5 User Management System (UMS) Add New User or Modify Existing Users Users may be added or updated by uploading a.csv file or entering information in fields on the website. Reminder: All 2008-09 users (except DSA & DTSA) were deleted from UMS and must be re-added for the 2009-10 school year (*after September 4) Set Student Test Settings and Accommodations Assign default test language, print size, and other accommodations for individual students through UMS. Batch upload (multiple students) Web form (single student) A student’s default settings can be modified by the TA on a test-by-test basis through the TA Interface.

6 UMS: Restrict Student Access Restriction Feature – Ability to restrict student test access Restrictions are done on a test-by-test basis Prevent student with test improprieties from testing – Student Interface A student’s test selection screen will indicate if they are restricted from taking a test (subject) – Access to restriction tool is controlled by administrator’s user role and school/district DSA, DTSA can restrict students within their district TT, TA, STC can restrict students within their school Removing a restriction follows the same rules and steps – Search for restricted students within a school/district

7 Test Administrator Interface Enhancements Student Test Opportunity indicated on TA Interface Sort students by Test Grade OR Test Subject Approve students in multiple subjects in the same session Ability to view a student’s test progress for “paused” tests New Alert Messages – Created by ODE specifically for Test Administrators – TA acknowledgement is required for each alert message

8 TA Interface: Creating Test Sessions Create sessions prior to testing Sessions can span one or more days Sessions may include multiple grades/ subjects Sort by Test Grade OR Test Subject Ability to create ELPA test sessions Upon TA login: All current sessions are automatically reopened (students will still require approval) Past sessions may be reopened for additional testing May administer multiple test sessions simultaneously Track progress of students currently testing across all open sessions via the “All Sessions” tab Targeted Up students need to test in a session containing the targeted up grade level (i.e., a 5th grader targeting up would have to test in a session containing the 6 th grade test). New!

9 Approve Students in Multiple Subjects in the Same Session – Multiple subjects within a session appear on the same approval screen – Opportunity number for each student’s test is clearly indicated Color-coded by opportunity Approving Students by Test/Session Coming Soon

10 Session Information TA Workbook Displays Session (high-level details) –Current Sessions –Past Sessions –Future Sessions “Details” displays all test history for that session “Manage” navigates to that session Manage Sessions Monitor student test activity for current day in Active Sessions Ability to pause/resume individual student tests or all tests in a session Automatic or manual screen refresh Tests started in one session can be continued in another Approve student requests for printed passages Always use the LOG OUT button (Do NOT simply close the browser to exit)

11 Student Information [Go] to Details from Current Sessions or Manage Sessions tab to view all student testing activity for that session (including past tests) Students appear in session in which they complete the test Student test activity information is now located in session in which student complete their test and is available to the TA for that session. Shows returning students, testing progress/status, in review, complete (score) Student information can be sorted by any field Student progress is displayed for paused tests New!

12 Student Lookup This student lookup tool is available in Participation Reports, UMS and TA Interface. You may search by SSID (searching by partial SSID is not permitted) Results display student record information (Grade, Name, Resident District, etc.) Feature searches all students in the state If an SSID record is updated in the ODE web site, it may take up to two business days for that student’s information to appear or be updated in OAKS Online Search by Name Coming Soon! Use UMS to search for students by name

13 Secure Browsers 1.Minimum system and browser requirements for OAKS student testing 2.Error message displayed when local internet connection is disrupted (prevents “hanging” tests and white screens with no options) 3.Portal contains download instructions for each browser and recommendations for network installation 4.New logo to differentiate from previous years’ secure browsers 1 2 Note: 2009-10 marks the end-of-life for Mac 9, Windows 98, Windows 2000, and Windows ME support Note: Force Quit commands are available from your Regional ESD Helpdesk. 3

14 Student Login Login Process 1.Log in using First Name, SSID, Session ID 2.Confirm identity – “Is This You?” screen – First Name (same as in SSID upload), Enrolled Grade, DOB, School, SSID 3.Select Test – If logging into a math session, will only see math tests – If logging into multiple subject session, will see multiple subject tests 4.TA Approval required to start test 5.Confirm test -- “Is this your test?” screen 1 1/3 4 5 3 2

15 Student Tools Student Tools for 2009-10 – Persistent Tools Highlighting, strikethrough, and zoom tools are maintained when the student navigates to a different test screen (actions are not maintained on paused tests). – TA approved passage printing – Keyboard navigation from start to finish of student testing – Ability to comment on questions at the item-level – Item-level ability to mark for review – Drop down menu for navigation – Periodic table and Math Reference sheet New!

16 Passage Printing 1. Student clicks print icon next to item and pop up message appears 2. Alert appears on TA screen indicating unresolved print requests 3. Print request approval/denial window and instructions. Passage text is hidden from TA 4. Print dialogue box appears after TA clicks on “Print and Close” 1 2 3 4 For security, passages are not saved locally on the TA machine and printing failures that occur after TA clicks “Print and Close” require student to resubmit request.

18 Test Expiration and Timeout Rules Test Expiration Tests expire after 45 calendar days (from start) Next test opportunity is available the next day Test Timeouts Student tests time out after 20 minutes of inactivity * * The timeout rule will be extended to 40 minutes for students with passage print requests A test session will time out after 20 minutes of no TA or student activity New!

19 Student Score Report Students receive a score report immediately after submitting their test * *for available test subjects

20 Practice Tests 1. Public access: May be taken independently (as “Guest”) or as part of a group with TA 2. Select test: Test takers select test, grade level, subject, language and print size 3. Unscored: Practice tests are adaptive and not scored 2 1 3

Click “Manage my student rosters” on the “Select a Test Grade and Subject” page 4 4.From the “Manage My Rosters” page, select the following from each of the drop-down lists: Current school year (2009-10) Your district Your school “Add Roster”

24 Assessment Reports: Adding a Roster (cont’d) 1 2 3 4 5 6 From the “Add Rosters” page: 1.Enter a Roster ID (unique) and Roster Name (any name) 2.Select a teacher to associate with this roster 3.Select a subject to associate with this roster 4.Select the grade(s) you want to obtain a listing of students from 5.Select available students to move into this roster and click the >> button. The students selected will appear in the right- hand box. 6.Click [Save].

25 Assessment Reports: Online Score Report Additional information: Shows average scale scores at this time last year on online score reports and dashboard Shows scale scores for score reporting categories Please remember that the only source for official scores is Student Centered Staging. Information from online reports may only be shared as preliminary information.

29 Online Score Report: Fixed Header For easy comparison, the table will now only have one header instead of two. The category header, along with the state and district aggregates, will be fixed at the top of the table whenever the user scrolls vertically on the screen.
