2 Student’s Registration Student Registered his Application in ePASS All the students (except Minority, Disabled Welfare Scholarship Applicants under GoI) are registering in hpepass website Student has to scan and upload all the documents in ePASS portal Student will select his present study of institution, course and course year

3 Institution Login Candidates who select a institution as present institution will come automatically to that respective Institution’s login. Verification of Candidates Applied. Forwards the candidates from Schools to Deputy Director’s Login and College Candidates directly to Director’s Login. View Details of each candidate. Edit/Update Candidates Data.

7 Certificates to be Verified with Online Application Passport Size Photo (in all Scholarship Schemes) AADHAAR Card (in all Scholarship Schemes) Himachali Bonafide Certificate (in all Scholarship Schemes) Previous Year(s) Result Card from Matric onwards (in all Scholarship Schemes) Latest Bank Statement of the Student's Bank Account (in all Scholarship Schemes)

8 Certificates to be Verified with Online Application Caste Certificate (in case of Caste / Category based Scholarship Schemes only) Income Certificate issued by the Competent Authority (Not below the rank of Tehsildar) (in case of Income based Scholarship Schemes only) I.R.D.P. / B.P.L. Certificate (in case of I.R.D.P. / B.P.L. Scholarship Scheme only)

9 Certificates to be Verified with Online Application Gap Year Affidavit, for Post Matric Scholarship Scheme for SC / ST / OBC Students (in Original) (in case of any break in Study) Fee Structure approved by the University / Board / State Govt. / Centre Govt. (in case of Post Matric Scholarship Scheme for SC / ST / OBC Students, only) Fee Payment Receipts (in case of Post Matric Scholarship Scheme for SC / ST / OBC Students, only)

10 Certificates to be Verified with Online Application Selection Letter (in case of selection of a Student in IITs / IIMs / AIIMS) And all other relevant documents, as per the requirements of the concerned scheme.

11 The Student’s Details to be verified in Online Application Name, Father’s Name, Date of Birth, Gender Scholarship Scheme Category of the Student (SC/ST/OBC etc.) Mobile Number and e Mail of the student Present Institution, Course, Course year Date of Admission into present study Regular / Paid Seat Hosteller / Day Scholar

12 The Student’s Details to be verified in Online Application by the Institutions Previous Institution, Course, Course year, Marks Obtained Bank Account Details like Account Number, IFSC Code Bank with internet banking or not Whether he is eligible for the scheme applied or not Photograph is of same student or not

13 Role of Institutions in ePASS online To ensure all the eligible students for scholarships to register in hpepass online system To guide the students in registration with correct details To help in scanning the certificates and to upload to epass To guide the students in selecting the correct scheme

14 Role of Institutions in ePASS online To help in creating the e-mails for the students who do not posses so far To help in opening of bank accounts for each scholarship applicants To enter the bank account number and IFSC code/ Bank Branch correctly in epass To know the schemes eligible for their institution

15 Role of Institutions after Registrations by the student To login into http://hpepass.cgg.gov.in with user id and password given to the Institutionhttp://hpepass.cgg.gov.in Check the college name display on the login screen If not correct inform to the DHE or DDHE Check the Courses in Course and Course Year List Boxes

19 Role of Institutions after Registrations by the student If any course running in the college is missing or any course not running in college is found inform to DHE Check for the students details in the print view If the details are correct click on the check and click on verify button to forward to DDHE (in case of schools) or DHE in case of colleges

20 Role of Institutions after Registrations by the student If any details are found to be wrong click on Reject Button Select the reason for rejection from the list box The reason to select is Bonafide Certificate Not attached/Caste Certificate Not Attached/Income Certificate Not attached or Others The Rejected Applications will be forwarded and will be available for editing at next level

21 Flow After Institute Verification All the Applications Forwarded by Schools (Pre Matric) will be populated in Deputy Director, Higher Education All the Applications Forwarded by Colleges (Post Matric) will be populated in Director, Higher Education Login All the physical applications of pre matric to be handed over to DDHE along with the certificates

22 Flow After Institute Verification The Applications forwarded by the schools are verified online in epass portal by the concerned DDHE The Applications forwarded by the colleges are verified online in epass portal by the DHE The School Applications forwarded by the concerned DDHE will be populated in DHE login

23 Flow After Institute Verification The Applications populated in DHE login are processed online for merit list generation As per the merit list prepared online (as per the eligibility rules) the epass system makes sanction of amount The release orders will be generated in the system All Formats generated in epass system

24 Flow After Institute Verification After Release orders generation the print outs are taken from the system The print outs are Proceedings, other prescribed formats Bank File Generated as per the banks formats The details like student name, application no.,bank account no., IFSC Code, amount etc. are generated in epass for mailing to bank Bank will transfer the money to the bank accounts

25 Flow After Institute Verification The Institutions should ensure the receive of money by the students SMS will be students’ mobile for the payment transferred by the bank Any discrepancies should be brought to DHE immediately Ensure the amount of payment made correctly and excess payments should be intimated to DHE Ensure no student should get more than one scholarships and no ineligible claims made

26 General Instructions Use Latest Fire Fox Browser All Scanned images to be in.JPEG format only Each scanned image to be less than 50 Kb size Contact DHE for any clarifications Display instructions on notice boards Correct AADHAAR card of the student is compulsory AADHAAR to be bank account seeded

28 Rejected Reasons Caste Certificate not attached. Bonafide Certificate not attached. Others(provision to enter the reason by Institution Principal.)

29 Deputy Director Login Verifies the Institutions Candidates of Schools which were forwarded by schools. He again verifies and forwards to Director, Higher Education’s Login for sanctions. Fees will be automatically populated as mentioned in the scholarship schemes.

30 Director’s Login Generates Merit List for Merit Scholarship Schemes. Sanctions scholarship amount from the given budgets. Generates Bank files in specified format to send it to banks for the transfer of amounts. Generates Annexures (II & III), Office Orders and Treasury Abstracts.
