3 First, let’s look at the call sheets since they are the primary point for data entry.

4 As the call is taking place, all the information is recorded directly on this screen: Date of the Call, Caller’s Name, Company, Tel #, Fax #, etc.

5 NOTE: To start a new line in the Discussion area, you must hit both keys,. Hitting only will take you to the next field (or record, depending on where your cursor is.) This is a MS-Access functionality, not a design of this particular database.

6 In addition to all the data from the call being recorded, the salesperson also identifies the type of call at the click of a button. This information is utilized for reporting or filtering purposes.

7 Once the task for the call has been completed, this box is checked. This is also used in reporting purposes.

8 The salesperson can run a report – or use the FILTER feature in MS ACCESS - to find all calls that have not been completed, thereby knowing where follow-up is needed.

9 Note there are currently 550 records in this database at this time.

10 Right-Clicking your mouse button over a field, check box, etc. brings up a pop-up menu. In this example, we will be right-clicking the “Completed” check box. 11 Doing so, brings up the options menu.

12 Next, clicking the “Is Not Selected” item, will filter out all calls that do NOT have the ”Completed” check box checked.

13 Note there are now only 2 records active (out of the 550 total records).

14 You can now scroll through the active records using the record navigation buttons.

15 You can toggle the filter by clicking on the “Filtered” (or “Unfiltered) button. Keep in mind, this only TOGGLES the filter, it does not CLEAR it. You can toggle the filter by clicking on the “Filtered” (or “Unfiltered) button. Keep in mind, this only TOGGLES the filter, it does not CLEAR it.

16 Once you toggle the filter, you are again working with all 550 records.

17 To CLEAR the filter, click on the “Advanced” button.

18 Doing so, reveals the drop-down menu.

19 Click on the “Clear All Filters” option and...

20 Note that the “Filter” indicator has changed back to “No Filter”.

24 When you click on Open-Call Report (Single Date) you will get a Pop-up screen for the date entry.

25 Next, you would enter the date you wish to review the calls for (using the mm/dd/yy format), then click “OK”.

29 Return to the main menu by clicking on the “Close Print Preview” button.
