3 June 15, 2007 UL Presentation, Merit Process 3 Merit “house keeping” Each Merit Department Group is responsible for working with the Departments within their group to determine:  Procedures to get Merit files to the authorized Merit file submitter (Dean, Director or Department head MUST sign M1)  Procedures for distributing and reviewing confirmation and error reports  Procedures for correcting errors Merit Department Group detail is outlined in the handout: Merit Department Groups (available on the UL website) University of Michigan Administrative Information Services

Individuals responsible for downloading Merit data should also review Training and Reference material for preparing Merit files on MAIS LINC: https://maislinc.umich.edu or at the following MAIS website: http://www.mais.umich.edu/hrms/merit.htmlhttps://maislinc.umich.eduhttp:// Individuals responsible for downloading Merit data from the Data Warehouse may attend an optional DW-HRMS Production Support Lab (HRL312). Registration is required. 5 June 15, 2007 UL Presentation, Merit Process 5 Process Overview Merit files are prepared by units. Possible submissions include:  Merit only  Merit and Salary Supplements  Salary Supplements only  Pay increases (Merit) for Temporary Employees Authorized submitters for each Merit Department Group transfer prepared data files to M-Pathways August 1 – August 31 Merit data files will be processed in batch mode each Sunday through Friday at 7:30 p.m. Files will not be processed on Saturday. Authorized submitters for each Merit Department Group use Secure File Transfer software to retrieve confirmation and error reports from M-Pathways University of Michigan Administrative Information Services

Each Merit Department Group reviews confirmation and error reports according to unit specific procedures Corrections, if any, are made and the Merit file transfer process is repeated Verify changes by viewing the Merit Confirmation Report, M- Pathways Employee Total Picture, or the Transaction History Report via Vista Plus. (The day after the Merit file is processed). Once the Merit file is successfully uploaded, employees will be able to view their Merit Job change via View Appointment within Wolverine Access University of Michigan Administrative Information Services

7 June 15, 2007 UL Presentation, Merit Process 7 Secure FTP Software  Primary and Secondary Contacts check to see if SSH Secure Shell software is loaded on your computer. If not, contact the system administrator or desktop support staff in your unit.  For information on how you or your computer support team can obtain this free program, refer to the Download SSH Software to your PC procedure on the M-Pathways web site at: http://www.mais.umich.edu/hrms/merit.html  Users with MAC computers – Fugu software University of Michigan Administrative Information Services

8 June 15, 2007 UL Presentation, Merit Process 8 Access and Security for SFTP There is one folder on the Flamingo server, with one User ID and Password, per Merit Department Group Each Merit Department Group has 2 authorized submitters who can access this folder to submit Merit files for processing. These individuals are the Primary and Secondary Contacts. SecurID will be issued to each Merit Department Group beginning Monday, July 9 th Your MToken IS NOT the same “Token” that you will use for SFTP University of Michigan Administrative Information Services

9 June 15, 2007 UL Presentation, Merit Process 9 Access and Security for SFTP Primary or Secondary Contacts can pick up their new SecurID either at SFTP Training, a Production Support Lab, or at the MAIS Reception Desk, 2 nd floor Admin Services Bldg., 1009 Greene, 8:30-4:30 any work day (UM ID required for pick up at MAIS) SecurIDs will not be available for pick up at the MAIS Reception Desk on the days of the Merit training course or Production Support Labs SecurIDs issued for the 2007 Merit Process should be returned to MAIS Access Services when the Merit upload has been completed or no later than the September 21 h HRMS UL Meeting. If you do not return the SecurID this will result in a $63 charge to your department. University of Michigan Administrative Information Services

13 June 15, 2007 UL Presentation, Merit Process 13 Key Dates June 25 – Last day to submit M1-SFTP-ID Form for changes to 2007 Contacts July 2 – Merit Download from the Data Warehouse begins July 9 – SecurID’s available for pick-up by Primary for Secondary Contact (ID required) June 18th and 29 tth – DW-HRMS Production Support Lab - Merit Download (HRL312) July25 – Transferring Merit Files to M-Pathways System Training Course (HRL612) August 23– Transferring Merit Files Production Support Lab (HRL314) August 1 thru 31 - Transfer merit files; Retrieve confirmation and error reports September 21st – Last day to return SecurID without encoring the $63 dollar fine.
