with Sections Creating New Sections – Add as many sections as you need and manipulate to suit notebook content: Click (Create a New Section tab); or Press CTRL+T, or right-click in blank area of Section tabs area and then click New Section – New section tab appears with name selected so you can enter text (maximum 50 characters) Different color applied to each section – To navigate to other sections: Click the section tab; or Press CTRL+TAB to go to next section tab or CTRL+SHIFT+TAB to go to previous section tab

30 Microsoft Office OneNote 2013 Working with Tables Quick and easy way to arrange columns of text and numbers Note following when working with tables: – Each horizontal line called row – Each vertical line called column – Intersection of row and column called cell – Use displayed grid as guide to how wide columns are, how high rows are, or how text or objects appear in table – Can enter text, numbers, or graphics into cell If you type more than one line of information or press ENTER in cell, height of cell automatically increases When you enter more text than can fit on line in cell, text wraps to next line

31 Microsoft Office OneNote 2013 Working with Tables – Before you type text, design overall appearance and layout of table Make adjustments to exact cell sizes later to accommodate longest line of text for rows or columns – By default, OneNote adds single line border to table Can choose to show or hide border for entire table – Can apply alignment and formatting to cell contents, or align text vertically at top, center, or bottom of cell – Adjacent cells can be merged horizontally and vertically – Text can be rotated by 90° in cell – New table uses default settings unless set otherwise

32 Microsoft Office OneNote 2013 Working with Tables Inserting Tables – Three ways to insert table with equal column width and row height: On Insert tab, in Tables group, click Table – Start from topmost box in grid, drag to specify number of columns and rows; drag across and down to display total columns and rows If larger table is needed, use Insert Table Type text for first cell in first row, and press TAB, which creates table and next column. When using this method, keep pressing TAB until you have as many columns as needed, then press ENTER

33 Microsoft Office OneNote 2013 Working with Tables When creating table using New Excel Spreadsheet command, this feature creates a container with grid – To enter information into table, you need to click Edit to open Excel and enter your text there

34 Microsoft Office OneNote 2013 Working with Tables Table Tools ribbon displays with Layout tab to manipulate specific items for table To move around cells in table, click in appropriate location in table To navigate using keyboard: – Press ENTER to add more lines of text in same cell and increase row height – Use arrow keys to move through text in cell – Use TAB to move forward to next cell – Use SHIFT+TAB to move backward to previous cell – If you need additional rows, in last cell in last column, press TAB – If you need to insert text above table, in first cell of first column, press ENTER

35 Microsoft Office OneNote 2013 Working with Tables Enter text as if entering in typical notes container Once text entered into table, format it in same way as regular text – Select text before making any changes May be tempted to format text as you type, but wait until text all entered – Gives better idea of what needs to be changed Use commands on Layout tab to align cell content

36 Microsoft Office OneNote 2013 Working with Tables Manipulating the Table – To make changes in table, select item (table, row, column, cell) Use options in Select group of Table Tools: Layout tab to select item Alternatively, use one of following methods to select specific items: – To select entire column, move to top of column until you see, then click to select entire column – To select multiple columns or rows, click and drag across columns or rows – To select contents of one cell, move to left of first character in cell and drag to select contents – To select multiple adjacent cells, click and drag across those cells – To select multiple non-adjacent cells, select first cell, and press CTRL as you select each subsequent cell – To select entire row, click at left of row

37 Microsoft Office OneNote 2013 Working with Tables – If Table Tools ribbon not active on screen, pointer is not active in table and you cannot make any changes to table – Right-click in table to view menu of Table options Select items using commands similar to those on ribbon – Adjusting the Width Position insertion point on vertical border on either side of column to adjust to see, then drag border left or right to required column width; or position insertion point at right of notes container and drag right to increase size of table

38 Microsoft Office OneNote 2013 Working with Tables – Inserting Rows or Columns To insert row or column, position insertion point in cell where to insert row or column, and then: – Under Table Tools, on Layout tab, in Insert group, click appropriate option to insert; or – right-click a row or column, click Table, and then click on the appropriate choice When inserting multiple rows, columns, or cells, select appropriate number of units in table to insert same number of rows or columns

39 Microsoft Office OneNote 2013 Working with Tables – Deleting Rows or Columns To delete row or column, select row, column, or cell to be deleted, and then: – Under Table Tools, on Layout tab, in Rows & Columns group, click Delete; or – right-click row or column, click Table, and then click item to be deleted As with inserting multiple rows or columns, select rows or columns to delete selected items at one time

40 Microsoft Office OneNote 2013 Working with Tables – Showing or Hiding the Borders When OneNote creates table, it automatically applies single line borders around every cell Borders can be used as guide or hidden from view, as needed To hide borders for table: – Under Table Tools, click Layout and in Borders group, click Hide Borders; or – right-click in table, click Table, and then click Hide Borders

41 Microsoft Office OneNote 2013 Working with Visual Elements Inserting Pictures – Can insert from various sources – Can insert picture files in variety of file formats – To insert picture, click where picture is to be placed and, on Insert tab, in Images group, click Picture Dialog box appears to select picture file, navigate to where picture file located and insert it

42 Microsoft Office OneNote 2013 Working with Visual Elements Inserting Screen Clippings – To insert image of something on screen, use Screen Clipping command OneNote minimizes and displays last application viewed before activating command Screen appears to be faded but as you drag across what will become the clipping, intensity reappears Release mouse to place clipping on page – Screen clipping placed in container with reference to where clipping originated

43 Microsoft Office OneNote 2013 Working with Visual Elements Inserting Audio or Video Files – When adding audio or video files to any page in notebook, ribbon appears with options for element – Must have appropriate audio or video devices installed on computer before OneNote will record either audio or video – When recording just audio, icon appears on screen to remind that microphone is recording sound in immediate environment – When recording video, window opens from webcam installed on computer to show what is being recorded in video; sound is included at same time

44 Microsoft Office OneNote 2013 Working with Visual Elements Manipulating Visual Elements – Click image so handles display: – OneNote also displays dashed lines around picture along with handles to show you where outside border of picture is - use as guide to placement on page – When you position the pointer over selected picture, it appears as to indicate picture is selected and can then be positioned within container or anywhere on page

45 Microsoft Office OneNote 2013 Working with Visual Elements – Sizing a Picture When you insert a picture, OneNote maintains the scale used in original picture but can resize or scale picture to any proportions Must select picture to alter it: – Position pointer over top or bottom horizontal handle to adjust height of picture; it changes to – Position pointer over left or right vertical handle to adjust width of picture; it changes to – Position pointer over corner handle to adjust height and width proportionately; appears as – Right-click picture and use Resize command and then use arrow keys on keyboard to size picture To return picture to original size, right-click and click Restore to Original Size

46 Microsoft Office OneNote 2013 Working with Visual Elements – Moving a Picture Use drag-and-drop method to move pictures within OneNote notebook Once picture is moved, can continue to adjust its location – Simply right-click picture, click Move, and use arrow direction keys to nudge picture If a picture is in a container and you want it to sit outside of that container, drag the image right, past container border, and release the mouse when entire picture is outside container

47 Microsoft Office OneNote 2013 Working with Visual Elements – Rotating a Picture Rotate a picture to give it different emphasis or correct its position To rotate a picture: – Select the image, then on Draw tab, in Edit group, click Rotate; or – right-click the picture, click Rotate, and select from options

48 Microsoft Office OneNote 2013 Working with Visual Elements – Changing the Order If you have two or more pictures (or other items) on page, you can arrange them by stacking or overlapping them or by sending one to back so the other will be more prominent To change order of pictures: – Select an image, then on Draw tab, in Edit group, click Arrange; or – Right-click a picture, click Order, and choose from options

49 Microsoft Office OneNote 2013 Working with Visual Elements – Setting a Picture as the Background Be sure to size and position picture prior to setting it as background Once a picture is set as background, you cannot make any further adjustments to it – Can still insert notes containers or other pictures on the page To set picture as background, right-click picture and click Set Picture as Background – OneNote removes handles from around picture and you can then place text over top of picture – It is important to be careful about where you place picture in relation to text in picture, in containers or page

50 Microsoft Office OneNote 2013 Working with Visual Elements OneNote provides no command to give picture washed-out effect – Need to alter picture before you insert it To change picture from background object to an object on the page, right- click it and click Set Picture as Background

51 Microsoft Office OneNote 2013 Using Drawing Tools Select Objects or Type Text Insert text once shapes have been drawn. Lasso SelectDraw marquee around shapes to select them using lasso method. Panning HandPan or slide page to see objects on different areas of page. EraserErase shape or portions of it; arrow lists different sizes for eraser. ToolsSelect pen or marker to draw, write, or highlight things in variety of line weights and colors. Click More to display the full gallery of pen options.

52 Microsoft Office OneNote 2013 Using Drawing Tools ShapesSelect from a list of shapes to draw. Click More to view the gallery of shapes. LinesChoose from several common types of lines. Basic ShapesChoose from several common shapes. Graphs Choose from several common graph shapes (also called multi- dimensional lines). Lock Drawing Mode Activate after selecting shape in order to draw multiple shapes of same type. Snap to GridMake shapes snap or align to grid lines by turning this on or off. Use the Color & Thickness command to change the border for the shape. EditProvide space to manipulate shapes or add more items to the page with one of these tools. ConvertConvert handwritten notes to typed characters or math equations.

53 Microsoft Office OneNote 2013 Using Drawing Tools – Once you select shape or line to draw, OneNote changes insertion point to – To draw a shape, click at what will become top left corner of shape and then drag crosshair to specify height and width of shape. – For lines and arrows, draw from starting point to ending point – To draw straight lines or arrows, press SHIFT key as you draw – If creating multiple shapes that may need to be aligned later, turn gridlines off

54 Microsoft Office OneNote 2013 Using Drawing Tools Configuring Pen Options – Can customize or configure how pen works using Pen Mode in Tools gallery – Can write or draw on tablet or notebook PC with touch-screen capabilities Can also use mouse to draw or write (may take some practice) – If using mouse to write, create character same way as if drawing shape “Writing” can then be converted from ink to text characters using Ink to Text

55 Microsoft Office OneNote 2013 Using Drawing Tools Manipulating Shapes – Select item before you can change or delete it – must display handles – OneNote displays border around each shape along with dashed lines to guide in placing shapes Can zoom in or out to view shapes and see if adjustments are needed – Can change size or location of shapes – To size shape, click handle and drag to required size – To move shape, point at border and when you see, drag to new location

56 Microsoft Office OneNote 2013 Using Drawing Tools – If you have several shapes to size or move at same time, use lasso method to select and then perform action to selected group – To rotate a shape, right-click it, click Rotate, and then choose appropriate rotation – To change order of shapes in drawing, right-click shape to rearrange, click Order, and then choose order for shapes to appear – If have touch screen or used pen to write characters on screen, right-click item, click Treat Selected Ink As, and select appropriate option for item – If working with math equations and want to convert handwriting to math equations, right ‑ click item and click Ink to Math

57 Microsoft Office OneNote 2013 Linking Information Can insert links to web sites or email addresses, reducing need to remember links Can create links to other items in same notebook or another notebook, or files created with applications, or to special locations for sharing information Links can be entered directly on page while working in notebook or docked window – Can enter links in Quick Notes area to capture information not relevant to current notebook

58 Microsoft Office OneNote 2013 Linking Information To add Link to page in notebook, click Insert and then click Link; or press CTRL+K – Can enter the link address directly into the field; or – use (Browse the Web) to find correct web address; or – use (Browse for File) to find file to link – Can also click page in same notebook or if other notebooks are open, click page in that notebook to set link there – Use to expand section, or to collapse pages or notebook – Can also insert link to existing Quick Notes page, or create new page in current section of Quick Notes

59 Microsoft Office OneNote 2013 Linking Information Using Linked Notes – Can easily integrate note-taking with three other Microsoft programs: Word, PowerPoint, and Internet Explorer 8 or higher – To link application to page in OneNote, open application file where you want to link; then click Review tab, in OneNote group, click Linked Notes – When you want to link item from one OneNote book to another, on Review tab, in Notes group, click Linked Notes Word 2013Internet Explorer

60 Microsoft Office OneNote 2013 Linking Information – When Linked Notes command is activated, application window restored to fit screen along with docked window containing active OneNote notebook – Can save notes as Quick Notes or to any section or page in any notebook – If docked window is open, notes entered can be saved to Quick Notes area, or to page or section of choice

Linked Notes Options Opens Advanced page of OneNote Options dialog box to turn on or off specific options for linked notes.

64 Microsoft Office OneNote 2013 Linking Information Can work in both applications at same time to gather information from several files or web sites Can exit docked window by clicking to display notes on full page As you enter notes, small icon appears at left of notes to show which program you are linked to Once link has been established, use icon to open linked file from OneNote even when other application not already open – Can also point at icon to display file name and preview of its contents
