Global Update with Confidence Mary M. Strouse Innovative Users Group May 19, 2009

What it is and What it Does Batch-editing mode in Millennium Cataloging Edit bib, item, order, checkin, authority, patron or course records Insert, copy or delete whole fields, subfields or character strings Adjust MARC tags, indicators and subfield codes Convert to/from MARC Identify and remove duplicate fields

Limitations Cannot:  create attached records  copy fields between record types (e.g., bib to item)  Edit checkin card data  Edit vendors, order status or fund (rapid update)  use regular expressions – must specify exact text to be matched, exact text to insert or delete

Contrast with External Editors (MARCedit) 3rd party tools require export and reimport of edited records  Use load table commands can create item or order records, set field defaults, etc.  Support for regular expressions (MARCedit)  Backup copy of data if something goes wrong  Overlay protection rules apply  Consider load and export table maintenance

Contrast with Rapid Update Alter MARC tags and indicators Insert or delete fields, edit special fields (MARC 006,007 and 008) Replace only certain values Change only a portion of a field Make multiple changes, save commands for later use Select records to exclude Preview changes View busied (unchanged) records

Editing Fixed-Length Fields (Rapid Update)

Editing Fixed-Length Fields (Global Update)

Selecting Records: Index Cannot specify a range

Record type/index determines default display Search is not case- sensitive

Selecting Records: Keyword Commerical Method I (page #107268) or Method II (page #107611)?

Advanced Limit (Manual page #104003) Caution: applies to all subsequent searches until cleared

Use checkbox to deselect, search to restore Refining Record Selection 2009 enhancement request: add/remove review file records inside global update

Displayed Field Toggle

Lists unique entries only blank when field not present Multiple fields in a single tag group Understanding Displayed Field

Specifying Command Input * * * *

“Use Displayed Field” Default state: Use displayed field checked Must choose at least one: Use displayed field or specify field group and/or MARC tag If Use displayed field is checked, will override field group or MARC tag

Matching Case If checked, ONLY records matching case given in Find will be changed Records changed always match the case specified in Replace

Matching Field or Subfield Can specify field or subfield, not both Data in Find Data must appear in a single subfield, be the only text in that subfield

Match Signals /f –use displayed field /c – match case /s – match subfield /w – match whole field

Inserting New Fields If select MARC field, must specify tag Caution: no validity check for indicators

Inserting Text Within a Field First find an anchor  Specify a known element before or after inserted text (may be a subfield designator or punctuation) Or use Add to beginning of field or Add to end of field

Deleting Text Within a Field  Subfield signal and/or designator treated as text  To delete a character string, replace with [blank]  |a designator cannot be deleted

Copying from one Field to Another Problem: Do not want to copy subfield z. Specify subfield(s) in Data?

Combining Commands All edits made to the first record, then the second, etc. (manual page #104004) Transaction file load is unpredictable Is elegance the enemy of the safe?

Using the Preview Pane Deselect records individually or in blocks

Viewing no-change records

Warning: The Empty Field Effect

Managing errors and the transaction file See manual Page # 100670 (recovering system-created files)

Minutiae from the Manual Saving commands for future use -- page #104011 Extrapolating commands -- page #104004 Specifying Multiple MARC Tags -- page #104007 Editing “special fields” (MARC leader, 006, 007 and 008) – page #104006 Deleting duplicate fields – page #104100
