PDF-eXPLODE® e-DOCS Generator proper code in the Device Code box that appears. After you enter the code, click the Save button to keep the settings and continue with the set up process (see “Set Up Merchant Information” on page 24). For additional information on working with Register Codes, refer to the user’s guide or online Help installed with the program. Set Up Merchant Information In conjunction with setting up the module preferences, you also must set up the merchant information for the electronic transaction processing company. To do this, select Options > Set Up Merchant Information from the menu bar in the Main Menu module. In this window, enter the information for the processing company; the merchant account number is provided to you by PC Charge Pro. For additional information on working with credit cards or setting up merchant information, refer to the user’s guide or online Help installed with Cougar Mountain software. PDF-eXPLODE ® e-DOCS Generator To accommodate the requests and needs of our customers, Cougar Mountain offers the ability to email statements, invoices, purchase orders, and even custom reports. In cooperation with PDF-eXPLODE e- DOCS Generator, you can save time and money in printing costs by using email instead. This section of the guide provides important information on setting up and using PDF-eXPLODE with Cougar Mountain. Review all of the information in this section to help ensure a positive experience. PDF-eXPLODE® e-DOCS Generator needs extend beyond the information in this guide, contact Cougar Mountain to learn how we can help customize your reports for email processing. Installing PDF-eXPLODE ® e-DOCS Generator Place the PDF-eXPLODE e-DOCS Generator CD in the drive and follow the on-screen instructions. When the install is complete, you are ready to continue with the set up process (refer to “Setting Up Cougar Mountain for Email Processing” on page 25). Setting Up Cougar Mountain for Email Processing Depending on your plans for using PDF-eXPLODE e-DOCS Generator, before you attempt to use the this add-on, there are a few settings you might need to define in Cougar Mountain. These settings include: „ set up printer codes „ set up the sales entry screens „ enter email address(es) for customer(s) Make sure you review each of the settings in Cougar Mountain to ensure a smooth process. Set Up the PDF Printer In order to process reports via email, Cougar Mountain generates a PDF version of the report through its print function. Depending on your needs and the module in which you will generate PDFs, there are a couple of options for setting up the print function to use the PDF printer: „ Always use the PDF printer „ Select when to use the PDF printer Always Use PDF Printer This option is available in all modules and is accomplished in the Module Preferences settings. In the module in which you wish to designate use of the PDF printer at all times for a certain report type, select Options > Module Preferences from the menu bar. On the Print Options tab, for the report type(s) you wish to set the PDF printer as the default, select the printer from the Printer/File 25Cougar Mountain Software

PDF-eXPLODE® e-DOCS Generator Name drop-down field. This field is only available if the Output Type is set to Printer. When you have all the settings done, select OK. Select When to Use PDF Printer This option is available in Order Entry, Point of Sale, and Job Cost and it allows you to choose when to print via PDF. In the module from which you will email reports, select Options > Codes > Printer from the menu bar. In the Printer Codes window, enter a printer number and description for the PDF printer. When you add the PDF Printer Code in one module, it is available in all installed modules. Leave the default output setting of LPT and select the Force output to printer below option. In the drop-down list, select the PDF printer. If you select the Set As Default Now button, this sets the PDF printer as the default printer. This image reflects the set up in Job Cost. For more information on setting up Printer Codes or printing in Cougar Mountain, refer to the user’s guide or online Help installed with the program. Set Up Sales Entry Screens If you will email invoices from either Order Entry or Point of Sale, you must set up the sales entry screen to include the email printer. In the OE Set Up Sales Entry Screen and/or PS Set Up Sales Entry Screen windows, assign the email printer device to the proper payment method(s). PDF-eXPLODE® e-DOCS Generator Paper format and select the printer code you established as the email printer (see “Set Up the PDF Printer” on page 25) for each payment method for which you will use the email functionality. For more information on working with the sales entry screens, refer to the user’s guide or online Help installed with the program. Enter Email Addresses In Accounts Receivable, you need to have email addresses entered for each customer to whom you plan on emailing a report. For more information on working with customer account information, refer to the user’s guide or online Help installed with the program. Sending a Report Via Email After defining all settings, you are ready to begin using this add-on product. This section reflects sending a report via email from the Accounts Receivable module, but the same steps apply for any 27Cougar Mountain Software

PDF-eXPLODE® e-DOCS Generator report you wish to email. Once you select the report you plan to email, click the OK button in the report window. „ If the system is set up to print to the PDF printer, the PRE-Process PDF Options window appears. „ If the system is set up to print to a physical printer, select the Set Up Printer button and then select the PDF printer and click OK ; then the PRE-Process PDF Options window appears. When the PRE-Process PDF Options window appears, you have a few options from which to choose: „ Options : this button opens the PDF-eXPLODE Options window in which you can change various settings for the email process „ Explode Later : this button allows you to complete the explode process at a later time „ Explode Now : this button allows you to start the emailing (explode) process at this time „ Create PDF : this button allows you to save (create) the PDF Depending on your selection, the explode process will either terminate or begin. Refer to the PDF- eXPLODE e-DOCS Generator documentation for additional information on the explode process or the various options available. Working with Report Writer Tags In order for Cougar Mountain to send reports via email, the PDF must include an email tag. A tag is a form of coding that PDF-eXPLODE e-DOCS Generator uses to determine which reports should be sent via email. This tag is set up in Report Writer for each report you wish to send via email. For your convenience, we include this tag for some of the following predefined reports in Cougar Mountain: „ Accounts Receivable Statements „ Order Entry Invoices „ Point of Sale Invoices „ Job Cost Invoices „ Purchase Orders If a report you want to email is not in this list, you can add the tag yourself. Refer to “Modify or Create an Email Tag” on page 28 for information on creating an email tag. Along with the email tag, we also include a predefined email message that you can modify for your business needs (see “Modify or Add a Message ID” on page 29).
