4 Course Introduction This course will help HR to have an understanding of the Employee and Manager Workday experience in order to provide the right level of services and support. This course also covers what the Managers can do in the rollout and how will HR support them. The prerequisite to this course is course # 302 – Workday Foundation for HR. By the end of this course, you will be able to: Recognize the nuances of Employees and Managers Workday experience Provide the right level of services and support to employees and managers Explain This course will give HR an understanding of the employee and manager workday experience and what the employees and managers can do in the roll out, so that HR can provide the right level of support to them. 6 The Employee Workday Experience
Workday solution is available to the employees in Delphi so they can manage their own information and requests. From the home page, the Employee can access the ‘All About Me’ page that is Workday’s one stop shop for all employee direct access and information needs. From the ‘All About Me’ page, an employee can access all relevant information about themselves. The access to information will depend on their role and employee direct access activities enabled in the system. The Employees can also view their profile in Workday using the ‘View Profile’ option in the ‘My Account’ section. Employees will need to click on their picture on the top right of their Workday screen to bring up this option. Explain The importance of the ‘All About Me’ page where employees can access all relevant information about themselves Access to information from the ‘All About Me’ page will depend on the direct access configurations enabled in the Delphi Workday system

7 Information The Employees Can Access From “All About Me” Page
Personal Information Manage personal information such as contact, emergency contact information, marital status, personal addresses, and phone numbers, as well as employee documents. Pay View compensation related information, create and edit timesheet, make payment, and withholding elections. Time Off Manage time off by entering and correcting time off and requesting leave of absence. All time off balances and requests can be viewed along with their current status. Directory View and navigate through their organization using links. See which organizations they belong to or view their organization’s hierarchy. Browse business sites, organization directories, and management chain. Reports Access specific reports available to them. Access is based on security policy of the reports. Favorites Add and access links to common tasks, items, and reports. Explain The ‘All About Me’ page provides access to groups of related tasks, reports and links called worklets Worklets are hyperlinks that are organized by functional category and represent different kinds of tasks or work that the employee can easily perform using direct access functionality. Time Off, Benefits, Reports etc. mentioned in the above table are some of the worklets that can be viewed from the ‘All About Me’ page Information the employee can access from each of the above mentioned worklets Employees can personalize this page to include the desired worklets using the ‘Configure this page’ option Notes: The Employees can personalize this page using the ‘Configure this Page’ option.

Workday allows Employees to initiate changes and tasks as self. The process also allows for HR, Manager and other Reviews and Approvals of the changes an employee makes. Workday goes beyond the capabilities of a traditional direct access solutions and offers a simple and intuitive interface for managers to help them utilize relevant information and perform their jobs more effectively. Workday offers: Access to real-time data “My Team” Page for managers to access information related to their team Access to standard and customized reports with real-time data Greater involvement in processes to approve and deny transactions as well as get notified on relevant business processes Access to view and track the progress of a review and approval action “Speed of Thought Navigation” that allows managers to be more productive and focused Access to information anytime and anywhere via their mobile devices Explain The information access that managers have in Workday: “My Team” page to access information related to their team Reports with real-time data Greater involvement in processes to approve, deny transactions and well as get notified on relevant business processes View and track progress or review and approval action Access to real-time data enhances manager Workday experience and helps them perform their jobs effectively

The following table lists the business processes that HR will initiate on behalf of Managers in Workday during the first three waves of the implementation. The tables also lists the processes that involve Managers to take actions and review/ approve business processes. Managers will also get notified on relevant processes. The “My Team” page is Workday’s one stop shop for all managers. From this page managers can access all relevant information about their employees such as compensation, time off requests, etc. The various worklets that can be accessed from this page This page can be configured as needed, using the “configure this page” link

15 Manage Employee Details
From the Employee Detail screen, managers can access all relevant information about their employee such as job history, service dates, position history, total compensation data, and time off balances. Explain On the employee page, there are various tabs that provide managers access to all relevant information about their employees such as job details, manager history, contact, time off and leave requests, compensation, etc.

16 Manage Compensation From the Compensation worklet managers can use the reporting capabilities to view, track and report on team performance and compensation. Explain Look and feel of the “Compensation” worklet and the Request and View options Managers can request: Compensation Change, One-Time Payment, Stock Grant Managers can view: Compensation Summary, One-Time Payments, etc.

22 Scenario: Providing Great HR Services to Managers and Employees
How can Workday better enable HR to deliver it’s services to employees and managers? Consider current and future states in these areas: How does HR typically communicate with the employees/ managers: e.g. dedicated mailbox? Share point? Phone? How do managers/ employees typically contact HR when they have needs? What general resources does HR have to support employees and managers? Do the managers have the same access to support resources as HR? Note to instructor The groups should be discussing and the trainer should float from table to table to listen in. Then bring the groups together as a class to facilitate a discussion. Ideas/ concerns should be flip charted for follow-up as necessary

Ensure data accuracy Maintain data privacy Take timely action on requests Provide offline support as needed Reach out to appropriate teams to resolve any issue the employee is facing Refer to supporting materials on Sharepoint such as Quick Reference Guides, etc. to best support the employees and managers Note to instructor Instructors should build on the previous slide where discussion points are captured.
