2 In the step ‘Submit Short List to SRecruitment’, the Hiring Manager/Hiring Manager Assistant moves the candidates from ‘Select Step Outcome’ to ‘All Panel Part of Process’ to allow People and Careers to review and provide review outcomes on the Short Listed candidates. To have completed this step, the number in brackets against ‘Select Step Outcome’ must be ‘0’. If not then a candidate(s) has not been reviewed and therefore this step has not been completed. 2 Submit Short List to SRecruitment NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WWW.DEC.NSW.GOV.AU

3 For this step/status you can bulk select all candidates to move them to the next step/status. After all candidates have been selected, click on the green arrow to move them to the ‘All Panel Part of Process’ status. 3 Submit Short List to SRecruitment NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WWW.DEC.NSW.GOV.AU

4 Check the ‘New Status’ is correct. Select Save and Close when you are finished. Check this box to *certify that all panel members have participated fully in the Short Listing process. 4 Submit Short List to SRecruitment NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WWW.DEC.NSW.GOV.AU Do not check the ‘Send correspondence’ box. You will send correspondence to candidates at the end of the merit selection process. *If you are unable to or have a concern in making this certification, please contact People and Careers before proceeding any further with the merit selection process. You will then be provided with a grey pop-up box to complete the candidate you have chosen.

5 Check all candidates have been moved to the ‘All Panel Part of Process’ status. 5 Submit Short List to SRecruitment NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WWW.DEC.NSW.GOV.AU You will then be returned to the ‘Submit Short List to SRecruitment’ screen. Once you confirm that all candidates are at ‘All Panel Part of Process’ the system will auto-move the candidates to ‘SRecruitment – Review Shortlist’ step.

6 NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WW.DEC.NSW.GOV.AU People and Careers will receive a notification from the system to review the short listed candidates. People and Careers will now need to review and approve the Short List prior to any further action by the Hiring Manager / Convener or contact being made with the candidates to schedule the interviews. 6 Submit Short List to SRecruitment Once People and Careers completes the review of Short Listed candidates, the candidates that have been approved will populate the ‘Interview Scheduling’ step and the Hiring Manager will receive an auto generated email from the system to advise this has taken place.

7 NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WW.DEC.NSW.GOV.AU Should the panel recommendation be that there are no candidates to be short listed, you will not have access to the ‘ Submit Short List to SRecruitment’ step and will need to provide advice to People and Careers through the ‘Request Contribution’ process through the requisition by selecting the requisition title. 6 Submit Short List to SRecruitment

8 NSW DEPARTMENT OF EDUCATION AND COMMUNITIES WW.DEC.NSW.GOV.AU 6 Submit Short List to SRecruitment Once you select ‘Request Contribution’ a grey text box will appear as below. Select this icon to find the person you wish to contact – this should be the Recruiter Assistant noted in the requisition. The following dialogue box will open. You can scroll through to the officer you wish to contact (Recruiter Assistant) or use the Quick Filters at the left hand side of the screen to locate the name of the Recruiter Assistant for this requisition. Click on ‘Select’ Enter comments which need to include the panel certification statement “The Short Listing process was conducted by all members of the Panel. All agree to the details of the shortlist report and certify that procedures were followed.” Please also indicate if and when you wish to readvertise (subject to approval). Click on ‘Done’.
