2 Preparing for Change 5/21/2013 2  We will not try to get into the theoretical basis of RDA--but recognizing certain principles is unavoidable!  Goals-  Be able to recognize when a record has been cataloged using RDA rules  Start becoming familiar with significant differences between AACR2 and RDA Avoid "correcting" RDA cataloging that differs from AACR2 Avoid adding AACR2 elements to in-process RDA records  For those authorized, be able to complete CIP  For those authorized, create RDA belletristic records and/or perform variant edition cataloging

3 RDA -- What Is It? 5/21/2013 3  RDA= Resource Description and Access  Developed by Anglo-American national libraries and associations but usable beyond English- speakers  Supersedes AACR2 cataloging rules for description and access; will affect subjects to some degree (for names, uniform titles)  Intended to be more friendly to computers & users, and to be usable internationally  Based on the IFLA Functional Requirements for Bibliographic Records [FRBR] and the Statement of International Cataloguing Principles

5 RDA -- When? 5/21/2013 5  RDA was tested Oct. 1-Dec. 31 2010; involved the Library of Congress and selected libraries (YUL was not one of them)  Following the test period, some libraries have continued to contribute RDA records in OCLC  LC testers trained in RDA resumed cataloging in RDA in Nov. 2011 (including CIP cataloging)  Decision by LC to implement RDA March 31, 2013 ("Day One," i.e. all staff trained in RDA by then; all new cataloging follows RDA)  Yale original cataloging trained April-Dec.; RDA original cataloging is current Yale policy  Day One; all new NACO records created by Yale catalogers follow RDA rules; for selected headings (Bible, Qu’ran, Dept.) most authority files (LCDB or OCLC) are updated to RDA form (computer generated); other elements of a computer updated heading may not be RDA

7 Expectations 5/21/2013 7  All technical services staff across YUL: be able to recognize RDA records & the new MARC fields  Acquisitions staff authorized to create order records: be able to use an RDA template in Orbis if no cataloging copy is available  Acquisitions and Cataloging staff authorized to perform copy cataloging: avoid making "incorrect corrections"  Acquisitions and Cataloging staff authorized to complete CIP: be able to update RDA CIP to full level following RDA rules  Staff who use or create variant edition cataloging: be able to modify AACR2 cataloging copy to order, create or derive variant edition RDA cataloging (e.g., later editions, translations, & reproductions)  "Belletristic catalogers" (catalogers authorized to update minimal- level in-process records to full level for fiction, poetry, & drama): be able to update minimal-level records to full level following RDA rules

8 What to Do: RDA Cataloging Copy 5/21/2013 8  Accept RDA cataloging found in OCLC as you would any other full/core level cataloging-- RDA cataloging is NOT a parallel record  Caution: some of the changes resulting from the RDA rules will look like "errors"  Do not try to revise RDA records to AACR2 (OCLC policy)  Do not try to revise AACR2 records (Leader Cataloging Form: a) using the RDA rules (with the exception of variant editions)

9 RDA Principles 5/21/2013 9  Transcribe what you see  Less emphasis on translating what is on the page or label, etc. into cataloging-specific conventions  The record should be more comprehensible to the user (but not necessarily to the cataloger!)  Avoid cataloging abbreviations unless well-known  De-emphasize "catalogers talking to catalogers"  Core is the new default (in practice use Encoding Level blank or I NOT 4)  Maintain continuity with AACR2

10 NEW OCLC POLICY FOR AACR2 5/21/2013 10  Following March 31, OCLC catalogers generally can continue to contribute new records following AACR2, but catalogers will have the option to upgrade AACR2 fully cataloged records to RDA (or to add selected RDA elements to AACR2 records)  LC (and YUL and most pcc libraries) will contribute all new records following RDA  YUL: AACR2 OCLC full or core level cataloging copy should continue to be used; presumably this will also be applied by the LC Copy Cataloging Unit  YUL: in process or minimal level records should be updated to RDA; optional: if an AACR2 LC MLC record is upgraded to full level, use cataloger judgment to decide whether to upgrade to RDA (prefer RDA if any changes to description will be minor)

16 What to Do (Capitalization) 5/21/2013 16  If you use OCLC cataloging as the basis for creating an order record, for copy cataloging, or for fast-cat, and the record uses:  AACR2/RDA capitalization: leave as is  RDA optional capitalization: leave as is  This applies to any catalog record found in OCLC: LC (fully cataloged), LC CIP Member copy full, core, or minimal Vendor records (EL 5 or 3)  Do not attempt to "correct" the capitalization

18 What to Do (Errors) 5/21/2013 18  Apply to procedures where the item is in hand  If there appears to be a data entry error on the 245, 250, 260 [i.e. 264], or 490, verify the field against the item in hand  If it is a data entry error, update to the form on the title page  If the error is on the title page itself-- Determine whether the record is RDA or AACR2 Use the appropriate model on the previous slide for RDA or AACR2 corrections When in doubt, check with your supervisor!

19 No Media GMDs! (and What to Do) 5/21/2013 19  RDA records do not use the General Material Designator (GMD, 245 ‡h)  Do not add ‡h for media to 245 in RDA records  Do not remove ‡h from AACR2 records (OCLC plans to delete ‡h from all master records ca. 2015)  MARC 336-338 replace 245 ‡h; more about that later

20 Parallel Titles (Transcribe Where You See) 5/21/2013 20  RDA parallel titles do not have to be on the title page--  In addition to the title page, RDA cataloging can take the parallel title from the cover, half- title, anywhere within the book  In RDA all parallel titles are transcribed; AACR2 limits to 2 parallel titles  In RDA, if any parallel title is transcribed from a source other than the t.p., it is not bracketed

23 What to Do ( Acquisitions, Copy Cataloging) 5/21/2013 23  Determine whether the record is AACR2 or RDA  If you are using the record for ordering, take it as is, since you will not be able to verify  For in-process acquisitions work, or copy cataloging, where the item is in hand, verify that the title page parallel titles are transcribed correctly:  Do not "correct" the RDA record by removing parallel titles not on the title page  Do not spend time verifying any additional parallel titles that are on the book

24 What to Do (Belles Lettres, CIP) 5/21/2013 24  More likely to occur with belle lettres, but possible with CIP or variant edition cataloging  If CIP, verify that the record is RDA; for belles-lettres based on minimal level member copy, change to RDA (i for ISBD; ‡e rda) if it isn't already  Verify the parallel titles on the title page  Check the cover and half title (page preceding the t.p.) for additional parallel titles-- especially if they are already in the CIP 245  Add any parallel titles not on the t.p. (do not bracket); remove any parallel titles not found in the book; if a parallel title is taken from the jacket, use brackets

25 Source(s) for SoR: Bracket or Not? 5/21/2013 25  SoR = Statement of Responsibility (245 ‡c)  In 245 ‡c, SoR doesn't have to be on the title page; still required to begin with the title page, but the cataloger can take all or part of the SoR from somewhere else, as long as it's somewhere on the book; recording an SoR is mandatory even if it is not on the t.p. Title page: A New History of French Literature. 28 What to Do (Member & LC Copy) 5/21/2013 28  YUL policy for fully cataloged member copy is to leave the record "as is" unless it is demonstrably wrong  Expect inconsistency in RDA member copy 245 ‡c,  RDA member records may have multiple SoRs-- or only one-- this is a cataloger decision  RDA member records may or may not include titles, affiliations, etc.--this is a cataloger decision  LC copy cataloging does not revise the description found in the record to LC practice, so some DCLC records may exclude some of the SoRs and titles, while original DCLC records will usually have all the SoR information.

29 What to Do (CIP) 5/21/2013 29  In 245 ‡c, the default rule is to transcribe the author/editor's titles, degrees, institutional affiliations, etc. Optionally they can be left out, but LC will generally follow the default rule in the DCLC SoRs w/the exception of LC Copy Cataloging  For CIP, if there are titles, etc. in the CIP, leave them as is unless they are really not on your source  For CIP, refer to your supervisor for a decision if  the LC cataloger has left off titles, affiliations, etc.  SoRs are not on your t.p. or in 245 ‡c, but you find an SoR elsewhere on or in the book

53 What to Do (Acquisitions, Copy Cataloging) 5/21/2013 53  Generally accept publication statements in fully cataloged RDA records as long as they correctly identify what is being ordered, received, or cataloged  On the positive side, the "transcribe what you see" rule may improve identification  On the negative side, problems in identification could be caused due to RDA practices requiring only the first place & publisher or the absence of copyright date

54 What to Do (CIP) 5/21/2013 54  Use the guidelines to verify and edit publication statements in RDA CIP records  Expect discrepancies:  Different initial place of publication if more than one  Incomplete publisher transcription, or the first publisher name differs  Different date of publication

55 What to Do (Belletristic) 5/21/2013 55  Use the guidelines to update publication statements in in-process or minimal records  Use 264 _1; modify 260 __ to 264 _1  "Transcribe what you see" (including errors):  Verify, revise, or transcribe the first place of publication as found in the book-- not as found on the in-process record (and update 008 if necessary)  Transcribe the complete publisher name (including Inc., etc.); never supply abbreviations but transcribe any abbreviations used in the book's title page  Avoid "[place/date] of publication not identified]" as much as possible; for hard cases with dates, RDA may have helpful guidelines; but RDA does not have the option to use dashes to represent an unknown date span
