3 Who Is Watching? 4 Who Is Watching? (cont.) The Drug Enforcement Agency (DEA) All medications are considered “drugs of abuse” by definition. Inventory discrepancies are most commonly tied to narcotics: Three federal employees conspired to remove large amounts of non-controlled drugs from a Federal pharmacy. The indictment charged the employees exchanged the stolen drugs for cash to a pharmacist who sold them to the public from his privately owned pharmacy. Government monetary loss of $1.3 Million over a 3 year period. 4

5 What Do I Have To Do? Download finalized invoices into Computer Inventory. Match NDC and bottle size line by line. Upload invoices into RPMS. “Lots” of background work done by your Clinical Applications Coordinator: Drug file setup, multiple sites, etc… 5

6 What Can DAP Really Do? Greater accountability for OIG inspections. Real-time inventory updating and control: Minimizes inventory overhead. Streamlines ordering process. Updates acquisition costs of medications: Ensures accuracy of cost reports, POS billing, etc. 6

7 What Can DAP Really Do? (cont.) Enhances ability to accurately report TRUE inventory Continuity between service units utilizing the “mail order” as well as those who are not Computerized, automatic updating of current stock and tracking of dispensed prescriptions 7

8 Who’s Responsibility Is It? Inventory Management is a team effort comprised of help from all pharmacy team members. The program is accessible to anyone with the correct clearance from IT. Recommendations: One Key individual One Backup individual 8

9 Affecting Workflow The DAP needs to be completed as often as your facility receives their Prime Vendor order Initially, somewhat time consuming matching NDC’s and bottle sizes Time constraints decrease as Drug Files are cleaned and coordinated 9

10 Affecting Workflow (cont.) Recommendation: Perform first thing in the morning as order arrives and is checked in If a site has multiple SU’s using same drug file, coordinate bottle size. Key to success will be CAC background work with drug file 10
