5 HRTC - Meeting Minutes - July 2013 Greeting by Brian Welcome Introductions – everyone introduces themselves Pass around attendance sheet 42 papers, 11 sessions Congrats to Joe for Tennessee Section Special Award for mentoring and developing students capable of producing highly regarded scientific papers Received May 29, 2013 HRTC Activities 2012 HRTC Minutes Overview Congressional visit day – give input to Brian Review Roster 36 members, 9 international – allowed up to 35 domestic, 15 international Select new Vice-Chair Joe is nominated and voted into Vice-Chair position Corresponding vacancy in education – Stephen Whitmore volunteers for this position Corresponding vacancy in membership and awards – no one volunteers Scott Claflin suggests updating membership list – remove inactive members and sign up new members Brian will nominate Toru Shimada for membership to HRTC

Accomplishments in 2012/2013 Organized 11 sessions at 2012 JPC (42 hybrid papers) Submitted Aerospace America year-end summary article – Thanks Marty – will do again this year Continued with email updates – George Story HRTC Student Meeting at JPC 2013 HRTC Best Paper – Stanford contingent Treasurer report – no report because no Jeffrey Michlistch Education report – Joe Majdalani Hybrid course is not offered this year – Liquid course is being offered because it generates more revenue Offer course in odd-years to not conflict with solid rockets short course Should we offer next year even though solid rocket course will be there – otherwise will be 2 years hiatus Offer course at different conference Should register earlier for course – talk to professors about getting student involvement? Website Editor – still in same shape as before Brett has been struggling with funding Identified designer (did logo) to work on website Meeting, Conferences and Publications – Han Bala (snuck in and out) Many conflicts created with new format – too many conflicts (everyone agrees)

Technical Activites – did not hear much from Marty Membership and Awards – Scott Claflin and Stephen Whitmore Best paper Best student paper Need to pick someone to do ? Social Media – Kirsty Veale Trying to get people to tell how their experience at the JPC is – cards are everywhere with the hash tags She thinks it’s very good Treasurer report 2012 report balance 9457.05 382.02 in original account 9075.03 in custodial account Ideas to spend money Scott says used to fund high school student to attend JPC – maybe can do again Joe says can be opened up to fund other groups – still likes funding Brett, but thinks it’s fair to open up Could fund a special HRTC award with a monetary prize – other TCs have their own awards Scott says may have to keep informal – formal awards have strict AIAA criteria that are hard to meet Expenditures 260 for catering of Student activities

On the metrics chart, we have a deficiency in the membership criteria Should we support congressional visit day – no one is volunteering Marty used to go and represent the HRTC Arif suggests Brian, but Brian is not sure congress would want to hear what he has to say, but he agrees to go anyway We have a strong presence – 10% of the conference papers Professional Short Courses Joe has established Student awards – check Lifetime Achievement – Kuo won Wyld Propulsion Award AIAA service – need to improve – should nominate someone Rules are so restrictive that some awards are going unawarded – Joe suggests that some rules need to be revised. AIAA Liasons – we have members on ABP and SR TCs – any others? 1 st Joint meeting of TC chairs and vice-chairs Addressing common issues Possible steering committee will be formed Topics for discussion Student/university involvement in research actiivities TC contributions to better AIAA Strengthening coordination between and increasing visisbiliity of TCs Award nominations and selection process – need to understand the rules before proceeding Will probably need a steering committee for this task Passing around logo concepts for voting on Joe’s graphic designer Another designer who submitted directly to Ashley (Yash Paul?) Many opinions on the merits and demerits of both main designs – making arguments for both also – question of Rockets vs Rocket Informal vote between two 16 for the Joe, 14 for the other. Modifications for the JOE design? – Recommend artist comes up with some iterations on the theme Vote on rear of logo (right side) Keep as is: 4, modify wins by a landslide Will get more iterations from designer – will table until modifications are done – will vote by email! – Colors should not be like a hybrid company’s

Jeff Hamstra – Propulsion and Energy Group Meeting AIAA board of directors representative (12 groups) Lockheed Martin corporate fellow Aeronautics, propulsion integration area US AIAA membership shrinking, international flat AIAA is ~$23M/ year business – uses conferences to generate revenue Need to figure a way to up attendance – young professionals don’t seem interested Wants to setup structure to accomplish more than just meeting Wants to push major “products” that AIAA has Thinks everyone’s “investment” can produce results J.W. Hamstra Director, Propulsion and Energy Jeffrey.w.hamstra@lmco.com 817-655-8894 HRTC – Goals for 2013/2014 Acquire new members Suggests Toru Shimada Continue HRTC Steering Committee Meeting Organize TC paperwork – still needed? Any manuals for the TC operations exist? Arif and Scott has seen it, but no copies? Arif to look for what he has Brian will ask AIAA for the paperwork for TC Hold Hybrid Short Course Brian does not want to wait until 2015 – too long of a hiatus Could do 2014 and 2015 if there is an interest Small sat conference? If so, then may just need to look at 2015 for JPC short course Will there be enough interest at the Small Sat conference? Arif suggests sticking with JPC for 2014 AND 2015 Get feelers out to Small Sat conference for interest. Pursue giving course for JPC this year and next year. Juliette suggests collaborating with solid rocket course perhaps – not really compatible?

Complete nominations for AIAA service award Organize sessions for JPC14 Special events JPC14 – Cleveland – 50 th anniversary Submit input for Congressional visit day Send Brian to Congressional Visit day Submit proposals to obtain TAC funding Liaisons to other TC’s Joe does not want to lose members to other TCs – keep main involvement in HRTC Scott says that TC meetings would be spread out – now they are all grouped on one night Upgrade AIAA memberships Make sure all data is current Continue HRTC activities throughout year – lets keep this going and not ramp up just before JPC Joe talks about upgrading memberships – would like to see more Fellow members, but need nominations 1 out of 1000 is a fellow To go from senior to associate fellow is not difficult Greg Johnson to talk about social media (Social Media Chair) Twitter deployed to connect TAO’s, TC committee, and Organizing Committee with the community. Created twitter board at #aiaaPropEnergy Allows gateway for like-minded groups Engages Young Professionals Our beloved aerospace promoted through social media networks to create new connections Tweet events and hot topics pre, during, and post conference using @aiaa and #aiaaPropEnergy All P&E folks encouraged to participate now! Brian Thanks everyone for making JPC a success Toru Shimada gives presentation on status of hybrid research in Japan
