3 Creating an Instant Conference Click the Home tab. In the Instant Conference panel complete the following information: Select the conference type from the list. Type the number the current phone number, and then type the number you want to call. Click Start Conference.

4 Creating a Conference When you create a conference, you receive both leader and participant access codes. Distribute the participant code to attendees and keep the leader code private. You can select the option to prevent the conference from beginning until the person with the leader code has joined. Select the conference type. One-Time Conference: Occurs once for the set date and set start time, with a maximum duration of 24 hours. The access code is only valid for this one-time conference. Recurring Conference: Has a start time with a maximum duration of 24 hours. The conference is scheduled to be on the set days, with the same start time and duration. The conference is scheduled for the next six months with the same access code used for every occurrence. Reservationless Conference: Has a set start date and end date. The start time and duration are not set for this conference type. You can use the access code any time up to the scheduled end date.

5 Select the Conference Type Audio Web, or, Audio and Web Enter the date, time, time zone and duration of the conference call. X Do not enter information in the Billing Codes section. Call Features Select The leader must be present in this conference for it to start. Select other options based on preference Password protection is optional for a conference call. Click Okay

6 Access Information Select E-mail Invitation, click To Leaders or click To Participants to create an e-mail message containing information needed to join the conference. In-district Out of district

7 Modifying a Conference Return to the Mitel homepage Select the My Conferences tab. A list of your active and in-progress conferences appears. Locate the conference you would like to modify and click Change for the action. Make any necessary changes, and then click Submit. Under Access Information, select to e-mail the revised conference to the leader and participants.

8 Prior to a web conference, please advise the participants to test their browser and install the collaboration client. This will enable them to join the web portion of the call.

9 Installing the Collaboration Client Select OK Select Run at the following two prompts When the above screen appears, the client has been installed. Click Okay.

10 Once the participants have installed the collaboration client, they can select the link in the invitation to join conference. They may enter their number for the system to call at the time of the conference. An extension number or complete phone number. To join the web portion, the participant will type his/her name and click Join.

11 When a participant joins the web conference, the chat tab allows the leader and attendees to communicate using the Keyboard Chat feature to receive and send text messages during the web conference. During the web conference, participants and the leader can chat. The leader controls and monitors the Web conference. Type a message in the bottom pane. Press Enter to send your message. The sent message and chat dialog from other attendees appear in the top pane. The leader can also create private chats with others in the web conference. The leader can also share his/her desktop, as well as share documents and turn his/her role as leader to someone else in the group to share their desktop, or, files.
