2 HMIS Participation As in previous years, each agency will need to indicate on the LOI whether or not your program participates in HMIS, and if not, specify a reason. This webinar is intended for HMIS participating agencies

3 HMIS Reports Due 11/15/12 – APR (last 2 years) – Universal Data Elements (report date 1/22/12 – 1/31/12) Due 11/27/12 (reporting period 7/1/2011 – 6/30/2012) – Universal Data Elements – Program Specific Data Elements – Data Timeliness – Bed Utilization The following reports will need to be run and attached for each program:

4 Report: APR Exhibit 1 requires that you attach the last 2 years APRs (Demo Report)

5 Report: Universal Data Elements SSN Date of Birth Ethnicity Race Gender Veteran Status Disabling Condition This report contains the following: Residence Prior to Program Entry Zip Code of Last Permanent Address Name Housing Status Program Entry Date Note: Required by HUD. See March 2010 Data Standards Section 3

6 Report: Universal Data Elements The data quality requirement for Orange County for all Universal Data Elements is: 70% of SSN and Last Known Permanent Address must be collected and entered 100% of all other data elements must be collected and entered Note: Reported to HUD in the CoC level APR

7 Report: Universal Data Elements The last 10 days of Jaunary (1/22/12 – 1/31/12) A 1-year period (7/1/2011 – 6/30/2012) – Universal Data Elements_Agency This report will need to be run for: (Demo Report) Note: Required by HUD. See March 2010 Data Standards Section 3. Reported to HUD in the CoC level APR

8 Report: Program Specific Data Elements Income and Sources Non-Cash Benefits Physical Disability Developmental Disability Chronic Health Condition HIV/AIDS Mental Health This report contains the following: Substance Abuse Domestic Violence Destination Date of Contact Date of Engagement Financial Services Provided Housing Relocation & Stabilization Services Provided Note: Required by HUD. See March 2010 Data Standards Section 3

9 Report: Program Specific Data Elements (Demo Report) Note: Required by HUD. See March 2010 Data Standards Section 4. This report will need to be run for the months of July, October, January, and April for the reporting period 7/1/11 to 6/30/12 ProgramSpecificDataElement_Entry_Summary – 7/1/11 – 7/31/11 – 10/1/11 – 10/31/11 – 1/1/12 – 1/31/12 – 4/1/12 – 4/30/12

10 Report: Data Timeliness HUD requires timely data entry for program entry, program exit, and services Currently, the standard in Orange County is within two weeks, but we will be moving to one week in the future. Note: Reported to HUD in the CoC level APR for Program Entry, Program Exit and Services

11 Reports: Data Timeliness (Demo Reports) These reports will need to be run for a 1-year period (7/1/2011 – 6/30/2012) Data Timeliness Report (program entry) OC_Data Timeliness on Exit Date OC_Data Timeliness on Service Entry Note: Reported to HUD in the CoC level APR

12 Report: Bed Utilization This report shows the percentage of beds occupied per program. HUD’s guidelines say that between 65% and 105% is expected. Anything below 65% or above 105% needs explanation. Note: Reported to HUD in the CoC level APR and HIC

13 Report: Bed Utilization (Demo Report) This report will need to be run on the last Wednesday of July, October, January, and April for the reporting period 7/1/11 to 6/30/12 OC_Bed Utilization – July 27, 2011 – October 26, 2011 – January 25, 2012 – April 25, 2012 Note: Reported to HUD in the CoC level APR and HIC

14 Report Due Dates Exhibit 1 reports are due no later than November 15, 2012 HMIS reports are due no later than November 27, 2012 to OC Partnership
