Access Project 3 Notes

Introduction Maintaining the Database  Modifying the data to keep it up-to-date Restructure the Database  To change the database structure

Updating Records Form view  Using a form to view records Searching  Looking for records that satisfy some criteria

Filtering Records Filter  To have only the record or records that satisfy the criterion appear Filter by Selection  The simplest type of filter for a value in a single field  You first must give Access an example of the data you want by selecting the data within the table

Filtering Records Filter by Form  To filter using multiple criteria Advanced Filter/Sort  To filter records using complex records

Mass Changes Update Query  Is a query that makes the same change to all the records satisfying a criterion Delete Query  Is a query that will delete all the records satisfying the criteria entered in the query

Mass Changes Append Query  Adds a group of records from one table to the end of another table Make-Table Query  Adds records to a new table Action Query  Adds, deletes, or changes data in a table

Validation Validation Rules  Rules that a user must follow when entering the data Validation Text  Is the message that will appear if a user violates the validation rule

Validation Required Field  A field in which the user actually must enter data Range of Values  Entries that lay between certain limits

Formatting Format  To affect the way data appears in a field Format Symbol  A special symbol to format a text data field

Specifying a Default Value Default Value  A value that Access will display on the screen in a particular field before the user begins adding a record Is found in the FIELD PROPERTIES box under the GENERAL tab To specify a default value, enter the value in the Default Value property box

Creating a Lookup Field Lookup Field  Allows the user to select from a list of values To change a field to a lookup field that selects from a list of values, use the Lookup Wizard data type.

Referential Integrity  The property that ensures that the value in a foreign key must match that of another table’s primary key Foreign Key  Is a field in one table who values are required to match the primary key of another table One-to-Many Relationships  The type of relationship between two tables specified by the Relationships command

Cascade the Update/Delete Cascade the Delete  Have Access allow the deletion but then automatically delete any one item related to initial deleted item Cascade the Update  Have Access allow the update but then automatically make the corresponding change for any one item related to the initial item
