3 STTC 20/08/2002 Eva Sánchez-Corral 3 Organisation and Management (2) General Planning –Preparation Within the frame of the CERN W2000 migration project, define migration process, analysis and report ST specific needs January-May 2001 –Pilot Project in ST June-July 2001 No major problems found except “lack of sharing the Calendar with Outlook” -> not start yet Divisional migration –Divisional Migration October 2001- April 2002: using IT resources May-November 2002: using ST resources

4 STTC 20/08/2002 Eva Sánchez-Corral 4 ST W2000 Migration preparation PC inventory analysis ST minimum hardware configuration W2K compliant –300MHz (IT: 200MHz), 4G, 128 Mb (IT: 64Mb), PCI Ethernet card Done by every ST group desktop link man –Classify the PCs in W2K compliant, to upgrade (memory) and to replace. –Take the appropriate actions to put PCs in conformity Results of the analysis (May 2001) : –Aprox. 130 obsolete, 100 to upgrade, 220 compliant IT/NICE provided (May 2001) information on “active” (logon to NICE servers) PCs –Active W95/NT PCs = 402 hardware information: memory, network card, disk, model –Active W2000 PCs = 66 Work is still required to process all the information and update accordingly the ST Inventory

5 STTC 20/08/2002 Eva Sánchez-Corral 5 ST W2000 Migration preparation (2) Applications needs analysis: Applications required by ST not yet available in October 2001 when divisional Migration started : –Outlook calendar sharing A workaround exist though it is mandatory to quit the calendar in order to allow access (R/W) to other granted users Under study by IT/NICE –AutoCAD ~25 users. Deployment & training planned for mid-November 2001 –MP5 ~150 users. Deployment planned for April 2002 (MP5 upgrade required first!) Alternative: deploy current MP5 granted Oracle Forms 4.5 is available on NICE2000 (but not certified by Oracle!) -> Support by IT required on W2000 MSI generation technology ! –CUBUS, OMNIS 7 and other specific applications (using Oracle, MS Access, Java) Only a few users, solution to be found, using if possible other compliant tool, otherwise upgrade licenses

6 STTC 20/08/2002 Eva Sánchez-Corral 6 ST W2000 Migration Strategy Start ST divisional migration October 2001 –Proposal agreed in the frame of ST W2000 migration task force Preliminary divisional migration plan defined (29/9/2001) –Feasible based on results ST Applications needs and PC inventory analysis Volume of work (+ co-ordination) should not be under estimated Systematic but distributed on reasonable time (7-8 months) –Profit IT/W2K Migration service resources available (October 2001- April 2002) request service providing a Preliminary divisional migration plan ST management approval and support “Migration process” launched weekly –User (PC) follows Migration criteria –Minimum hardware configuration and required applications are available –Support personnel (IT, ST local desktop) available –Seminars and courses organised and user available to follow them –User is available during migration (before, during, after)

7 STTC 20/08/2002 Eva Sánchez-Corral 7 ST W2000 Migration Plan Migration phases defined based on Applications deployment planning and “migration criteria” Phase 1: migrate users of available applications (Basic, Advanced) -> COMPLETED ! –45% ST users= ~ 110 (~ 60 days: 0.5 days/user) –Planned : mid-October to January 2002 Phase 2: migrate AutoCAD2002 users -> COMPLETED ! –5 % ST users= ~ 30 (~ 15 days) –Planned : November to January 2002 –Condition: co-ordinate with AutoCAD2002 training Phase 3: migrate MP5 users -> COMPLETED ! –50 % ST users= ~ 150 (~ 75 days) –Planned : April -June 2002 if MP5 upgrade done at the same time as W2000 migration –Alternative planning done: February-April 2002 Condition: If ORACLE Forms 4.5 available on W2000, then do first W2000 migration and only afterwards the MP5 upgrade. MP5 MSI package (including Oracle Forms 4.5) available since end January 2002. Some settings & installation actions required if also Oracle 2000 is needed (not compatible with MP5 Oracle). Phase 4: Completion: migrate not yet migrated users (PC not compliant, application) –Planned : April-June 2002 -> July-October 2002 !

8 STTC 20/08/2002 Eva Sánchez-Corral 8 Review of Experience No major problems encountered –Migration procedure well defined and documented by IT division –Migration service offered by IT to Divisions –Training and support provided by IT to both administrators and users –Deployment of applications on W2000 went (goes!) smoothly IT: http://w2kmtf.web.cern.ch/w2kmtf/Applications.htm –Basic Applications (MS office, IE, Outlook), Labview, Oracle, Java available and supported since June 2001. –Engineering applications (AutoCAD 2002) available since December 2001. Training also provided. –Siemens S5, S7 available by end 2001. –Calendar sharing: extension to Exchange of mail servers required. Pilot project launched in May 2002. ST –Specific tools: licenses upgraded. –Porting of Oracle (Forms) and Java applications done. –MP5 available since February 2002. –Being done the “porting” to MP5 of other specific applications : OMNIS- Car Pool, TFM- Cleaning and Space management. –Exchange-Calendar. Testing: positive results, some migrations done. Plan the others.

9 STTC 20/08/2002 Eva Sánchez-Corral 9 Review of Experience (2) Requirements –Migration required –advance planning in the division: PC inventory and applications needs –PC upgrades (memory, disks), replacement –divisional co-ordination –availability of users during the upgrade (at least at the beginning and end) Workload –Approx. 200 PCs were migrated –Total migration process: 1/2 day / PC (user) Preparation: varied a lot from 1h to several hours (local data, applications and user settings) “Installation”: estimate duration: 90 min (CD-ROM) - 2.30h (diskette) Post-installation: varied a lot from 1/2h to a few hours

10 STTC 20/08/2002 Eva Sánchez-Corral 10 Review of Experience (3) Resources –Divisional co-ordination Define planning and prepare & follow-up migration of 8-16 users (1-2 fixed days) per week since October 2001 till April 2002 Quite a lot of effort required (1 person) –Sometimes user was not available as planned –Long process on not powerful PCs, or heavy user profiles –Lack of feedback (IT survey questionnaire rarely filled in) –Migration Process Preparation and Post-installation: support provided by ST Local Desktop Support (1 person) and Migration groups linkmen Installation done using IT resources: two to four persons from October 2001 till April 2002 –PC upgrades and replacements 2001-2002: –Upgrade memory for approx. 80 PCs –approx. 140 PCs have been bought (Vobis PIII 800/850)

14 STTC 20/08/2002 Eva Sánchez-Corral 14 News on NICE2000 Future of NICE95/NT (Announced in Desktop Forum June 2002) Frozen from end of 2002 Central support stopped by mid-2003 IT PC Shop: CERN supported PCs portables delivered only with W2000 since June 2001 desktops delivered only with W2000 since January 2002
