This repository is based on the common repository architecture and is typically configured by the organization’s records manager which set up the repository according to the organization’s file plan. Next mouse click Once the repository has been configured, records can be submitted to it from various locations including DM/ systems as wells as MS outlook. The submission process is designed to be very easy for end users so that end users have the ability to declare records and not depend on a central records manager. This is a more scalable process for declaring records. A user is promoted for any missing metadata that has been deemed as required by the records manager. Records are submitted into the repository using it’s SMTM and SOAP interfaces and the context of the document including metadata and audit history are sent as well. Physical assets can also be handled by the repository either by scanning paper documents or creating stubs for assets that are stored in another location. Microsoft’s records management capabilities also include support for managing the legal discovery process. Records that are under discovery are placed on a Hold list which supersedes any expiration policy on that records. This allows the records to be retained even if the system wants to expire it so that it can be furnished as part of discovery. Our hold capabilities provide support for multiple, simultaneous legal actions and items can be placed on more than one hold at a time. The records library can be searched for the records that need to be placed on hold. 62 Administration Improvements
Authentication SharePoint Portal Server 2003 offered two mechanisms for end user to authenticate to a portal site: Anonymous Access – Used IIS anonymous user account to authenticate users, only really useful for read-only view of the portal. Authenticated Access – Could use either domain accounts or local accounts on the server itself to authenticate users to the portal site.

63 Administration Improvements
Authentication Providers MOSS introduces a feature called authentication providers. This allows MOSS to authenticate users against alternative directories using forms based authentication; examples of these include: SQL Database LDAP directory Any other other directory that has an ASP.NET 2.0 Membership provider These alternative authentication providers can be used alongside the traditional authentication mechanisms to provide authentication alternatives. For example 3rd parties could be granted access to MOSS without the requirement for you to create AD accounts within your internal infrastructure.

64 Administration Improvements
One of the main downfalls of SPS 2003 is the inability to easily recover deleted items. Unless a third party solution was deployed the following approaches could be used. Recovery Farm Restore – Safest of the two options but time consuming and requires additional hardware Build a recovery SPS 2003 farm. Restore the live server farm to the recovery server farm using the last backup that contains the item that you wish to recover. Extract the required item from the recovery farm. Import this into the live server farm. Restore Portal – Very risky and should be avoided unless absolutely necessary Take a backup of the live server farm. Take the server farm off-line. Restore the last backup that contains the item to be recovered. Extract the required item. Restore the server farm from the backup taken in step 1.

The Recycle Bin is one of the new and improved features included in MOSS. The Recycle Bin is: Visible for users on their My Site homepage Functionally similar to the Windows recycle bin Items are not physically deleted, but moved to the recycle bin Items are deleted when the recycle bin is emptied by the user or administrator Users can restore or recover documents themselves The recycle bin is only for documents and list items

The collection administrator has the ability to set how the recycle bin functions. You can specify: Visibility Number of days before automatic emptying Quota size (percentage of disk) The recycle bin is a two stage process User deletes from their site and it is sent to the users and sites recycle bin If they empty their recycle bin, the item remains in the site recycle bin until deleted by the system or an administrator

Quiesce New feature that allows a MOSS server farm to be gradually shut down for maintenance. Main benefit is that long running applications of a resource are brought-offline without data loss. This feature is implemented using the standard MOSS GUI. A specific time can be stipulated that the farm should be unavailable. The server farm can then be brought back on-line either automatically or manually when required.
