2 MITS Help Desk Goal Our goal is to provide assistance to school districts throughout the state for Medicaid reimbursement. We strive to make the task of Medicaid billing as easy as possible. We also make every effort to maximize Medicaid reimbursement for our districts.

3 Duties of MITS Help Desk Assist districts with Medicaid billing support using the SEAS/DSCTop Software Assist therapists and school districts in activating/reactivating their provider numbers Answer phone calls from districts and assist with any questions or concerns Monitor district sites to foresee any problems that will decrease reimbursement or cause claim denials Determine eligibility and enter EBI information when necessary Assist districts throughout the state to claim V/H

4 MITS Help Desk Training When necessary, we will travel to a district who feels that their district may need “hands on” training. Sometimes we may recommend this to a district whose therapists may be having an exceptionally hard time learning the software

5 MITS Help Desk FAQ’s Do I enter all therapy notes, or just those notes for Medicaid eligible students? When do I “confirm” notes in DSCTop? Do I need Parental Consent for every year? What do I need to do to pull Vision/Hearing claims? Where can I get a Medicaid Application?

8 Taking the Confusion out of Medicaid Match

9 What Is Medicaid Match?  Medicaid is a Federally funded program. When your district receives money from Medicaid for any Direct Services, your district is required to pay a percentage of those funds to the state.  The Match percentage is determined by state-wide per capita income rates? The current Match amount is 19.54%.

10 Medicaid Match – From Billing Medicaid to Determining Your Match Payment  Medicaid will reimburse your district based on the amount your district has billed.  The quarterly Medicaid Match packets that we send to each district are based on reports received from HP, and indicate the amount of Medicaid reimbursement received by the district.

11 Medicaid Match – From Billing Medicaid to Making Your Match Payment  Match payments should be payable to: Arkansas Department of Education  Match payments should be mailed to: Medicaid In The Schools (MITS) 620 West Third, Suite 303 Little Rock, AR 72201

12 Common Medicaid Match Questions  What should I do if a child is listed on our report but does not belong to our district?  Why is our district being reimbursed for billing that occurred two quarters ago?  Why is our district receiving credits?  Why are there zero amounts on our reports/cover letter?

13 Changes for Quarter II Match  Match credits from the past 4 quarters to be included with current match totals (AR was one of 10 states to receive an increased matching rate based on the state of the economy).  Many districts will have credits.  A letter will be enclosed with an explanation.

14 ARMAC: How You Can Maximize Your Return

15  Email addresses must be correct in order for random moment emails to be received.  Email addresses must be verified through the link included in the ARMAC Verification Email sent to new participants.  Cost data and training documentation must be turned in before new staff can be added.  Meeting the appropriate deadlines Adding New Participants

16 Receiving moment emails  All participants picked to receive a moment email will receive a notice 1 week prior to moments being sent out.  If emails are not being received, please check with your IT person at the district and have the spam filter settings checked.  The district’s IT person needs to be contacted regarding individual settings when emails are not able to be opened.

17 Answering Moments  Random moments must be answered within 10 days.  You must click on the link in the body of the email to correctly answer the moment. You do not need to hit reply.  Do NOT declare specific names in answering moments.  Staff does not need to know who is Medicaid eligible.  Moment emails that are not answered in time will result in the decrease of the district’s claim amount.

19 Common Medicaid Application Mistakes  Contract (signed by Superintendent)  W-9  Automatic Deposit (if applicable)  DMS 675 – Ownership and Conviction Disclosure (must have name, address, DOB and SS# of Managing Employee i.e., Superintendent or LEA Supervisor and signature)  DMS 689 – Disclosure of Significant Business Transactions (must be signed by Superintendent or LEA Supervisor)  EPSDT Agreement (only for V/H Screens) must be signed by the RN and include a copy of their license
