SPAN A DISTRIBUTED PRINT REPOSITORY PROGRAM FOR WESTERN CANADA Les MoorACRL ND/MB Chapter Annual Symposium University of ManitobaApril 27, 2015

Outline Introduction COPPUL SPAN How SPAN works SPAN Phases Phase 1 Phase 2 Phase 3 Future SPAN Benefits at UML Benefits derived from SPAN objectives Serials cleanup Issues at UML Labour-intensive setup Limits use of resources Unproven effectiveness in space reallocation SPAN - ACRL ND/MB SYMPOSIUM 2

Introduction COPPUL ◦“Council of Prairie and Pacific University Libraries” ◦Purpose ◦Academic libraries in the four western provinces ◦Currently 23 member institutions ◦“Plus 15 affiliate members that participate only in licenses for electronic resources” 1 ◦Acquisitions budgets: ≈ $3M - $20M 2 SPAN - ACRL ND/MB SYMPOSIUM 3 Source: 3

Introduction SPAN ◦“Shared Print Archive Network” ◦Objectives ◦To provide access to shared print archives ◦To create opportunities for the reallocation of library space ◦To preserve the print record for its members in a cost-effective way 4 ◦Context ◦SPAN in PAPR, WorldCat ◦History ◦Phase 1: summer 2012 SPAN - ACRL ND/MB SYMPOSIUM 4

How SPAN Works (Broadly) SPAN Management Committee (MC) chooses titles to archive MC chooses which libraries to archive which titles Libraries confirm holdings and willingness to archive Libraries prepare volumes and bibliographic records SPAN records commitments of libraries and transfers information to PAPR, WorldCat (soon) SPAN - ACRL ND/MB SYMPOSIUM 5

How SPAN Works (Details) Work done in phases SPAN MC decides focus and criteria for the phases ◦COPPUL selects resources to archive for the phase based on the criteria for the phase ◦COPPUL selects an “archive holder” from among SPAN participants based on ◦Completeness of runs ◦Initial indications of willingness (?) Proposed titles distributed to Archive Holders Archive Holders examine the titles and: ◦Verify/correct their holdings ◦Indicate willingness to archive ◦Complete paperwork SPAN MC collects/compiles responses and updates PAPR, WorldCat (soon) SPAN - ACRL ND/MB SYMPOSIUM 6

Phase 1 2012-13 Print journals that are: ◦Widely held ◦Have digital equivalents with perpetual access (post-cancellation rights) through: ◦Licensing terms ◦Digital archives (PORTICO, CLOCKSS, etc.) 5 Retrospective UML archived 27 journals in Phase 1 SPAN - ACRL ND/MB SYMPOSIUM 7

Phase 2 2013-14 Same criteria as Phase 1, except: ◦Less widely-held ◦Some journals without post-cancellation access ◦Some Canadian journals (both with and without post-cancellation access) UML archived 66 journals in Phase 2 SPAN - ACRL ND/MB SYMPOSIUM 8

Phase 3 2014-15 Monographs Continuations and preceding titles for Phase 1 & 2 journals “High risk” journals Canadian federal government documents ◦Statistics Canada only (for now) UML asked to archive 35 titles so far SPAN - ACRL ND/MB SYMPOSIUM 9

Future SPAN Possible national archiving strategy Expansion of journal titles? ◦Especially low-use and high risk ◦Usage/preservation dilemma SPAN - ACRL ND/MB SYMPOSIUM 10

Benefits at UML Same as SPAN’s stated objectives, i.e.: ◦Access to shared print archives ◦Opportunities for the reallocation of library space ◦Preserve the print record cost-effectively Also: ◦Serials cleanup SPAN - ACRL ND/MB SYMPOSIUM 11

Issues at UML Labour-intensive setup Limits use of resources Unproven effectiveness in space reallocation SPAN - ACRL ND/MB SYMPOSIUM 12
