1 Caseworker Contacts Changes to Case Notes in eWiSACWIS

2 Why Make Case Note Changes? Consistent documentation from county to county and worker to worker Easier to identify a caseworker contact when a child is in out-of-home care Clean up the original long lists of categories and types that came from implementation

3 What are the Changes? Contact by Designee checkbox End Time Duration (previously known as Units) New Case Note Categories New Case Note Types New Type Detail field Renamed Face-to-Face drop-down fields Relationships displayed for case note participants Narrative field is blue (always was required) Updated Print All Notes template

4 What will it look like?

5 Date, Time, and Duration Date and Begin Time are required (no change) Added ‘End Time’ as an optional field Renamed ‘Units’ to ‘Duration’ Duration will auto-calculate to the nearest tenth of an hour when an End Time is entered If End Time is blank, Duration is optional and user-entered

6 Category, Type, Face-to-Face Added new optional Type Detail drop-down for counties requesting additional reporting data elements Added Details flair for Face-to-Face Location which provides Caseworker Contact documentation guidance

8 Case Note Categories - New Access Adoption BMCW Safety Services Child Welfare CW Assessment Contact Fiscal Initial Assessment Contact Juvenile Justice Ongoing Services Voluntary Kinship Care

9 Case Note Types - Old There are currently 93 different case note types in use, filtered on the case note category selected This results in 195 different case note category and type possibilities, which leads to inconsistent use, interpretation, and data entry

10 Case Note Types - New Collateral Correspondence Initial Face-to-Face –Only available for Initial Assessment Contact and Ongoing Services categories Face-to-Face Other Payment / Overpayment –Only available for Fiscal category Telephone Call
