1 Simulation – Round 1 Split into Groups (6 to 8 people) Run through simulation exercise within timeframe Evaluate process performance Application A Red Sorting Orange Adviser Yellow Decision Green Admin Blue Review

2 The exercise … We need: Volunteers  Sorting Volunteers  Admin Volunteers  Adviser Volunteers  Review Volunteers  Decision Volunteers  Mailroom/Supplies Volunteers  Quality Assurance Volunteers  Observers Review Decision Mailroom / Supplies Quality Assurance Adviser Admin Sorting

Batches of 5 applications at a time Must do work at your position and you cannot move your position No pre-work No helping slower team mates Time remaining in simulation: Click here to begin timer Sorting (red) Adviser (orange) Admin (green) Review (blue) Decision (yellow) Quality Assurance

4 5:004:454:304:154:003:453:303:153:002:452:302:152:001:451:301:151:000:450:300:150:100:05 0:00 Simulation Round 2 Objective To get at least 30 applications through the simulation pathway within 5 minutes What do I need to know? You can change anything about the process & environment except: Must do work at your position (can change where they are) No pre-work No helping slower team mates Time remaining in simulation: Click here to begin timer Sorting (red) Adviser (orange) Admin (green) Review (blue) Decision (yellow) Quality Assurance

Objective To get at least 30 applications through the simulation pathway within 5 minutes What do I need to know? You can change anything about the process & environment except: Must do work at your position (can change where they are) No pre-work Time remaining in simulation: Click here to begin timer Sorting (red) Adviser (orange) Admin (green) Review (blue) Decision (yellow) Quality Assurance

6 Application Simulation – Instructions Round 2 Allow the participants to rearrange the set up, un-batch the applications, pass the applications directly between them (to simulate electronic transfer) and rearrange the supplies. Still only allowed one person per stage and cannot assist slower colleagues Same roles but timer notes the time for the first and the fifth applications to complete the process. Again capture all the metrics on a flipchart to compare to Rounds 1 and 3 – overall apps processed, no. of defects, no. still in process (WIP), inventory of dots in process, cycle times of first and fifth applications.  Time = 15mins set up time and 5 minutes run time  Target = 30 correctly processed applications Round 3 Allow the participants to change anything about the process including the resource allocated to each stage, potentially taking out a stage if felt adds no value and changing the roles required. Capture the same metrics as Round 2  Time = 15mins set up time and 5 minutes run time  Target = 30 correctly processed applications

7 Application Simulation – Instructions General Try not to help the group out too much as to what they could change, just remind them of the tools they have learnt before they have their discussions Metrics Number of apps processed – want to see go up Number of defects – want to see go down Number still in process – want to see go down Cycle times – want to see go down Ensure you have enough copies of the application forms and the dots for all 3 rounds – at least 150 application forms and 500 each of the dots
