2 Role of the Liaison The M&E Subcommittee on Regional Meetings assigned liaisons whose role is defined as: A conduit for the exchange of information amongst the Meeting and Expositions Committee, ACS staff, Regional Meeting Boards and the Regional Meeting Organizing Committees. 4 A FEW OTHER NOTES Regional Meeting 1)ACS Meetings Office is considering designating certain current staff positions as being devoted principally to Regional Meetings. 2)RM SubCom & ACS Meetings are thus experimenting with a calendar grid to help regions plan the scheduling of their meetings. 3)Firmly recommended, that regional meeting organizers get help from ACS staff with respect to arranging meetings site contracts. 4)ACS Divisions should have a Regional Meetings person designated, whom you can contact about getting Divisional support. Currently less than 50% do. Some Divisions can’t afford big $$. 5) Try to stimulate communication between Region Board and RM Organizers.

5 5 American Chemical Society Guidelines for Submitting a Regional Meeting Bid Bid presentation package should contain the following elements: Proposed Dates – these are suggested dates that the meeting would be held. It’s important to provide at least two alternative dates in the proposal. Potential Locations – Suggested venues within the region that can host the meeting. Core Programs: This document can be used by region boards to convey key elements of programming that a particular region wants to occur at their regional meetings, and includes ideas for signature events and activities that could become hallmarks of a given region. Electronic Proposed Budget: This is an Excel spreadsheet that includes typical sources of revenue and expenses and is a critical planning tool for meeting organizers. It can be modified to accommodate region-specific line items, and can provide an up-to- date financial status for meetings. Also included here is a sheet that calculates approximate registration income based on attendee projections.

6 American Chemical Society 6 RM NEWS … Omnipress Partnership – Regional Meetings Office entered into a Partnership with Omnipress to provide a overall group discount for participating regions. As of today, a savings resulting in $3,000 to the regions has been realized. The Regional Meeting Planning Conference (RMPC) is being held Friday, September 21 through Sunday, September 23 rd at the ACS in Washington, DC. 4 regions were nominated for the ChemLuminary Award: ● Northwest 2011 ● Midwest 2010 ● Central 2011 ● 2010 Joint Southwest/Southeastern Come out and show your support tonight at the ChemLuminary Awards being held at the Pennsylvania Convention Center, Terrace Ballroom 1, starting at 8 PM. Visit the ACS Regional Meeting Booth 827F on the ACS Island located in the Pennsylvania Convention Center, Halls A-B
