2 Software Licensing, Made Simple
September 2006 Software Licensing, Made Simple Today’s Session Trust Licensing SELECT Server XM Edition Configuring Reporting Administration What Next? We’ll begin with a short discussion on Trust Licensing. Then we’ll take a close look at the principles of SELECT Server XM Edition, including its configuration, reporting tools, and administration. Finally, we’ll review what you need to do to migrate your operations to this exciting new version. (c) 2006 Bentley Systems, Incorporated

3 Software Licensing, Made Simple
September 2006 SELECT Server Introduced in 1998 with MicroStation/J Maximize value by pooling licenses First come – first served Today: Nearly 20,000 SELECT Servers! The SELECT Server product was first introduced coincident with the release of MicroStation/J. Its purpose then, and now, is focused on the enablement of Bentley’s pooled license entitlement, a privilege that is part of the SELECT program. Today, there are nearly 20,000 SELECT Servers in Bentley account sites around the world. (c) 2006 Bentley Systems, Incorporated

4 Pre-XM SELECT Server Communication
Software Licensing, Made Simple September 2006 Pre-XM SELECT Server Communication Heartbeat “Ball & Chain” The way that SELECT Server has traditionally worked is through a license “request-and-grant” model. Let’s take a look and see just how that model works. You begin with a desktop machine running a Bentley application and a server, with SELECT Server. You are required to maintain a hard-wired connection between the desktop and server at all times. The licensing “handshake” begins with a request from an application to SELECT Server, asking “Do you have a license for me?” SELECT Server then responds in one of two ways – either with the granting of a license or the denial of a license. A license denial would happen if the application were not present in SELECT Server’s license file or if there were no application usages available at the time of the request. Once the grant of a license takes place, the client application will begin to emit a heartbeat, which lets the license server know that it is still in use. When that heartbeat stops, SELECT Server assumes the application session is over and pulls the license back into the pool of licenses. That constant emission of, and listening for, a heartbeat creates a “ball & chain” relationship on the network connection for the licensed application. The final point to the existing system mechanics is that since SELECT Server is at the center of this model, it logs the usage of all the applications, based on start and end times of the heartbeats it records. The real-time connection requirement makes interruptions of that connection problematic, so it’s proven to be a volatile design. This brings us to “Trust Licensing”, a concept born out of the recognition of this volatility and the resulting redesign of SELECT Server. 5 Software Licensing, Made Simple
September 2006 Software Licensing, Made Simple Engineering software’s value is fundamental Bentley’s licensing entitlements designed to maximize software value Proficient license enforcement can get in the way of real work Bentley’s response: Trust Licensing with SELECT Server XM Edition Many CIOs tell Bentley that their engineering software is a functional requirement for the successful in the design, construction and operation of the world’s infrastructure. Bentley believes that this cultural shift in perceived value of engineering software from ‘helpful’ to ‘fundamental’ demands a new licensing paradigm that will never obstruct the progress of mission-critical work. Bentley is innovative in the way we entitle and license our software to ensure that you are realizing the greatest benefit possible by investing in our products. Traditionally, software companies have licensed their software applications using an enforcement-model to license software. It should, therefore, be of little surprise that software piracy protection became central to a software developer’s business. While this approach worked well for non-mission-critical usage, it did cause problems for companies where software is an absolute necessity and progress is impossible without access to the right applications. Therefore, a great deal of attention was given to addressing the problems caused and, over the years, combinations of products, best practices, and copyright laws have been implemented to balance access versus restriction with varied levels of success. Bentley, like most software vendors, is serious about improving the process of protecting against the loss of its own intellectual property. Just as importantly, though, Bentley is serious about protecting against the loss of its own users’ ability and right to access their own intellectual property: their design data. Bentley has made changes to the XM edition of SELECT Server by focusing on liberation rather than restriction. When you purchase a Bentley software license you are investing in Bentley software and, in return, Bentley commits to protect your investment through responsible licensing management. September 2006 Trust Licensing Bentley commits to protect your investment through responsible licensing management. We’ve written a white paper that describes this approach in detail, which you can find on our website. I encourage you to invest a few minutes and read through it so you understand the background of our new licensing strategy. (c) 2006 Bentley Systems, Incorporated

7 SELECT Server XM Edition
Software Licensing, Made Simple September 2006 Now let’s move on and talk more specifically about this new version of SELECT Server, including how it works and what benefits are in store for you. 8 SELECT Server XM Edition
Software Licensing, Made Simple September 2006 SELECT Server XM Edition Configuration Reporting Administration Let’s start with configuration… (c) 2006 Bentley Systems, Incorporated

9 XM Edition Licensing Facts
Software Licensing, Made Simple September 2006 XM Edition Licensing Facts All XM Edition applications require SELECT Server XM Pre-XM applications (i.e., 2004 Edition) supported by SELECT Server XM via Gateway Service Gateways replace old SELECT Servers SELECT Server XM requires new license Most desktop license files replaced by registry entries First, there are some facts about XM Edition licensing that important to note. All XM Edition applications prerequisite SELECT Server XM. The new paradigm in licensing includes new logic both in SELECT Server as well as the desktop applications, so this becomes a requirement. But the good news is that SELECT Server XM also supports all pre-XM applications – from MicroStation/J through the 2004 Edition. That’s accomplished through a Gateway service that serves as a proxy for the old SELECT Server. The benefit of this approach is that, if you drop in the Gateway on the same machine that is running your old SELECT Server, you need not touch your desktop applications – they will just work. SELECT Server itself requires a new license for the XM version. SO when you are ready to deploy or use SELECT Server XM, then you need to let us know so that we can make preparations for you. In the XM Edition, registry entries take the place of the license files of the past. In addition, once you install one XM Edition application, all subsequent installations on that machine will “inherit” the activation information of the first application. So instead of having to manage the multitude of required license files that each application locates in the application directory structure, a single licensing registry entry will store and keep track of all the applications that are activated on each desktop. And the entries can optionally be deployed using Microsoft Active Directory Group Policy, if that’s a tool you use. (c) 2006 Bentley Systems, Incorporated

10 SELECT Server Requirements
Software Licensing, Made Simple September 2006 SELECT Server Requirements SELECT Server Microsoft Windows Server OS, or Desktop Pro OS IIS Web Service Database MSDE or SQL Server SELECT Server Serial Activation Key Gateway Service Microsoft Windows Server OS, or Desktop Pro OS SELECT Server Name Site Activation Key Now let’s cover the technical requirements for both SELECT Server XM and the Gateway service. SELECT Server’s main application server now requires either a server-level operating system or a professional desktop operating system. This may represent a more robust system than the one on which you are currently running SELECT Server. The primary reason is that we have built the new SELECT Server on a strong Microsoft-based service-oriented architecture (SOA) to improve upon its reliability and communication infrastructure. If you choose a server OS, then Microsoft’s web server, Internet Information Server (IIS) is already included and may just need to be configured. However, if you choose Windows 2000 or XP Professional, you will need to also install and configure IIS, which is not included in the delivery of those desktop operating systems. You will need to choose a database to support SELECT Server XM, which was previously not required. MSDE, now called SQL Server Express, is a no-cost alternative that will work just fine with SELECT Server. You can also use SQL Server itself and you may choose to do so if you already have it. In either case, the database is not required to be on the same server as SELECT Server. The final requirements you need are the SELECT Server serial and activation keys, which you will receive from Bentley after your initial request. The Gateway service technical requirements are less comprehensive than those of SELECT Server itself. The same operating systems are supported, but the Gateway service dos not require IIS or a database. In fact, the Gateway service is simply an XM application that is activated to the SELECT Server for a specific purpose - to enable older applications to communicate with the new SELECT Server. It’s activated by configuring it with the name of the server that SELECT Server is installed on, as well as the Site Activation key, which Bentley supplies for each Site that you manage. (c) 2006 Bentley Systems, Incorporated

11 Activation & Disconnected Use
Software Licensing, Made Simple September 2006 Activation & Disconnected Use XM Edition applications… …require Activation Product activation is a common method in the software industry of authenticating a product for entitled use. A Bentley application is Activated when it is licensed, which is most commonly achieved by connecting the application to a valid SELECT Server. Bentley has introduced a new mode of operation for our XM Edition products to facilitate the activation of a product, during which the product will run full-featured. The net result of this new behavior is that XM applications can run for a limited period of time without access to a license. That’s not only designed to facilitate the activation process, it provides additional benefits as well. We discussed earlier how the old SELECT Server worked, likening its requirement to “always be connected to the network” to a ball-and-chain. Its “Pre-activated” mode of unlicensed behavior also means that an XM Edition product has the ability to run in a disconnected state. (c) 2006 Bentley Systems, Incorporated

12 Software Licensing, Made Simple
September 2006 I Have a Question! I just installed MicroStation V8 XM. How do I activate it? Activation can be initiated at the end of the installation process or from within the application’s user interface, using the License Management Tool. Activation can be done at the end of the installation process or from within the UI, using the License Management Tool. (c) 2006 Bentley Systems, Incorporated

13 Activating MicroStation V8 XM
Software Licensing, Made Simple September 2006 Activating MicroStation V8 XM Alternatively, Active Directory group policies can be used to deploy SELECT Server name and activation key information to a group, allowing for automatic activation. As server names and/or activation keys change, the License Management Tool can be used to re-activate, or an entire group can be updated by changing the group policy. (c) 2006 Bentley Systems, Incorporated

14 SELECT Server XM Communication
Software Licensing, Made Simple September 2006 SELECT Server XM Communication Heartbeat Heartbeat Fault Tolerant So how is it different now? Let’s take a look at how the licensing works in the XM Edition. The license communication model between a desktop and its licensing server is far different in the XM Edition than before. There is no “heartbeat” emission from the desktop for the license server to receive. In fact, there’s no license request-and-grant scenario at all. Because of this change, there’s no reason to maintain a real-time connection between the desktop and license server, so the connection is fault tolerant. The system is designed to connect just once a day. Further, a desktop application can go many days – up to 30 – without connecting to its license server. So XM applications no longer require a real-time connection to SELECT Server XM. Periodic disconnectedness does not affect the application’s behavior. A network interruption, which previously would have severed an application’s connection to the license server, will not affect the application and will be transparent to the user. 15 SELECT Server XM Checkpoint
Software Licensing, Made Simple September 2006 SELECT Server XM Checkpoint Configuration Easy to deploy Reliable, robust, and secure Microsoft architecture SELECT Server XM can serve all applications Disconnected use ensures license reliability and application uptime Pausing for a moment to review… SELECT Server XM is straightforward, even easy, to configure. It does require a few Microsoft prerequisites. SELECT Server XM has been completely rewritten and is now based on reliable and secure Microsoft technologies and Web-based protocols. The architectural redesign follows Service Oriented Architecture and all communications are over HTTP, with an option for using SSL. SELECT Server can serve all versions of Bentley applications, whether XM Edition or previous versions. And, since the system is designed with disconnected use in mind, there should never be a time when you cannot run your Bentley applications, even if you’re away from the office or your network is down. 16 SELECT Server XM Edition
Software Licensing, Made Simple September 2006 SELECT Server XM Edition Configuration Reporting Administration Let’s move on to reporting… (c) 2006 Bentley Systems, Incorporated

17 New Reporting Infrastructure
Software Licensing, Made Simple September 2006 New Reporting Infrastructure Determine which versions of which applications are being used at a site Reports include: Pooled utilization Application Usage Machine Usage Named User RTR Summary Usage reports allow account and Bentley to determine which versions of which applications are being used at a user site. This is accomplished by the simple premise that each application knows which site it belongs to and SELECT Server understands which sites it manages. A number of reports produced by SELECT Server combine to offer a comprehensive review of application usage. The Summary Report accounts for peak utilization of pooled applications, including the number of machines and the date the peak occurred. Daily Pooled Usage counts application utilization each day, including specific versions used. The Application Usage report details what applications ran on which machines. Conversely, the Machine Usage report confirms which machines used a particular application. Enterprise License Subscribers (ELS) can incorporate multiple, site-based usage logs into a single, enterprise-wide usage report. It is important to note that no proprietary or personal information is included in usage reports that are transmitted to Bentley. And all communication between a deployed SELECT Server and Bentley’s Web Services are controlled by the account. (c) 2006 Bentley Systems, Incorporated

18 SELECT Server XM Communication
Software Licensing, Made Simple September 2006 SELECT Server XM Communication Fault Tolerant Let’s take a look at how the reporting sequence works, returning to our diagram of the fault tolerant infrastructure of SELECT Server XM. Individual desktop machines log usage statistics for the application installed and running on that machine. Desktops post their logs to SELECT Server daily, or whenever they can achieve a connection. SELECT Server compiles individual logs into reports on a site-wide basis. So the primary purpose of the daily desktop-to-SELECT Server connection is to report in on what was used since the last connection. SELECT Server XM XM Apps (c) 2006 Bentley Systems, Incorporated

19 Software Licensing, Made Simple
September 2006 I Have a Question! Do I have to report usage to Bentley? The transmission of usage logs to Bentley is a requirement with the advent of the SELECT Server XM Edition. SELECT Server XM Edition introduces a brand new infrastructure and process for report transmission, automating the process and, thereby, removing any unnecessary demands on the administrator’s time. SELECT Server transmits usage reports to Bentley on a daily basis, or whenever SELECT Server can successfully connect to Bentley’s licensing Web Services. Yes. Reporting is more reliable, accurate, and secure. (c) 2006 Bentley Systems, Incorporated

20 Software Licensing, Made Simple
September 2006 I Have a Question! What versions of MicroStation have been run this reporting period? A common question that usage reporting can answer is “What versions of MicroStation have been run this reporting period?” The Application Usage report will summarize usage by application for each site. In this case, all MicroStation usage will be rolled up into a single line item. You can quickly determine this by isolating a site and running an Application Usage report. (c) 2006 Bentley Systems, Incorporated

21 Software Licensing, Made Simple
September 2006 That report can be expanded, as you see here, to reveal the specific version usage that contributed to the overall usage. (c) 2006 Bentley Systems, Incorporated

22 Software Licensing, Made Simple
September 2006 I Have a Question! When was the last time that someone ran Descartes and who was it? Perhaps you’d like to know when the last time an application has been run at a site. To determine this, you can first identify when the last time that application was used through the Last Application Used report. Once you have determined that date, if you want to know exactly who used it on that date, you can run the Application Usage report for that specific date and identify all of the machines that reported usage for that day. First report on Last Application Used; then run Application Usage report for that date. (c) 2006 Bentley Systems, Incorporated

23 Software Licensing, Made Simple
September 2006 Here’s we’ve identified the date on which Descartes was last run and then expanded the report to reveal the specific versions and the machines that ran it. (c) 2006 Bentley Systems, Incorporated

24 Software Licensing, Made Simple
September 2006 I Have a Question! What was my peak monthly usage of MicroStation in the last year? Monthly peak application usage over the course of a year is an important consideration for Enterprise License Subscribers. You can determine, for example, the peak monthly MicroStation usage by looking at the Application Usage by Month ELS report. An Application Usage by Month ELS report will reveal MicroStation usage by month. (c) 2006 Bentley Systems, Incorporated

25 Software Licensing, Made Simple
September 2006 The Application Usage by Month report can help determine the monthly high-water mark of MicroStation usage, which is essential in metering usage for ELS accounts. (c) 2006 Bentley Systems, Incorporated

26 SELECT Server XM Checkpoint
Software Licensing, Made Simple September 2006 SELECT Server XM Checkpoint Reporting Comprehensive and accurate usage reporting ELS reporting Secure, responsible architecture for usage transmission and downloads from Bentley Again, let’s review what we’ve heard regarding Reporting in SELECT Server XM. First, SELECT Server is biased toward reporting and not enforcement. Reporting is accurate, comprehensive, and based on sites managed by SELECT Server. There are specialized reports for Enterprise License Subscribers, so these accounts can monitor their usage through the course of the year. And, SELECT Server employs a secure environment that protects your proprietary information and fits into your IT infrastructure for transmitting reports and downloading licenses. 28 Multi-Site License Management
Software Licensing, Made Simple September 2006 Multi-Site License Management New with SELECT Server XM Edition Multiple sites managed by a single SELECT Server Servers and license administration can be centralized Bentley SELECT agreements are generally executed and administered by geographic site. One of the long-standing requirements of the agreement is to administer licenses at the same granularity. Until now, this has meant running a SELECT Server at every site. SELECT Server XM Edition introduces multi-site license management from a single application server. This eliminates the necessity to run a distinct SELECT Server at each and every SELECT site, allowing software deployment and license administration to be centralized. So what does that mean? Let’s take a look. (c) 2006 Bentley Systems, Incorporated

29 Pre-XM SELECT Server Sites
Software Licensing, Made Simple September 2006 Pre-XM SELECT Server Sites London Site SELECT Server Pre-XM Apps “Ball & Chain” Here is our now-familiar diagram of how SELECT Server used to work. This may represent just one of your sites, such as London. But you likely have more than one site, such as New York as well. Today you’re running a separate instance of SELECT Server at each of these sites and neither SELECT Server knows the other exists. You cannot share the sites nor report easily on their collective usage. New York Site (c) 2006 Bentley Systems, Incorporated

30 Software Licensing, Made Simple
September 2006 SELECT Server XM Sites Gateway Pre-XM Apps Now let’s fast-forward to SELECT Server XM. With XM applications, again, we see our fault tolerant connections. And we’ll add the Gateway services to the sites as well, for the purposes of licensing the pre-XM applications running at each site. You can continue to run two SELECT Servers if you wish, but you no longer have to do so. Gateway Pre-XM Apps (c) 2006 Bentley Systems, Incorporated

31 Software Licensing, Made Simple
September 2006 SELECT Server XM Sites Gateway Pre-XM Apps Multiple sites managed by a single SELECT Server Gateway only required for pre-XM applications Instead, you may now choose to run a single SELECT Server based in London an serving the needs of all applications at both the London site and the New York site. In this case, all XM applications are activated to their respective sites, as are pre-XM apps (through their Gateway services), but both sites are managed by the same SELECT Server. SELECT Server is capable of understanding which applications belong to which site, as well as knowing which machines reporting usage belong to each site. XM Apps Gateway Pre-XM Apps (c) 2006 Bentley Systems, Incorporated

32 Software Licensing, Made Simple
September 2006 I Have a Question! If I manage all my sites with one SELECT Server, how will I know which applications are available to which sites? SELECT Server XM may know how to keep track of all of this, but you may be wondering how you – the system administrator – will know. As noted, each site that SELECT Server manages knows what applications it has in that license and you can see for yourself by viewing the license file. Each Site contains its own specific applications; available under View License File. (c) 2006 Bentley Systems, Incorporated

33 Software Licensing, Made Simple
September 2006 Here we can see one particular site in the license file and the applications that it can serve. (c) 2006 Bentley Systems, Incorporated

34 Software Licensing, Made Simple
September 2006 I Have a Question! We just bought a new XM application from Bentley. How do I get my SELECT Server license updated? Perhaps the most routine of tasks related to licensing is to update a SELECT Server license when a new application is purchased. This is a common occurrence once an annual budget has been approved or when a new project is started. What do you need to do as a system administrator to make sure your license gets updated? (c) 2006 Bentley Systems, Incorporated

35 Software Licensing, Made Simple
September 2006 I Have a Question! SELECT Server XM is equipped to make this a very simple task. Each time SELECT Server XM transmits a usage report to Bentley, it also checks to see if there are license updates available for any of the sites it manages. If there are updates available, SELECT Server will notify you and enable you to download the new or updated license. The Web service will never “push” the update down to you – your SELECT Server will always download it, either automatically or manually; it’s up to you. But if you’ve set up SELECT Server to transmit reports on a weekly or monthly frequency, you don’t have to wait for that cycle to download a new license. You can explicitly download a license update at any time. (c) 2006 Bentley Systems, Incorporated

36 SELECT Server XM Checkpoint
Software Licensing, Made Simple September 2006 SELECT Server XM Checkpoint Administration Multiple sites can be managed by a single SELECT Server Better messaging and notification system Easy to make routine license changes Check-out license duration is longer Check-outs can be made by proxy To review, in terms of SELECT Server’s administration tools… Multiple sites can be managed by one SELECT Server. There’s a much improved message center and notification system to alert you to routine or exceptional activity. Routine license updates are easy to accomplish, but are still under your control. SELECT Server XM Edition introduces extended check out periods, up to the remaining term of an account’s SELECT Agreement. And a checked-out license can be generated by the system administrator and ed to a remote user for local deployment. (c) 2006 Bentley Systems, Incorporated

38 How do I get to SSXM Edition?
Software Licensing, Made Simple September 2006 How do I get to SSXM Edition? Deploy SELECT Server Hosted SELECT Server Evaluate it before I deploy it locally Not a SELECT subscriber How do I get to the XM Edition of SELECT Server from where I am today? Well you have some choices in the XM Edition that were not available to you previously. You now have the choice of either deploying SELECT Server at your own sites or, new with XM, have Bentley host your licenses for you. Let’s see what’s required to deploy it, as you’re probably doing today. (c) 2006 Bentley Systems, Incorporated

39 Deploying SELECT Server XM
Software Licensing, Made Simple September 2006 Deploying SELECT Server XM Request it Bentley Sales Support will issue and send: Server Serial Number Server Activation Key Product Activation Key(s) Install SELECT Server XM Edition Activate the SELECT Server Install and activate a SELECT Server Gateway service, as required. Now let’s talk about the new alternative of hosting your SELECT Server with Bentley (c) 2006 Bentley Systems, Incorporated

40 Hosted License Management
Software Licensing, Made Simple September 2006 Hosted License Management Bentley Hosted Licensing Outsourced licensing offers the same benefits of pooled licenses and usage reporting Located and operated in Bentley’s state-of-the-art data center Bentley SELECT subscribers have traditionally deployed SELECT Server onto servers in their own network infrastructures. This placed the burden of license management and additional hardware resources on each subscriber. But perhaps managing software licenses is something you would rather not have to do at all. In this case, let Bentley manage your licenses for you. The XM Edition introduces the option to utilize a hosted SELECT Server, located and operated in Bentley’s state-of-the-art data center. Hosted licensing offers the same benefits of pooled licenses and usage reporting as a deployed server does, but does not require the same hardware, software, or personnel investment. You might ask yourself, “Why not have Bentley host my SELECT Server?” Do you have spare time to manage more hardware? Do you have spare people to manage more software? Do you have spare money to fund this extra effort? Bentley will do it for free for all SELECT accounts (c) 2006 Bentley Systems, Incorporated

43 Using Hosted SELECT Server XM
Software Licensing, Made Simple September 2006 Using Hosted SELECT Server XM Request it Bentley Sales Support will issue and send Product Activation Key Install and activate a local SELECT Server Gateway service, as required. Activate XM applications directly to hosted site If you choose to have us host your site, what does that process look like? Request desire to have Bentley host licensing to Bentley Sales Support (formerly Bentley Administration Center) by , phone, or FAX. Bentley Sales Support will: Create a new hosted SELECT Server Site(s) in the CRM system; the product Activation Key(s) for the requested Site(s) to the account’s system administrator; Enable access to SSXM administration pages for Site administrator. Change account’s contract status to note move to hosted licensing. If you have an existing deployed SELECT Server (e.g., 2004 Edition), it should be deactivated within a reasonable amount of time and replaced with a SELECT Server Gateway service.
