BUSINESS WRITING UNIT MARCH 2014 MRS. OLAVESON Listen for Understanding How to Summarize How to Write Business Letter(s) How to synthesize the information you are given to develop a website for the client

LEARNING GOALS OF THIS UNIT How to write a business letter How to write a fully polished correspondence Design a well-thought out easy to read website How to professionally present your ideas to others ( aka oral presentations) Today’s Focus Listening for Understanding Accurately listen and record information Writing a Summary of Information ( if time) Write a summary following the steps shown

WHEN LISTENING TO SOMEONE WHAT SHOULD WE WRITE DOWN? Main Things to Listen for

Facts W5 Who What Where When How Main Ideas No quotes or paraphrases Write this in your own words so you understand what the person wants WHAT TO INCLUDE IN ON YOUR PAGE

Who left the message? Why did they leave the message? Where is the message coming from? What are the main ideas?/What are the most important facts? Is there anything particular about the person’s voice/ or the message itself that can help me make something of the message? WHAT SHOULD YOU LISTEN FOR?

SCENARIO You own your own web design company. Your job is to provide clients with a professional website that fulfills and ( hopefully exceeds) their expectations. Your job, specifically, is to create a website that includes all their needs and will make them succeed as a business.

George Suzy Polly Liza NOW LET’S HEAR WHAT ARE CLIENTS HAVE TO SAY Write down the information you hear on the provided sheets.

WHAT TO DO NOW 1)Complete the chart and go over the info in the WHAT I HEARD SIDE with your person next to you. Did you both get the same information? Did you miss anything? 2)Take a few moments and jot down a few ideas that come to mind about what you might want to do for this client on the WHAT I THINK SIDE o Focus on these ideas- what words in the message help you form ideas of how you might proceed with the thematic presentation of the website? o Are there any particulars for the website that the client is emphasizing?

WRITING A SUMMARY A BRIEF RESTATEMENT IN YOUR OWN WORDS OF A TEXT’S MAIN IDEA

SUMMARIES Identify the facts of the an original text Demonstrate you understanding of a text’s subject matter Are shorter ( at least 60%) than the original text– they omit the original text’s “ examples, asides, analogies, and rhetorical strategies: ( Holt Handbook, 5 th Edition) Differ from paraphrases– paraphrases more closely follow the original text’s presentation Focus exclusively on the presentation of the writer’s main ideas- they do not include your interpretations or opinions Normally written in your own owrds– they do not contain extended quotes or paraphrases Rely on the use of standard signal phrases ( “According to the author”, “ The author believes…” etc)

TIPS ON WRITING A SUMMARY Step 1- Prewriting: Read the information quickly Try to get a sense of the information’s general focus and content Step 2- Drafting: Restate the phone call’s main idea simply and in your own words Restate each supporting idea’s topic simply and in your own words Step 3-Revising: Combine sentences in Step 2 to form your summary Edit very carefully for neatness and correctness.

WHAT TO DO For each of the clients, you will look at the What I Heard side of the chart and write a summary. Once you are done first summary, let me know and I will come give you feedback on what you need to improve to reach expectations. Once this summary is done properly proceed to writing the next three summaries. Things to look for Sequencing- Details are placed in a logical order and the way they are presented effectively keeps the interest of the reader Accuracy of Facts- All supportive facts are reported accurately Support for Topic- relevant, telling, quality details give the reader important information that goes beyond the obvious or predictable. Once these are complete, choose a summary that you think is the best of the 4. Hand in the best one for a summative mark. NOTE: the final summary that you choose for the summative assessment will mean that you have chosen the client that you wish to be evaluated for the remainder of the project.
