Costing your proposal: full Economic Costing Full Economic Costing Introduced throughout all HEI’s August 2006, replacing a % overhead system with TRAC (Transparent Approach to Costing), which provides auditable rates for Estates and Indirect costs per FTE of research staff working on a research project. What are Estates and Indirect costs? –Estates : The estates rate is calculated to include premises-related research costs, including: Repairs and maintenance Basic services and utilities, rates, rents, insurance, gross buildings depreciation Estates staff, cleaning, porters, security Existing equipment and research facilities (with the exception of a limited number of charged out directly allocated research facilities) –Indirects: These are non-specific costs charged across all projects, based on estimates, that are not otherwise included as directly allocated costs: General office and basic laboratory consumables Library services/learning resources Typing/secretarial Finance, personnel, public relations and departmental services Central and distributed computing (if not directly allocated)

Costing your proposal: Costing consideration OTHER COSTING CONSIDERATIONS Regulatory fees such as MHRA for Drug and / or Device trials Clinical Trial registration fee ISRCTN Travel expenses for PI meeting with funder Facilities charges (Microscope's; Whole body Calorimeter) Insurance: In particular for overseas projects involving Human participants; their data and tissue. DMEC meetings (Data Monitoring and Ethics Committee - Quarterly) NHS Costs - Policy is 100% Recovery for Research Costs Trial Steering committee meetings (Bi-annually) NHS Research Costs NHS Excess Treatment costs NHS Service Support Costs

Timelines: Standard low-risk projects STANDARD, Low-risk projects: Inclusion:* Projects with < 2 external collaborators, UK based *Project cost likely to be < £1 million *Standard Fellowships Exclusions:*EU, and International funding bids Deadline for Intention to Submit: 15 working days prior to Funder Deadline

Timelines: Higher risk projects HIGHER risk projects: Inclusion:*Projects with > 2 external collaborators, UK based *Project cost likely to be < £3 million * Small scale clinically complex projects i.e. CTIMPs, IMPs (recruitment target <1,200) * Projects that need to be referred to our insurers Exclusions:*EU, and International funding bids *International collaborators Deadline for Intention to Submit: 30 working days prior to Funder Deadline

Timelines: Larger, Higher risk projects LARGE, HIGHER RISK, strategic projects: Inclusion:*Projects with > 2 external collaborators, International based * Project cost likely to be > £3 million (requires University Steering Committee approval) * Large scale clinically complex projects i.e. CTIMPs, IMPs (Recruitment target > 1,200) Projects that need to be referred to our insurers i.e. Projects undertaken in Africa; participants who are severely ill. *Bids for EU and International funding Deadline for Intention to Submit: 60 working days prior to Funder Deadline

9 3. Notification of Intent to Submit –When? : All stages of grant applications are covered including Expressions of Interest and Outline proposals –Why? Steering Committee sign off Insurance review CTU collaboration Research Design Service External collaborator buy-in, especially in the NHS (Trusts; CLRN’s) Peer review –Sign off via WOLF (Warwick OnLine FP14a) system

10 4. Financial Procedures: University wide Policy, FP14a, b and c FP14a, Internal approval prior to grant submission which is mandatory FP14b, Acceptance of an Award –Under-recovery rules –Authorised signatories of awards FP14c, Declaration of Ethical compliance
