2 Two Big Changes 1. Fiscal Year End Licenses 2. Minimal Activity Licenses

3 We skipped the 2014 period for three reasons.. Where did 2014 go?

4 1. Get everyone on the same period. 2. Simplify. Expiration year = period year. 3. Moving towards Nextgen.

5 What about Minimal Activity Licenses? 1.Can be collected by city or state 2. The $15 annual fee is kept by city (not on State Annual Report.) 3. For renewals, confirm that the business still grossed less than $10,000. 4. Renewal letters will not be sent by the state.

6 Best way to clean up after the update? Run the License Report

7 Select all classes Run for date range since state changes Be sure to say No for Print Missing Licenses

8 A $15 license means these were new businesses. So the license should definitely be renumbered to 2015 year. Renewals from the state (aka $0 Licenses) most likely need to be renumbered – but you should verify.

11 Class 1 renewal after January 1 should be a 2015. Class 4 would be the only one that might stay as a 2013 or 2014.

12 When would you not renumber? Class 4 renewals for the previous period. If unsure, verify the period end date on the state website.

14 The Email from the State Due to multiple requests, updated fiscal year end information will be sent back to local jurisdictions in two formats. 1)SBN file dated 2/7/2014- This file will contain ALL business tax accounts currently registered in our tax system for each situs. ( Basically a SEED file to use to update your database). This file should be available in your folder on 2/12/14.

15 Businesses numbered with the next available number Missing Type – is a sure sign these were imported from the state file.

17 Step One – Is it a duplicate?. 1.Update your local record with the State Business Number and Fiscal Year End. 2.Check Screen 3 for any renewals 3.Delete the Business imported from the state file

18 Step Two – Contact leftover imported businesses to come in and register. After deleting the duplicate businesses, the remaining businesses have registered at the state but have bot registered with the city.

19 Step Three – Look over the printout and see if any of your local businesses are missing. To make this step easier, we can set up a User Defined Report to show businesses missing a State Account Number.

20 2. Social Security Numbers on New Businesses When registering new businesses, be sure to use the social security number for the owners and NOT the FEIN. The state is now rejecting businesses that lack a social security number.

21 3. Minimal Activity Letters The state will not be sending out renewal letters to minimal activity businesses. If you choose to do this, we can set up a letter for you.

22 4. Useful numbers to remember a. State Website Access b. Owner ID / Type

23 Do you need access to the state website for clearance website? The contact is Jane Lacy (615) 532-6164. You will need to fill out and sign disclosure forms and then Jane will forward their information to their IT department to generate login credentials.

24 Owner Type is the type of ownership for the owner. 1-Member 2-Officer 3-Partner 4-Owner/Individual 5-Owner/Company 6-Contractor ID Type specifies whether the federal employer ID number or the social security number is in the next field. 1-FEIN, 2-SSN
