2 What is the difference? Travel Card NET Card Covers business travel expenses for ONLY the person whose name is embossed on the card. “Non-Employee Travel” Covers travel expenses for GUESTS that we bring to campus for business (candidates, speakers, consultants, etc.). OR Covers travel expenses for students and also faculty/staff traveling as a GROUP with student(s) on college business.

3 Who should/could have a Card? Travel Card NET Card Any New York State employee that is a frequent traveler with large up-front charges such as air fare. AND Willing to assume the responsibility/privilege. NOTE: Lodging and Registration Fees typically do NOT require up-front payment. A Purchase Order and Procurement Card, respectively can cover these costs. Any New York State employee that organizes trips for and/or travels with students for college purposes. OR Brings “guests” to campus for business purposes. The NET Card is the ONLY Citibank card that can be treated as a “department” card.

4 How do they work? All travelers follow the same basic OSC Travel Rules, whether they have one of the State Travel Card(s) or are paying out-of-pocket and requesting reimbursement. Be in “Travel Status” Know State Rate for lodging and meals Travel Authorization Know your Trip Limit Travel Voucher & State Travel Card Reconciliation Form Additional responsibilities for Travel Cardholders in the area of meals and submission of reconciliations: Cardholder’s seeking the Meal Allowance “Per Diem Rate” are not to put meals on the Travel Card. Citibank Statements are released monthly. The Statement must be reconciled within 30 days (or before the next billing cycle).

5 Tips and Tricks Travel CardNET Card Monthly credit limit is $2,000 Statement is dated the 22nd Monthly credit limit is $20,000 Statement is dated the 6th If the transaction “fails,” call the 800 # on the back of the card Monitor your card’s monthly credit limit Know your monthly Statement date Know your approved Trip Limit Obtain itemized receipts Citibank is a vendor we pay monthly Employee Reimbursements are made after the trip has ended

Cannot be used by or for anyone other than the person whose name is embossed on the card. Administered by Accounting x3467. Products and Supplies Cannot be paid by Foundation, FSA, or Research Cannot be used by anyone other than the person whose name is embossed on the card. Administered by Purchasing x3438. Procurement Card Travel for students, guests, and faculty/staff traveling as a “group” with students. Can be paid by Foundation, FSA, or Research. Can be used as a “department” card. Administered by Accounting x3467.
